QUALITÄTSMANAGEMENT
ISO 9001:2015
Kriterien für Qualitätsmanagementsysteme
(engl.: „Quality management systems - Requirements“)
Aspekte der gültigen ISO 9004 wurden in die ISO 9001 übernommen:
• ISO 9004:2009 „Ein Qualitätsmanagementansatz - Management
für den nachhaltigen Erfolg einer Organisation“
(eng.: „Managing for the sustained success of an organization -
A quality management approach”)
5. Risikomanagement
• Risiken und Chancen zu erkennen, gehört heute zu den
Grundlagen guten Managements. Dieses Thema greift die
neue Norm konsequent auf
• Forderung nach einem systematischen Umgang mit Risiken
und Chancen.
• Risikomanagement ist zentraler Bestandteil vieler Kapitel,
von der Unternehmensebene über Prozessrisiken zu
Entwicklungsrisiken, Beschaffungsrisiken etc.
5. Risikomanagement
• Neu: risikobasierte Audits finden Einzug in die Norm (Draft,
Kapitel 9.2, Internal Audit "related risks"). Damit wird ein
klares Defizit der ISO 9001:2008 beseitigt
• Organisationen müssen zukünftig Risiken und Chancen
identifizieren, analysieren, bewerten sowie
Gegenmaßnahmen planen, umsetzen und ihre Wirksamkeit
kontrollieren.
• Wie sie dies zu tun haben, legt die ISO 9001:2015 nicht
genau fest
6. Wissensmanagement
• Wissen ist in der heutigen Wirtschaft ein entscheidender
Erfolgsfaktor. Die Revision der ISO 9001 trägt diesem
Umstand Rechnung und fordert einen systematischen
Umgang mit Wissen.
• Dazu gehört, das notwendige Wissen zur Durchführung der
Prozesse festzuhalten, aufrechtzuerhalten und für alle
Mitarbeiter verfügbar zu machen.
• Wie das Wissensmanagement umgesetzt werden soll, dazu
macht die neue ISO 9001 keine Vorschriften. Es kommt
vielmehr darauf an, ein für das jeweilige Unternehmen
passende Wissensmanagement aufzubauen.

• Es ist die Grundlage für eine Zertifizierung und die
Umsetzung der Qualitätsmaßnahmen

• Jeder Mitarbeiter muss ohne Umwege die ihn

Anforderungen
Die QM-Dokumentation dient zum Nachweis, dass die Maßnahmen
wie im QM-Handbuch beschrieben, auch tatsächlich durchgeführt
wurden.
Die QM-Dokumentation enthält:
• die Aufbaubeschreibung der Dokumentation, Richtlinien,
Versionsstrategie und andere Dokumente für die Umsetzung des
Qualitätsmanagements, die nicht Bestandteil des QM-Handbuchs
selbst sind
• Checklisten für Überprüfungen inkl. Prüfverfahren und Prüf-
Cases
• die Nachweise, dass die vorgesehenen Maßnahmen zur
Erreichung der definierten Qualität auch umgesetzt wurden
• die Protokolle der Überprüfungs- und Schulungsmaßnahmen
• die Zertifizierungsurkunden und andere Bestätigungen
• Fundstellen und Auswertungsmethoden für Audit-Trails,
Protokolle und andere systemtechnische Nachweise

Anforderungen
Das QM-Cockpit dient zur Steuerung und Kontrolle der QM-Maßnahmen
zur Laufzeit. Neben den Richtlinien (QM-Handbuch) und den
Nachweisen (QM-Dokumentation) werden die aktuellen
Qualitätsparameter, -prozesse- und - maßnahmen gemonitort und
gesteuert. QM-Cockpits sind in produzierenden Betrieben üblich, finden
sich aber inzwischen auch Bereich der Büro- und Verwaltungsarbeit:
• Umsetzung der Qualitätsparameter und –regeln in der Software
• Überwachung Nutzung einschließlich Einhaltung der
Qualitätsvorgaben
• Alerts zum direkten Eingreifen in Prozesse
• Laufzeitauswertung von Protokollen

Obwohl elektronisches Unterschreiben rasch weiter an
Akzeptanz gewinnt, zunehmend eingesetzt wird und
Verordnungen wie eIDAS zusätzlichen Rückenwind

Introduction
Increasingly there is demand for business organizations to have
structure and visibility into their client facing processes.

