Exercises Week 4 Unit 1: Purchasing External Services

EXERCISE 1:

Business scenario:
Purchase an external service. The external consultants in the project team need to be purchased. Create a
project purchase request. The follow-up purchase order will be created automatically due to system
configuration.

Exercise goals:
In this exercise, you will learn how to create a project purchase request.

Task 1: Create Project Purchase Request and Purchase Order


1. Log on to SAP Business ByDesign using the below mentioned credentials for Peter Sellers
a. User ID: projects01s
b. Password: Welcome1
2. Click the Show/Hide work center navigation icon.
3. Click Project Management  Projects
4. Mark your project CPSOXYZ from week 1 (replace CPSOXYZ with the ID of the project you
created in week 1) and click Edit -> Products
5. Mark the line with product S200101 – Senior Consultancy and click Create Purchase Request ->
For Service/Supplier
6. A popup “New Purchase Request” will appear.
7. Remove the first line of the Project Purchase Request since you don’t want to order that service.
8. Have a look at the information in the detail screens of the two remaining lines for ordering the
services with “Excellent Consulting” and “Innovat”.
9. Click Finish.
10. Click Save
11. Click Close
12. Open the project CPSOXYZ again after a few seconds (click Edit  Products)
13. Click the tab Purchase Orders. You should see 2 Purchase Orders.
14. Click the Purchase Order Item for the supplier Excellent Consulting. The Purchase Order opens
in a new window in the browser session.
15. Click View All.
16. Click items and check the settings.
The indicators Goods and Services Receipt Expected as well as Time Recording Required are
both checked.
