Course Goals
Taleo (TEE): This course is designed as the first class that any Taleo Enterprise System
Introduction to Administrator should take. It is designed for customers who are new to Taleo
Configuration applications and covers the basics of Taleo Configuration for all applications,
including Recruiting, Performance, Onboarding or Transitions, and Career
Section. At the end of this course, you will be able to confidently perform the
following tasks in Taleo Configuration:
This course includes practical hands-on exercises for you to apply your
knowledge and reinforce learning. There will also be ample time for questions
and discussion. You are encouraged to ask questions throughout the lessons of
the course.
The screens shown in this course may not be identical to those you see when
viewing the Taleo Configuration at your organization. This is because each
organization can configure the application to meet their needs.
Overview Taleo Configuration contains options for many of Taleo's applications, including
Recruiting, Onboarding, Transitions, Performance, and Career Section.
Under the properties of any setting there is a field called Security Level. There
are three possible options for this settings:

Overview The fundamental data structure in Taleo applications is made up of the core
data elements Organizations, Locations, and Job Fields (OLF).
These data elements are organized into a hierarchical structure. They are used
repeatedly throughout Taleo Enterprise to perform a variety of day-to-day
activities. When recruiters create a requisition, they have to consider factors
such as the location, job specialty, and the division for which the requisition
needs to be filled. This is referred to as contextualization. This imposes
order on various types of information and gives extensive control over
information.
Parent-Child Relationships
In working with hierarchical data, it is useful to understand parent-child
relationships. Using Locations as an example, the top-level element is a
country. Countries are known as parent elements because they have child
elements, which are states/ provinces. States/provinces are children of
countries, but are also parents of regions, which are parents of cities.
Before any changes can be made to these elements, the system must be
switched into Maintenance Mode. Great care must be exercised when
performing this switch, as users and candidates will not be able to access the
system until Maintenance Mode is turned off. Thus, Maintenance Mode is
typically used during off-peak usage hours such as evenings, weekends, or
holidays.
There are User Types permissions associated with activating Maintenance Mode
and modifying OLF elements. The two permissions are 'Manage Application
Mode' and 'Manage Foundation' and are accessed under the Configuration
Domain, Foundation Data Sub-Domain in a User Type.
1 - Scenario Your organization announced they are building two small research facilities in
Monaco, and that you need to add these Locations. Before you can do so, you
must switch Recruiting into Maintenance Mode.
Step Action
Under the Central Configuration column, locate the area called Operations.
Result: A window displays showing how many users are logged into the system. In a
real-world scenario, you would not want to switch the system into Maintenance Mode if
users are connected.
2
If there are always users connected to the system, you would use these numbers to
minimize the impact that Maintenance Mode will have.
How many users are connected to the Career Section? _____
3
How many are connected to Recruiting? ____
Click the Edit link.
4
Step Action
If Recruiting is not in Maintenance Mode, click the Mode drop down menu for Recruiting.
7
2 - Scenario Your organization is building two small research facilities in Monaco. You must
check to make sure that the country has already been added to your
organization's list of countries. You also want to make sure you know how to
add a country location to your organization's structure, so you will also add a
country that is not listed.
2 - Adding To check if a Location has already been added and to add a new Location,
Locations complete the following steps.
Step Action
Locate the SmartOrg area.
Step Action
Locate the Locations area.
Look at the top right corner of the Location list. The list shows 1 - n out of n. What does
3 n equal on this screen? ______
Note: Since Monaco is already in the list of countries, there is no need to add it. But you
5 do want to see how to add a new country to your organization's locations.
Click the Add link to the right of the Children area.
6
Look at the top right corner of the Location list. The list shows 1 - 15 out of how many
7 total Locations? ______
Note: The number of Locations in this list is much larger than the number you wrote in
8 Step 4. This list includes every possible location that could be added to your
organization's list.
You want to see if the United Kingdom is on the list of countries.
Result: A list of locations in the United Kingdom display. These locations are already in
12 the Taleo database, so if you had a facility in the United Kingdom, you could select the
correct locations from this list.
Step Action
Normally you would select the location you want to add. Since we are in a training
13 database, you will not add any new locations from this list.
Click the Cancel button.
14
3 - Scenario For the two research facilities your organization is building in Monaco, you need
to be able to distinguish between the two for Requisitions, Onboarding, etc.
After checking the system, you see that Monaco has no distinct locations
(cities), like the United Kingdom did. You must create these locations to
Step Action