Conclusion
From a technical and regulatory standpoint, complex
consumer transactions can happen entirely online. Yet
where most mobile strategies miss the point is that as a
consumer I want immediate resolution. If you cannot
provide that, I will quickly find someone who can. The value
you offer to me erodes the longer it takes you to satisfy my
desire, and the business value I represent to you drops just
as fast, as I am become increasingly likely to move on to

Introduction
Beyond “Big Data” style business intelligence, analytics is driving auto-
classification, content remediation security correction, adaptive case
management, and process monitoring and modeling. The first step for many
analytic processes is capture and recognition – from paper, and from other
multiple inbound channels. Something to consider when discussing analytics
for process automation and business insight, is that information can and is
being captured from multiple sources, including social media, blogs,
websites, and even remote devices – the Internet-of-Things. According to
27% of our respondents, content analytics (CA) is seen as essential now,

• Twenty-seven percent of respondents see content analytics as

Inbound/Process/Search Keyfindings
• Twenty-five percent of respondents say their processes
are flowing faster and more smoothly as a result of using
inbound analytics. Fourteen percent cite improved
governance and compliance.
• Content analytics is driving auto-classification for tagging
and routing to archive by 22% of respondents. Twenty
percent indicate they trigger inbound processes based on

Introduction
Organizations are faced with the challenge of providing an information environment
that supports the agile needs of their growing remote workforce in ways they can
securely access vital information and interact with operational processes. AIIM
Research found that when it comes to extending the information ecosystem beyond the
corporate walls, mobile and cloud support are seen as important for 67% of
organizations.2 (Figure 1)
The expectation by the remote workforce is to have the ability to do “real work”
regardless of where they are and regardless of device. Accessing information,
interacting with processes transparently is critical and must be an integral part of the
information and process management strategy in order to get a holistic view of your
data. Take customer data for example: Not every system involved with processing
customer data may be available on your mobile device, as the related systems may
only be available through desktop applications.
In the way a prism separates light into the many elements of the spectrum, the focus
for businesses should be on bringing all information elements across the enterprise to
the hands of the user. Think of your information sources across the enterprise as the
light spectrum, and your goal is to bring this information from their multiple sources,
through a focused lens, to a single point in the user’s hand.

Conclusion
Business organizations today must deal with the reality that the
remote workforce is growing rapidly, mobile device use is

important perspective is that this is not a new area of management. There

increasing use of unofficial cloud content management and file shares. Only

Introduction
Since the 1980s, we have been hearing about paper-free businesses and the drive to move toward a
more digital workplace. At the time, the technology and people were not ready for this
transformation. Today, the approach to digitally transform businesses has shifted from a technology
first perspective to a more business centric approach, with paper-free processes becoming a focal
point and opportunity for many organizations.
Yet despite widespread acceptance that reducing and removing paper is a best practice, we find that
only twenty-five percent of our 2016 respondents indicate they run a clear/paper-free environment;
the good news is that this figure is up from 18% in last year’s report. Discouragingly, 65% of our
respondents say they are still signing on paper, even though there is wide and growing acceptance
of digital and eSignature technology. Despite this, and the fact that paper is still a somewhat
dominant media in business, we see a 3% increase over the 2015 report, with 40% of our 2016
respondents indicating they have a number of paper-free processes and will do more in the future.
It is obvious that while interest and motivation toward a paper-free business environment is
increasing, there is still a long road ahead. The human factor is still the primary reason for paper use
in handling, reading, and note taking (47%). While benefits are acknowledged, and interest seems to
be growing, there is still a lack of management initiatives to move away from paper (47%). Our
respondents also cite a lack of understanding and awareness when it comes to paper-free options
(39%), indicating a need for education on how to approach and initiate a paper-free project.
In this comprehensive report, we take an in-depth look at the amount of paper in the office, the
impediments to removing it, the take up of digital mailrooms and multi-channel capture, and the
increasing exploitation of mobile and cloud. Above all, we look at the progress towards paper-free
processes, the triggers and decision making processes, and the issues, benefits and ROI.

management by 39% of our respondents, with 34% citing
AP – invoice processing.
For 27% the greatest reduction is seen with technical
documents.

• Responsibility for radical process review falls on the
line-of-business or department head according to
26% of our respondents.
It is the top-level executive who is responsible for radical
process review in 22% of respondent organizations.
• When it comes to converting key business
processes, Accounts Payables (AP) is the top
priority according to 30% of respondents.
For 27% it is Accounts Receivables (AR) and Records
Management—cited equally.

