HOTEL MANAGEMENT SYSYTEMS

Abstract:

A Hotel management system is a computerized management system. This system keeps


the records of hardware assets besides software of this organization. The proposed system
will keep a track of Workers, Recidents, Accounts and generation of report regarding the
present status. This project has GUI based software that will help in storing, updating and
retrieving the information through various user-friendly menu-driven modules.The project
“Hotel Management System” is aimed to develop to maintain the day-to-day state of
admission/Vacation of Recidents, List of Workers , payment details etc. Main objective of
this project is to provide solution for hotel to manage most there work using computerized
process. This software application will help admin to handle customers information, room
allocation details, payment details, billing information.etc. Detailed explanation about
modules and design are provided in project documentation. The existing system is a
manually maintained system. All the Hotel records are to be maintained for the details of
each customers, Fee details, Room Allocation , Attendance etc. All these details are entered
and retrieved manually,because of this there are many disadvantages like Time Consuming
,updating process, inaccuracy of data.For avoiding this we introduced or proposed a new
system in proposed system the computerized version of the existing system. provides easy
and quick access over the data. In hotel operations, procurement of goods and services is
the most vulnerable area which could lead to malpractice because hotels spend substantial
amounts on goods (such as food and beverage, utensils, toiletries etc.) and services (such
as cleaning and security services, group insurance services etc.). Besides making sure that
purchases are value for money, it is important for the hotel management to establish a fair
and competitive procurement system with sufficient safeguards to prevent abuse by
unscrupulous staff. As hotel maintenance and renovation also incur considerable expenses
and there is much room for corrupt manipulation in the letting and supervision of works
contractors

There are following main objectives of the Hotel:

 Keeping records of admission of customers.


 facilities provided by Hotel are fully utilized in effective and efficient manner.
Keeping the records of salary structure of the workers of Hotel by billing approach

Existing System:
In the existing manual system a lot of time is spent in communicating the information
across different branches.There is a need for an integrated automated system, which has
some centralized control over the entire process. Conventional System makes use of huge
amounts of paper for recording transactions. The existing system is a manually maintained
system. All the Hotel records are to be maintained for the details of each customers, Fee
details, Room Allocation , Attendance etc. All these details are entered and retrieved
manually.

Disadvantages:

1. Time Consuming .
2. updating process.
3. inaccuracy of data .

Proposed System:

proposed system the computerized version of the existing system. provides easy and quick
access over the data.Keeping records of admission of Recident Properly so that facilities
provided by Hotels are fully utilized in effective and efficient manner.Keeping the records
of salary structure of the workers of Hotel by billing approach.

Advantages:

1.Storing recident details correctly.

2.Maintain accuracy.

OBJECTIVES OF THE PROJECT


The project “Hotel Management System” is aimed to develop to maintain the day-to-day
state of admission/vacation of recidents, List of workers , List of Bills etc.
There are following main objectives of the hotel:

 Records of salary structure of the employees of Hotelby billing approach. Keeping


records of admission of recident.
 Keeping user satifaction as atmost priority.
 Scheduling the allotment of user with room to make it convenient for user.
 Scheduling the services of workers and properly so that facilities provided by
Hotel are fully utilized in effective and efficient manner.
 Keeping records of user registration details accurately arranged order so that the
treatment of Customers becomes quick and satisfactory.
 Keeping details about the users, their needs and paymentdetail reports etc.
 Keeping the best hotel facilities .

FEASIBILITY STUDY

A feasibility study is carried out to select the best system that must satisfy
requirements and its working ability in an organization.

1. TECHANICL FEASIBILITY:

The technical aspect of feasibility is largely concerned with answering the


question of who, why, where, what and how much in the contact of the
existing system and the proposed system. These questions are asked to the
user of the system. An investigation of present procedure is needed in order to
identify the volumes, trends and frequencies that will specify the affect of the
design of any computer based system. In our project all these points are
handled. Based on this we have designed the input screens, table showing list
of input fields with different possibilities of validation and their acceptability
to the user gauged and correction is done whenever it is necessary.
Technical feasibility study covers the technical aspects as far as the
automation is concerned.

2. ECONOMIC FEASIBILITY:

During the analysis of economic feasibility, the financial aspects of project is


taken into consideration. As this wizard helps in the faster development of
the applications, the time factor is reduced prominently , thus saving cost.
As today’s world requires “Go Green”, means avoiding unnecessary use
of paper, keeping this in mind we tried to make the things automatically ,
reducing the paperwork( reducing the skilled people to do the data entry
part) reducing production hours. What we need is person from basic
computer background ,that’s it!

3. OPERATIONAL FEASIBILITY:

Operational feasibility deals with feasibility of the system in operational


manner.
This system has been found to very simple & easy to use because it is
user friendly. The operational feasibility is found to be extremely useful.
As the proposed system is in VB.NET, the look is quite understandable
to the user, still we providing an official training for them to handle the
application.

2. Recident(User)

ADMIN MODULE:
This module provides administrator related functionalities. Administrator can view the
registered user and payment model.in this module admin can upload the information
about the hostles such as hotel facilities,payment details,recident allotment details and
allotment status.admin will give the responces to users based on requirements.always
checking the hotel strength and availability of rooms,and salary payment for workers.
Hotel main goal is to privide security maintainance.

USER MODULE:

This module is about users of this portal. By using this module user can lodge
any complaint about process User must be registered with the system. By using this
login id user will log on to this portal and do all transactions which are assigned to
them.user registration details must be secret after that he/she will get personel
id,password through that only contact the admin.user send a room allotment request
to the admin he will be wait until the administrator response,then only the user access
the permissions.

Testing:

 The process of executing a system with the intent of finding an error.


 Testing is defined as the process in which defects are identified, isolated,
subjected for rectification and ensured that product is defect free in order to
produce the quality product and hence customer satisfaction.
 Quality is defined as justification of the requirements
 Defect is nothing but deviation from the requirements
 Defect is nothing but bug.
 Testing --- The presence of bugs
 Testing can demonstrate the presence of bugs, but not their absence
 Debugging and Testing are not the same thing!
 Testing is a systematic attempt to break a program or the AUT
 Debugging is the art or method of uncovering why the script /program did not
execute properly.
Testing Methodologies:

 Black box Testing: is the testing process in which tester can perform
testing on an application without having any internal structural knowledge
of application.
Usually Test Engineers are involved in the black box testing.

 White box Testing: is the testing process in which tester can perform
testing on an application with having internal structural knowledge.
Usually The Developers are involved in white box testing.

 Gray Box Testing: is the process in which the combination of black box and
white box tonics’ are used.