Overview When working with Users in Taleo Enterprise, you view and configure a number
of different settings.
Personal Information, such as address and email
Employee Information, which contains data needed for Taleo
Performance
Account Information, such as username and password
User Types, defining which features the user can work with and what
permissions they have
User Types
User Types combine Product Access and Permissions. User Types are unified,
meaning they work the same way for Recruiting, Onboarding or Transitions,
Configuration, and Performance. You can create a single User Type and
incorporate multiple products within one User Type. When creating User Types,
you grant access to various Domains and Sub-domains. Taleo uses the
Domain approach because a Domain can be accessible in more than one
product.
A user can have multiple User Types, like Recruiter and System Administrator
for Recruiting, and Manager for Performance. There is also a Hiring Manager
User Type included in Taleo Configuration.
You should examine the User Types that come with Taleo Enterprise to
determine if they fit the needs of your user population. You can modify existing
User Types and create new ones to meet your organization's needs.
Step Action
1 Verify that you are on the SmartOrg Administration page.
4 Name = recruiter 3.
Click the Refresh button.
5
7 Notice the Functional Domains associated with the Recruiter 3 User Type.
Click the Recruiting link.
8
Step Action
Notice the Requisitions permissions that the Recruiter 3 User Type has.
10 Can a user with this User Type Edit Requisitions with or without restrictions?
With / Without
The system only shows permissions that are activated. To see all possible Requisition
permissions, you need to click the Edit link.
12
Examine the permissions under Search. You may need to scroll down to see this sub-
domain.
You want to examine the permissions that a System Administrator User Type has, to
ensure they can create Requisitions.

2 - Scenario A new Sourcing Specialist will be starting tomorrow and you need to create a
new account. You have decided that Sourcing Specialists will be assigned the
User Type of Recruiter 3.
Step Action
Locate the Users area.
Note: Employee Information is used in the Performance application, as well as the new
Dynamic Approval Routing module. You will not complete this information for this
exercise.

Overview A Group is a collection of users who need to have access to the same
information and possibly be restricted from having access to other requisitions
and candidates. For example, a group of people who work on requisitions for
the same department may all belong to the same Group.
User Groups are unified across products. This means a single User Group can
have access to certain elements of information for Recruiting, and different
aspects of information for Reporting or different Performance modules. A User
Group consists of the users who are linked to the Group and the Coverage
Area specified for the Group.
OLF Association
You can associate Organizations, Locations, and Job Fields (OLF) to a Group to
limit what the users of the Group can see. For example, if a Group is only
associated to the Location San Francisco, then Users of that Group will:
Only be able to create requisitions for San Francisco
Only be able to view requisitions for San Francisco
If a User belongs to more than one Group, then they are able to view or create
requisitions under each Group.
Users who belong to a Group that has restricted candidate search and OLF
associations will only be able to see candidates in the search results whose OLF
preferences match the Group's OLF. Candidates' preferences are determined
by the requisition(s) they applied to or were matched to, and the OLF selections
in their profile.
A User may also have additional restrictions based on their Hire Type
restrictions (which are determined by User Type). For example, Recruiter 2
1 - Scenario Your organization has realigned their recruitment activities and asked you to
add a new Group, Campus Recruiting, to support this new structure. The
members of the Campus Recruiting Group will be responsible for all of your
recruiting on Campus. Also, your HR team has decided to segment the Campus
Recruiting pool of candidates from the rest of the database. They have tasked
you to apply the following to the Campus Recruiting Group:
Restrict Candidate Searching
Limit the location to California
Step Action
Locate the Users area.
First you will select and save the Domains; then you will select the OLF elements of the
Coverage Area.
Note: You want to provide users who belong to this Group access to Recruiting
8 Requisitions and Search function for candidates with the same OLF as the Group.
Step Action
Locate the Recruiting Domain with the Requisitions Sub-domain.
Step Action
Locate the Group - Campus Recruiting -[your initials] in the breadcrumb trail.
Note: You can add users to the Group from here or from within a user's account.
20
Click the Add link.
2 - Scenario The next step of segmenting your candidate pool is to verify that Recruiters
have the ability to create Campus requisitions. For this scenario, you will
check permissions for Recruiter 3.
Step Action
Locate the Users area.

Standard Notification for a registration
These messages will help you manage user name and password information for
all the users in Taleo Enterprise.
Legal Agreements
A Legal Agreement is a disclaimer text activated by the System Administrator
and displayed to users when accessing a Taleo solution. Organizations can
create a legal agreement that users must agree to abide by before they can log
in. The text of such agreements typically reminds all users that the computers
they are accessing are government or private industry-owned and must be used
in accordance with good security practices.
Scenario A new corporate initiative is announced where all security policies will be reviewed
