Termination Procedure

1. Disable user account per Termination notification in Active Directory by right clicking the user when located.
2. Open up the termination email and cut the description from AD to paste in the email draft for later use.
3. Add TERMINATED YYYY-MM-DD to the description according to the termination date from the email.

4. Email the manager name on termination email regarding incoming emails and calls – forward them? (Employee
Name’s account has been disabled. Do you need the incoming calls and emails forwarded to you?)

5. Open Exchange Management Console and find the user that is terminated by right clicking the Mailbox.
Double click on the user now to open up properties.
6. Take screenshots of Email addresses, Mailbox Database and Member Of. Create new folder in
\\Saturn\o$\”Current_Quarter”\Username and add the 3 .png screenshots naming them Username-Email, Username-
MailboxDB, Username-MemberOf. Save them in \\Saturn\O$: drive and attach to termination ticket in uGovernIT.
7. When manager emails back to forward the user’s emails, click Mail Flow Settings Tab. Browse to find the address.

When manager wants to forward calls to them delete any roles and add Terminated and Call Forwarding role in
Interaction Administrator. Clear client configuration, remove all licenses, exclude from directory, clear Workstation #,
and remove any skills configured for the user.
8. Set Primary Group to Old Employees security group and remove all other memberships. Move user to AAG Old
Employees OU in Active Directory.

9. Disable OWA and Exchange ActiveSync and hide mailbox from Exchange Address List
10. Clear manager name in Active Directory. If there are any direct reports, email manager and Jason Trac requesting who
will these direct reports report to now.

11. Search for terminated user and delete AAG Connect account.

12. If applicable, delete VPN and AirWatch accounts.


13. Copy user profile from desktop/laptop to Z: drive. Then archive (RAR) user folder in Saturn O:

14. After a month, delete IC and eFax accounts

15. After a month, follow up with manager regarding mailbox – OK to archive it to PST?
