Position Overview with a legacy dating back to 1974, Vinylbilt

Reporting to the Customer Service Manager the Materials

Coordinator will work closely with the Purchasing, Customer Service,
Quality, Shipping and Receiving and all production departments ;
acting as a liaison between Vinylbilt and third-party vendors. The
Materials Coordinator is responsible for establishing and
strengthening Vinylbilt’s relationship with its vendors with a strong
focus on coordinating glass material while ensuring all orders are
received in a timely and organized manner and up to meeting
quality standards. Other key responsibilities include generating
architectural drawings, purchasing, data entry and scheduling.

Duties and Responsibilities

Coordinates incoming orders with master production


schedule;
Maintains and update all supplier order entry databases;
Tracks all backorders, re-orders and quality alerts;
Works in collaboration with IT to continuously improve the
automation of order entry process;
Manages incoming and outgoing glass and glass rack orders
from third party supplier;
Reconciles glass supplier order acknowledgments with EDI
orders;
Digitizes shape templates, schedule orders and track
progress with glass supplier;
Maintains open and positive dialogue with third-party
supplier regarding concerns and questions; ensures glass
supply issues are addressed with minimal interruption to
production schedules;
Sets clear and firm expectations for the third party supplier in
compliance with company policies, practices and procedures
while maintaining a positive attitude and contributing to the
success of production;
Ensures internal and external cutoff times/deadlines are
respected by vendors;
Conducts investigations and root-cause analysis when
supplier issues are presented; takes the appropriate
corrective actions using problem-solving techniques;
Actively participates in production and quality meetings to
understand the needs, priorities and issues reported and
able to take action to resolve complaints;
Acts as the first responder for supplier quality defects by
communicating issues to suppliers and ensures resolution in
collaboration with the quality department;
Tracks defects and quality issues by reason codes; generates
on-going analysis reporting;
Manages data collection systems and ensures timely and
accurate data inputs at all times;
Provides Auto CAD drawings of regular glass units and
special shapes for vendor;
Provides outstanding quality of service; internally for
production and externally with the glass unit supplier;
Back-up for reception as needed;
Other duties as required.

Qualifications:

1. 3 - 5 years’ experience in a Project Management or


Supplier/Technical Customer Service role;

2. Purchasing and Manufacturing experience is an asset;

3. Post-secondary education preferred;

4. Demonstrated ability to exercise appropriate analytical skills and


judgment dealing with internal and external customers;

5. Advance computer skills including proficiency with Excel, Word


and ERP

6. Working knowledge of AutoCAD is required;

7. Accurate and efficient data entry skills with a focus on detail;

8. ‘Can Do’ attitude with the ability to work positively in a group as


well as autonomously;

9. Ability to work in a highly organized manner with detail and


accuracy while meeting deadlines and balancing multiple tasks;

10. Excellent verbal and written communication skills, and;

11. Ability to work in high-pressure situations and conform to tight


deadline;

12. Strong computer skills; able to learn and master new programs
quickly and efficiently;
