Abstract

This work critically analyses the case study of the NTPC knowledge management
implementation, it reviews their strategies, the positive and the negative out comes in the
design. Thus it aims in providing a reliable design which can help in the process of
creating a stable design which will help in the process of the effective KM process
leading to competitive advantage. For the purpose of this study various models have been
reviewed and this helps in the process of analyzing the short comings in the plan and
helps in the process of the continuous improvement of the process of knowledge sharing
and management in the firm.

Introduction

Any organization with out the proper KM will lag behind because they don’t have proper
technologies and the process for the KM. only thru the process of the Effective KM using
all the modern technologies like email, bulletin boards, etc.., they can improve the
communication in any organization leading to better Knowledge sharing and
management.
This not only helps in the process of the effective KM but also helps in building corporate
intelligence, helps in enhanced decision making, and creates a ones of the entire
organization which will be split by parts if there is no effective sharing of the knowledge
and the resources.

Literature Review

The organizations have to properly strategize the process of the KM and this is possible
when they do an in - depth analysis of the knowledge which is classified internal and
external to the firm and only based on this they can classify the process of the KM. they
will have to work on developing the appropriate models which will help in the process of
the effective utilization of the resources, develop new and the existing knowledge, and
help in the process of betterment of the internal and the external knowledge.

Knowledge management in NTPC

Critical analysis:

According to the views of Prusak (1997).there has been an prenominal rise in the
processes contributing to the process of better knowledge management and sure rise in
the awareness among the organizations for the process of knowledge management.

Facilitators:

The most essential process of the KM is the creation of the facilitators for the creation of
the knowledge and here the most essential aspect is the process of communication; as
only a proper communication will help in the process of integration of all the employees
leading to better knowledge sharing.

Communication tools:
Hence by utilizing the better tools organization can achieve better communication and
here they have focused on the process of the chats, message boards and polls with in the
organization and this will help in the internal process of the communication leading to
creation of knowledge at NTPC but they have to adapt nee methods for the process of the
external communication with their suppliers and other external businesses involved with
them as they have contact with the other buyers which are governments of the other
nations. Hence they will have work on the process of a better model which will help in
the effective external communication.

The bulletin boards and the emails are better when used internal to the organization but
when they will have to communicate externally with the other businesses the
communication medium must be highly secure and it should preserve the confidentiality
of the information involved. As in this case they can go in for the creation of the new
model like the ERP which will help in the process of communication and maintenance of
all the external people involved. Only an outline of the ERP has been mentioned whereas
the in-depth details of the SAP alignment with the organizational strategies and the
environment is absent. Other option is to design a separate communication medium for
their organization using the VOIP protocols in which their IT collaborator Sathyam is an
expert.

Strategies involved:

Hence they will have to focus on the creation of the plans which will help in the process
of the creation of the knowledge, training of the employees to use the new planned
system, plan for the process for the process of the central data base which will avoid the
redundancy. Any organization large as the NTPC must always aim in the process fot he

creation of the central DB like Oracle which will store all the information from all the
departments and any employee who has gained the access to the data can use them by
accessing using their password and the user name. they can go in for the process fo the
additional security by going in for the thumb print based scann9ing to access the
confidential data. Any contract of the files will get stored automatically, the process of
retrieving them, updating them and storing them back everything will have to be
automated in this process.

Automation:
One problem they will have to meet in this process of going in for the process of the
automation is that they will have to look in for the faults which come along with them
and the new system should focus on the fault tolerance as NTPC has the branches at
different locations in India they have multiple access to the same data in the common data
base and hence they will have to go in for the high end data base like the oracle which
will help in the multiple reads and also focus on the data consistency as all the
transactions are time framed.

Aligning with the goals of the organization:

Identification of the new people who can use these new system; they will go in for the
process of the

on the role they can chose them, like the qualification or the education or the

to the culture and the best person fit for their culture has to be identified

Hence the model should be more reliable and have a better coordination with the current
culture and the goals of the organization or they will have to work on the new
communication channel which will help in bringing in a change to the current practices,
like going in for the process of the VOIP and posting the comments on the common
software bulletin boards or posting their views on any kind of the process or person
which prevents them from the free form of the communication will help in the process of
the effective knowledge sharing and at the same time crush the old hierarchies which will
encourage the process of the modernization.

Traditional practices at NTPC:

Organization like NTPC has lost their business in millions of Crores in Indian currency
mainly because of their traditional practices and postponing approach their decision
making were never backed up by solid proof rather they were all old and they took more
time to make their decisions; resulting in the failure of their decisions they made in the
delayed time factor
Enhancing communication – Trust:

Groups:

Many organizations like CISCO go in for the process of facilitating the communication
and enhancing the knowledge sharing with the help of the groups and separate leaders as
shown in the NTPC model; which are similar to the Communities of Practice. On this
aspect the design of the NTPC is clear as they have classified the people in to several
groups and each group assigned with the specific domain leader who is in-charge of the
process of the communication and enhance the process of the knowledge sharing.

Implementing the Frame work for KM

Nonaka and Takeuchi (1995) list four types in which organizational knowledge is created
through the interaction and conversion between tacit and explicit knowledge:
socialization, externalization, combination, and internalization.

This is one of the best models suggested for the KM where in the different methods of the
knowledge exchange are explained and this is more suited for the NTPC because it
triggers the process of the communication and the information exchange at NTPC in
different dimensions as they are completely lagging in this.

Implementation of SAP:

The plan for the implementation of the SAP ERP has been given only as an outline and
currently they lag behind in their key resources in terms of the finance and the humans
for going in for the SAP implementation. As a result they have failed to meet the live
problems in the market and they have to cope up on the other methods which will help in
the process of enhancement of the implementation. More in depth details on the design
have not been found, external and the internal environmental analysis have not been

found with respect to NTPC.

Since NTPC is an very big organization they will have to first plan for the high speecd
computer network mainly both the internet and the intranet applications with leashed
optical fibers which will enhance the process of the communication. By going in for the
process of the high speed networks they can gain higher power for the ultra modern
vi9dieo conferencing system which will cut off all the time and the distance barriers and
enable a better communication among the stake holders.

People:
People never stay permanent within an organization and hence it is essential that they
work on the people aspect where they focus on the dynamic system which is less
dependent on the people involved. In this case they will have to resolve the process of the
KM and the entire process of the implementation of the KM should never be relied on the
individual alone
