CHAPTER I

Introduction

Project Context

Universidad de Manila is still sticking to manual system for the enrollment

procedures, data inaccuracy; loss of records etc. were just a few problems of using

the traditional method despite of knowing that the students information is really

important on every school administration. Its not good to rely on manual system

when everybody is already using technology to make the task easy and reliable.

These are the common error we usually encounter when the enrollment comes;

computed total of units per semester were wrong and most of the times the registrar

personnel make mistakes with the number of units and also the registration forms, the

students need to fill-up the four copies of the registration forms for the copy and

record of the dean, the registrar, office of student affairs, and for the their own copy.

Students were having a hard time filling-up the form every semester and

consuming a lot of their time one of the reasons why the enrollment takes a day or

worst 2 days for you to be officially enrolled and if you were an irregular student

enrollment is your vacation already. Since the students are manually filling-up the

official documents every semester, the school might need some place to put all the

documents in one place and sorting it might takes some time and also data

redundancy is causing further complexity in the enrollment process.

Purpose and Description

To develop and build a quality system for Universidad de Manila that will

help its staffs and students to make the enrollment easier, reliable, timeless and most

of all cost-effective because managing students data is an important area in every

school administration.

The proponents want to create a system that will make things easier and better,

the developers come up with Mobile Registration System that meets the need of the

school manually handled tasks. The MRS will provide online login system for

students and faculties, and online record retrieval for each and every students and

faculties. The MRS system is more easy and reliable to use and it will lessen the work

of the staffs deeply and will provide more accurate information. The MRS system

will be secure by a username & password to avoid data hacking and attack.

Statement of the Problem

General Problem:

UDM is still sticking to manual system which consuming too much time and

effort in processing the enrollment and submission of students grades.

Specific Problem:

Loss of records.

Long line of students during enrollment.

Filling-up students registration cards takes time and not cost-effective.

Staffs and students vacations were being consumed by the enrollment.

Too much time and effort exerted on manual searching and retrieval of

records causing delayed in the issuance of requested records.

Objective of the Study

The aim of the study is to create a secured, organized and proper management of

data for the university and also to help the school and its staffs to reduce their works

contemporaneously improving ourselves in the field of IT.

To prevent and reduced the loss of records

To be able to have a quick and reliable reports.

To lessen the burden of the staffs specially the college deans and much

easier enrollment for each and every students of UDM.

To reduce the cost and used the money for better school purposes.

Mobility enrolling with just a click in your hands as long as you have

internet connection.

Significance of the Study

The Mobile Registration System has benefits for all the staffs of Universidad

de Manila, and will provide a better and easier way of managing the enrollment.

The study may help other university students who are just starting to innovate

involving the use of computerization and for the future IT practitioners of UDM as

well. The study might also help my fellow students to come up with new ideas and

have a better system a more organized and productive system.

Scope and Limitations

Scope

The MRS system handles students, faculties, deans, registrar and admin

account that contains data and performs specific tasks.

Able to view students information and at the same time to input their

grades.

Able to create schedules, and input teaching load to faculty and

part timer members of the department.

Able to view all the student records per department.

Can add, edit, or delete an account.

Has the authority in the system settings.

Limitation

Irregular students were not yet included in the system.

The computation of students quizzes, attendance etcetera were not

included.
