Regulations for Use of Rooms
Booking of Room
1. Booking of tutorial rooms/meeting rooms/PC Laboratory/Council Chamber should be made by delegated staff or
staff at Assistant Manager grade or equivalent or above.
2. User can check and book tutorial and meeting rooms with their own operator accounts in the Timetabling and
Room Booking System, or via FMU. Booking hours are from 09:00 - 22:00 daily. For ad hoc bookings and
bookings on Sat., Sun. and P.H., users are required to make bookings through FMU.
3. Meeting rooms are not intended for academic activities which would incur direct cost of individual budgets.
Request for special bookings must be submitted in writing to D(FM) for approval.
Priority
Allocation of rooms is on a first-come-first-served basis with priority given to special events or University-wide
functions. Therefore, bookings are subject to cancellations or changes. Users will be informed of any cancellations of
or changes in bookings as soon as possible.
Cancellation of Booking
Only delegated staff or staff at Assistant Manager grade or equivalent or above are authorized to cancel bookings. For
cancellations with less than 1 days’ notice, users are requested to inform FMU immediately, so that rooms can be
released for booking by other users.
Audio-visual Equipment
Request for extra audio-visual equipment and their set up should be made to ETPU directly. User is responsible for
the safe custody of the equipment. The equipment should not be left in the room beyond the booking hours in order to
avoid causing inconvenience to subsequent users.
Furniture
User is responsible for the proper use of furniture and equipment in the room which are prohibited from removing from
the room.
Tea Service
Tea service is only arranged for Council Meetings and Council Sub-committee Meetings during office hours. Tea
service for VIPs or special University-wide functions could be arranged with prior approval from FMU.
