KEY ISSUES AT THE DISPENSARY

 Daily entry of dispensed medications; making sure type and quantity of drug dispensed
corresponds to that recorded in the log book.
 Back charging entry; also making sure clients are charged rightly and also corresponds with
what is indicated in the log book.
 Stock taking is done quarterly by counting each drug item manually and comparing the
physical quantities with the inventory stock on the drive and reconciling where necessary.
Expiry dates of medications should be checked whiles taking stock in order to able to alert
prescribers on close to expiry medications.
 Drug requisitions are done triannually. A reorder period of one month should be taken into
consideration when raising drug requisitions.
 In order to expedite the drug requisition and delivery process, an excel format of an A2
could be extracted from JDE and sent to the various suppliers to gather their quotes before
they receive the official mail from supply chain.
 When dealing with quotations, the most important factor to look at is the Unit of measure.
It saves company a lot.
 Some items which are not readily available on the Ghanaian market should be
communicated to suppliers prior to raising requisitions, at least one month.
 Entry of received items on the inventory sheet; making sure “receipt value” of a particular
item on the inventory sheet corresponds to that on the invoice.
