SECOND CIRCULAR

Dear Colleagues,

It’s about 6 weeks more to the 19th Asian Physics Olympiad in Vietnam (APhO 2018) which will take place
in Hanoi - Vietnam from 5th to 13th May 2018. The organizing committee has been working hard to make
sure that you will have enjoyable stay in Vietnam. I am pleased to give you updates and to remind you of
some important information:

As of 22nd March 2018, we have received 28 the registration of following countries and regions among
whom the teams of Australia, Bangladesh, China, Indonesia, Kazakhstan, Thailand, Russia, Turkey and
Saudi Arabia provided with detailed information.

Note: Citizens from these countries can enter to Vietnam with a visa exemption for a term of residence
up to 15 – 30 days (to be varied by country).

Visa
The official invitation letters will be sent to the contact person of each country by e-mail to assist your
visa application in the coming week. You are advised to submit application to the Vietnamese Embassy in
your country at your earliest convenience.

Medical Insurance
It is highly recommended that delegates should purchase suitable travel and medical insurance in their
own country. The organizers will not be responsible for any medical expenses incurred by the leaders,
students, observers and visitors during APhO 2018. Our onsite medical staff will provide first aid service
when necessary. There is a clinic at Hanoi University of Science and technology (HUST) and major hospitals
near the hotels and HUST.

Travelling
We would like to recommend you to book air flight for your delegation as early as possible. If for some
reason you have to arrive in Hanoi earlier than 5th May 2018 or leave later than 13th May 2018, please
inform us well in advance. We will be pleased to assist you with your lodging arrangements. However, the
cost will be borne by the participating teams. Please note that assistance in booking accommodation
beyond Olympiad period will only be done upon receipt of extended nights’ payment.

Calculator and other school supplies

The organizer will provide a non-programmable calculator Casio FX 570MS to students. School supplies
will be at their disposal in the examination room. Other study items will not be permitted.

Computer and software

The organizer will not provide the delegation leaders with desktop. You are highly recommended to bring
your own laptop.
ExamTools that is a web-based software developed and successfully introduced at the International
Physics Olympiad 2016 in Switzerland and at APhO 2017 in Russia will be used at APhO 2018 in the process
of discussing, voting upon, translating and marking the exam problems for the students. The information
of ExamTools software and a trial account in public server will be sent to leaders 2 weeks before the event.
A secret server will be replaced to support the exam workflow during APhO 2018.

Electricity
The standard electrical voltage in Vietnam is 220 volts AC, 50Hz.

Participation fee
Team (maximum 8 students and 2 leaders): 2,000 USD
Observers/Visitors: 1,500 USD/person
Should any of leaders, observers or visitors wish to have single occupancy accommodation, a surcharge
of 750 USD will be applicable. To facilitate room reservation, we appreciate your notification if the number
of observers and visitors needs to be updated.
Official expenses during APhO 2018 (5-13 May 2018) will be covered. All expenses beyond APhO 2018
period will be on own account of the teams.

Please inform the Secretariat when the payment is arranged. Your payment status will be updated on the
registration system accordingly. Invoice will be sent upon request and official receipt will be given to
leaders on site at the APhO 2018 registration desk. Kindly note that the participating teams have to bear
all banking charges for all payment methods.
