1.0 Summary

1.1 The Lauren Site Admin Manager is responsible and accountable for the following:

1.1.1 To provide administrative support for the Site Manager and the rest of the
site staff personnel.
1.1.2 To provide leadership, management and coordination for other onsite
project team members, while understanding that some of these team
members will receive position specific direction from and provide periodic
feedback to their respective corporate support departments. Typically the
onsite staff people reporting to the Site Admin Manager will include
Accounting, Procurement, HR, Materials Management, Office
Management and Clerical personnel.
1.1.3 To exhibit personally and to actively promote the Lauren Mission, Vision,
Core Values and Keys to Success.
1.1.4 To encourage and drive Continuous Improvement in all on-site
implemented processes and work practices.
1.1.5 To participate in the company Mentoring and Development process for
various site staff personnel.

2.0 Pre-Job Preparation Responsibilities

2.1 During the time period after project award and prior to mobilization at the
project site, the Site Admin Manager will be responsible for the following
activities:

2.1.1 Thoroughly review the contract and all available work scope documents,
drawings, specifications and the construction estimate.
2.1.2 Study project execution and tracking documents:

 Project execution plan


 Project safety plan
 Project QA/QC plan

 Project schedule
 Job cost breakdown and cost codes
 Installed quantity and labor tracking plan
 Subcontracting strategy.

2.1.3 Work with the Site Manager to plan the layout and sizes of the offices and
other support facilities and structures.
2.1.4 Develop the site materials management plan.
2.1.5 Develop the site procurement plan.
2.1.6 Develop the timekeeping and brassing plan.
2.1.7 Work with the Construction Services and Human Resources departments
to fill the site staffing needs reporting to this position.
2.1.8 Participate in project kick-off and team building activities.
2.1.9 Learn the on and off site team member roles and interfaces.
2.1.10 Learn the project communication and reporting processes and procedures.

3.0 Construction Execution Responsibilities

3.1 The Lauren Site Admin Manager is responsible for providing and/or managing
the following day to day activities:

3.1.1 Provide administrative support for the Site Manager and the rest of the
site staff personnel.
3.1.2 Function as the primary interface with the home office Accounting,
Purchasing and HR departments.
3.1.3 Direct all on site activities regarding the following:

 Payroll
 Timekeeping
 Field accounting
 Material receiving and control
 Purchasing and local vendor management
 Human resources
 Computer/IT functions

3.1.4 Set up and maintain or administer the following ongoing documentation:

 Material receiving documentation


 Administrative documentation/correspondence
 Daily cost code verification
 Field purchasing
 Administrative meeting minutes and notes

 Field administrative correspondence


 Daily, weekly and monthly administrative reporting
 Maintain rental equipment logs (3rd party and LEC owned)

3.1.5 Perform or administer the following other administrative functions:

 Set up and maintain service and material supply arrangements


with local vendors. Control the use and documentation of open
purchase order arrangements
 Arrange for the set up of the construction support facilities
 Set up and maintain arrangements with local banks and
municipalities
 Investigate material shortages, shipping damages and other
material discrepancies
 Manage the flow of the project invoices through the Papersave
process
 Purchase field pick-up materials
 Control the use of the company credit cards. Code and
reconcile the monthly statements
 Make preparations for monthly meetings and safety
celebrations
 Monitor and track vacation, holiday and sick leave requests.
 Make travel arrangements for site staff travel, including
periodic trips home.

4.0 Project Closeout Responsibilities

4.1 The Site Admin Manager is responsible for the following during the closeout
phase of the project:

4.1.1 The organization of all field job administrative files for storage
(accounting, purchasing, personnel, correspondence, etc.).
4.1.2 Participation in all exit critique discussions.
4.1.3 Lessons learned input
4.1.4 Finalize and close out all purchase orders
4.1.5 Help acquire all final waivers from vendors
4.1.4 Finalize all outstanding invoicing and payment issues.

5.0 Key Results and Accountability Metrics

5.1 The following are the Key Results that the Lauren Site Admin Manager is
expected to achieve on each assigned project:

5.1.1 Accurate admin progress reporting


5.1.2 Competent and timely admin support for all on site personnel
5.1.3 Well documented records of all admin functions
5.1.4 Admin personnel who have learned and progressed.
5.1.5 More than satisfied external and internal customers.

5.2 The Accountability Metrics for the Lauren Site Admin Manager are:

5.2.1 On site admin documentation audit results


5.2.2 Budget metrics for admin staffing, supplies and other peripheral
expenses.
5.2.3 Work product metrics, such as timeliness, accuracy, clarity, etc.
5.2.4 Internal customer survey results.
5.2.5 Human resource metrics, such as staffing turnover,
training hours, promotion rates, etc.
