1.4. Briefly explain the responsibilities of each group members in relation to their
position in the business

 Marketing

Our marketing department involves researching what customers want and analysing how the
organization can satisfy these wants. Marketing activities range from the “strategic”
concerned with the choice of product markets ( and how to compete in them, for example, on
price or product differentiation ) to the operational, arranging sales promotion (offering a 25
per cent discount ), producing literature such as product catalogues and brochures, placing
adverstisements in the appropriate media and so on.

 Customer Services

Our customer service department interacts with our company’s customer to provide them
with information to address inquiries regarding our product and cleaning services. In
addition, our customer service department deal and help to resolve any customer complaints
or inquiries like handling problems, assisiting in sales and doing clerical task.

 Finance

Our finance department concerned with the following :

- -Financial record keeping of transactions involving monetary inflows or outflows.


- Preparing financial statement ( the income statement, balance sheet and cash flow
statement ) for reporting to external parties such as shareholders. The financial
statements are also the starting point for calculating any tax due on business profits.
- Payroll administration Paying wages and salaries and maintaining appropriate income
tax and national insurance records.
- Preparing management accouting information and analysis to help managers to plan,
control and make decisions.

 Service Department

Our service department provides the services to the rest of the company.

 Organizing safety programmes.


 Establishing wellness programmes.
 Accident investigation.
 Provision of health services.
 Establishing programmes to prevent sexual harassment and violence.

2.0 Part B - Recruitment and Selection

2.1. Identify THREE (3) position that needs to fill-in . These position must be from top ,
middle, and lower level respectively

(b) Marketing Manager (Middle Level)
(c) Cleaner (Lower level)

2.2 Create a job advertisement for all three positions . The advertisement need to
include some element of job descriptions and person (job) specification .

- Have 8 to 10 years experience at Senior Management level in an organization
- Have knowledge of administrative affairs .
- Responsible for managing all operational aspects of the organization .

2.3 Discuss the possible recruitment methods that can be used for the positions in 2.1 .

The possible recruitment methods that can be used for the positions in 2.1 is interviewing/pre
selection. We can also use third party sourcing which we can use an agents to lookout or find
the qualified job candidates.

2.4 Discuss the possible selection methods that can be used for the positions in 2.1. At
least one of the methods needs to utilize interview.

The possible selection methods that can be used for the positions in 2.1 are in-person
interview and cultural fit selection .

2.5 List a minimum TEN questions that the panel of interviewer may use in the
structured interview. The questions need to include at least ONE of each : Situational
question, behavioural question and background questions.

3.0. Part C – Training & Development :

3.1 Identify and discuss ONE (1) training program that is suitable for each position in
2.1
1) Chief Operating officer :
Technology training - is training on computer software and hardware offered to employee
depending on their position. There are several benefits to offering technological training to
employees. Employees will be more likely to:

- Perform at higher standards


- Have more self-confidence
- Develop higher skill levels
- Perform many different task

2) Marketing Manager :
Interpersonal skills training - is training on how to maintain positive relationships,
communicate better, resolve conflicts and build trust. There are several benefits to
interpersonal skills training for employees. Employees will be more likely to:

- Get along with each other


- Exchange positive communication
- Minimize conflict
- Influence others to be positive
3) Cleaner :
Basic literacy training - is training for things like reading, writing and problem-solving skills.
Once the employee learned how to read, write and understand the written word to solve
problems. There are several benefits to literacy training for employees. Employees will be
more likely to:

- Meet company goals


- Perform job tasks
- Understand work processes
- Work in teams
- Make decisions
- Learn technology

4.0 Part D – Performance Evaluation:

4.1. Explain FOUR (4) potential appraisal problems for the positions in 2.1.

i. the team is inexperienced or understaffed


ii. Difficulty interpreting marketing report data.
iii. Teamwork.

4.2. Explain ONE (1) method to deal with each of the potential appraisal problems in
4.1.

i) A team though full of many specialties, can often find that they’re missing several key
people to ill important roles. When you try and be good at everything, you’re rarely proficient
at anything.

ii) As a marketing manager, it can be difficult to keep up to date on marketing linguistics so


that report data can be accurately interpreted.

iii) Measure how well this individual gets along with fellow employees, respects the right of
other employees and show a cooperative spirits.

iv) Measure effectiveness in listening to others and expressing ideas.

4.3. Write a short paragraph to address the following questions:

4.3.1. Should a manager tell employees what their goals are or let them participate in
setting the goals?

Yes, because when the employees know their goals they can be motivate their workers and
when the goals reached the workers will get a reward so they can work harder.

4.3.2. Why is it not a good idea to simply tell employees to ‘do their best’ when assigning
a task?

Because some of the employees will consider that as a pressure on their work. When
someone is under the pressure they probility to make a mistake is higher.