There is a growing need to pull back the curtain of the enterprise and closely examine critical
processes and functions to gain operational intelligence. We do this to make processes more

Business intelligence (BI) tools in a number of organizations work to better quantitate overall

Conclusions
Records are an asset that organizations must manage. Records management
establishes the practices and guidelines that must be followed to ensure that any
record created or used in an organization in the course of normal business activities is
maintained properly. As a result of the introduction of the regulations, organizations are
more aware of their records and are regarding them as business assets rather than
taking them for granted. Now, what we need to do is manage the records more
effectively.
Don’t rush your records inventory. It will help you to plan your storage requirements for
onsite and archival needs.
Make sure that you involve your legal department along with your records managers, IT
department, and line-of-business subject experts to ensure all factors are thoroughly
explored as you analyze your records and develop your Records Retention Schedules.
When the analysis is completed, it should be reviewed by your organization’s
leadership and approved at a high level in the organization.
While it is best to use standards, best practices, and test/ metrics that have been vetted

Die IT-Budgets steigen in diesem Jahr etwas stärker als im letzten Jahr.
• IT-Organisation
In der IT-Organisation ist Digitalisierung derzeit das alles beherrschende
Thema.
• Digitalisierung
Die Anzahl derjenigen, die Probleme bei der Digitalisierung haben, ist
von 41 auf 60 Prozent gestiegen. Die größte Hürde ist de
Fachkräftemangel.
• Sourcing und Cloud
Insgesamt nutzen jetzt rund 63 Prozent der Unternehmen eigene Clouds
und 47 Prozent Services von Anbietern.
• Big Data
Die Big-Data-Nutzung hat in den letzten 12 Monaten zugenommen.
Inzwischen betreiben knapp 16 Prozent der Teilnehmer mehrere und 8
Prozent eine Anwendung.
• Agilität
Ausgehend von den 2014 ermittelten Werten hat die Agilität in den
letzten beiden Jahren zugenommen. Die Fortschritte in den einzelnen
Bereichen waren jedoch sehr unterschiedlich.
• Tops und Flops des Jahres
Sicherheit hat als übergeordnetes Thema auch in diesem Jahr wieder die
höchste Bedeutung für CIOs.

„Es gibt keine vollkommene technisch umgesetzte Sicherheit!“
• Informationssicherheit gewinnt angesichts der zunehmenden
Angriffe aber auch durch das Informationswachstum immer
mehr an Bedeutung.
• Maßnahmen zu Verbesserung der Informationssicherheit sind
nicht nur technisch sondern betreffen im Besonderen die
Qualifikation der Mitarbeiter, Weiterbildung, Unternehmenskultur
und Bewußtsein für Sicherheitsfragen.
• „Security“, „Safety“ & „Privacy“ überlappen sich zunehmend.
• Die DS-GVo (GDPR) ist einer der Treiber für
Informationssicherheit beim Schutz personenbezogener Daten.
• Informationssicherheit ist eine Eigenschaft, die durch
Information-Management-Systeme effizient unterstützt werden
kann.

• Information Governance ist nicht Corporate Governance und
auch nicht IT Governance. Sie betrifft direkt die Information.
• Informationslandkarten sind ein notwendiges Werkzeug um
einen Überblick über die Information im Unternehmen und ihren
Wert für das Unternehmen zu erhalten.
• ECM, EIM, Content Services Applications, Records Management
… oder wie auch man immer die Lösungen bezeichnen will,
dienen letztlich zur Erreichung einer Information Governance.
• Information-Management-Systeme sind die grundlegende
Voraussetzung für Information Governance.

„Angst entsteht durch die Intransparenz und Allgegenwärtigkeit der
Systeme!“
• Digitalisierung, Automatisierung, Robotik, Künstliche Intelligenz
usw. erzeugen Angst um Arbeitsplätze, Datenschutz und
Freiheit.
• Angst vor neuen Technologien verhindert den effizienten
Einsatz und ist daher in Projekten ein Risiko des Scheiterns.
• Falsche Ängste können nur durch offene Kommunikation,
Information und Ernstnehmen behoben werden – nicht durch
noch mehr Technologie.
• Information-Management-Systeme können Ursache für Angst
vor der digitalen Welt sein, aber auch Hilfsmittel durch
geeignete, dem Menschen adäquaten Informationsverwaltungs-
und –erschließungsverfahren Ängste und Belastungen zu
nehmen.

„Das papierlose Büro ist nicht das Ziel sondern medienbruchfreie,
durchgängige Prozesse im Büro sind das Ziel!“
• 4.0 wird gern für Industrie 4.0 und IoT Internet of Things in
Anspruch genommen. „Smarte“ Prozesse in der Industrie sind
aber nur umsetzbar, wenn auch die begleitenden Büro- und
administrativen Tätigkeiten auf gleicher Höhe der Digitalisierung
sind.
• Das Büro 4.0 wird überall sein – Cloud, Mobile und „intelligente“
Software lösen die Idee des Büros als Schreibtisch, Raum oder
Gebäudes auf.
• Mit dem Büro 4.0 kommen neue Arbeitsmodelle, die auch
Software als fast gleichberechtigten Kollegen zukünftig
berücksichtigen müssen.
• Information Management stellt die Basis-Infrastruktur für dieses
Büro der Zukunft bereit.

„Mobile Geräte verändern wie wir kommunizieren, arbeiten und
denken!“
• Mehr noch als die Cloud steht das mobile Endgerät heute als
Maßstab für Performance, Nutzungsverhalten und Funktionalität
von Software.
• Die Verbreitung setzt einerseits Maßstäbe, wie Menschen
Information nutzen wollen, bringt jedoch Kapazitäten von
Verbindungen und Systemen an die Grenzen.
• Mobile Geräte mit ihren kleinen Bildschirmen und ihrem
besonderen „Wisch-und-Weg“-Bedienungskonzept sind für
traditionelle Bereitstellung von Dokumenten, Akten und
Prozessen nur bedingt geeignet.
• Effektives Information Management ist dennoch und gerade
deshalb eine wichtige Voraussetzung notwendige Information
sicher, schnell und zielgerichtet dem Endanwender zur
Verfügung zu stellen.

„Die Cloud ist da und geht auch nicht mehr weg!“
• Die Cloud steht für jederzeitige Verfügbarkeit von digitaler
Information an jedem Ort und auf jedem Gerät. Sie ist so fast die
Erfüllung der alten Vision des Dokumentenmanagements.
• Cloud bietet eine große Bandbreite von sicheren Private Cloud
Lösungen als Plattform über hybride Lösungen bis hin zur
Public Cloud mit SaaS Software as a Service Angeboten. Als
Argument gegen die Cloud alles nur auf die möglichen
Unsicherheiten der „Public Cloud“ zurückzuführen ist falsch.
• Cloud-Lösungen sind aus Kosten- und Betriebssicht günstig
und bieten gerade kleineren Unternehmen Verfügbarkeit und
Sicherheit, die mit eigener Klein-IT nicht erreicht werden kann.
• Enterprise Content Management bedient sich inzwischen mit
zahlreichen Lösungen arrivierter wie auch neuer Anbieter der
Möglichkeiten der Cloud.
• Die Cloud selbst benötigt Information Management und ist
selbst ideale Plattform für Information Management über die
Unternehmensgrenzen hinaus.
9. Totale Vernetzung

Totale Vernetzung
„Vernetzung: Alles mit Allem, jeder mit jedem!“
• IoT, Internet of Things, ist nur eines der Beispiele, wie die
Vernetzung und Durchdringung aller Bereiche des Lebens
voranschreitet – im Unternehmen wie im Privaten.
• Vernetzung erhöht Komplexität, macht Lösungen
intransparenter, fehleranfälliger, zum Gegenstand von
Manipulation und zum Wachstumstreiber der Informationsflut.
• Informationsmanagement muss sich auch mit verteilten
Lösungen, Informationen außerhalb der Organisation,
unterschiedlichsten Lebenszyklen, Typen und Formaten
auseinandersetzen.
• Die „Totale Vernetzung“ benötigt ein effizientes Management der
Information, die generiert, transportiert, aggregiert, gespeichert,
ausgewertet und bereitgestellt wird. Totale Vernetzung ohne
Informationsmanagement führt ins Chaos.
Managed Services
„Immer alles selber machen?“
• Neben den Entwicklungen der Cloud gewinnt weiterhin das
Outsourcen von Lösungen und Dienstleistungen an Bedeutung.
Gerade beim Betrieb komplexer Information-Management-
Systeme, bei der Informationserfassung wie Scannen oder bei
der Automatisierung von Prozessen über die
Unternehmensgrenzen hinweg spielen „Managed Services“ eine
wichtige Rolle.
• „Managed“ Service steht außerdem für die effiziente und
gesteuerte Nutzung von Dienstleistungen, die
Nachvollziehbarkeit und hohe Qualität sicherstellen soll.
• Managed Services unterstützt einerseits Information
Management, andererseits ist aber auch Information
Management notwendig um ein sicheres, kostengünstiges und
effektives Nutzen dieser Services zu ermöglichen.
