Instructions
1. Assessments should be completed as per your trainer’s instructions.

5. You may discuss your assessments with other students, but submitting
identical answers to other students will result in a failing grade. Your

6. Your trainer will advise whether the assessment should be digitally
uploaded or submitted in hard copy. Assessments that are digitally
uploaded should be saved in pdf format.
7. You must pass both assessments in the subject to pass the subject.

Assessment 1 – Written Assessment


For this activity you will create a record of a project in order to demonstrate your
knowledge and understanding of project quality management.
Your record will need to explain how you would determine the project’s quality
requirements, how you would implement quality processes and how you would
implement project quality improvements.
Briefly outline the project.

To start a cleaning company

Create a log of your example project, explaining how you would:


 Determine the project’s quality objectives with the project’s
stakeholders (6 marks, 2 marks per objective)

 number of unsatisfied clients reaches and keep 10%


 use of products with quality certification
 rigid and proactive quality control, meeting all requirements of Australian and
international standard

 Define the project’s quality metrics (6 marks, 2 marks for each metric,

The way to communicate with stakeholders vary according to the organisational


procedures and client requirements and preferences. Communication methods
may include:

 Meeting  Teleconference
 Email  Specification paperwork
 Telephone  Letters

All communication methods should allow for easy and clear communication so
that all can explain their positions and requirements in order to reach a mutual
agreement. Where verbal communication takes place, it is expected that the
agreements and requirements will be provided on paper as proof and
confirmation of the agreements and specifications.

 Take steps to identify a variance. What is the variance? How was it


discovered? How will you resolve the problem? (4 marks)

Variances to the quality metrics may be required as the project progresses.


Variances may be caused by events inside or outside of the project. Where a
project’s quality is subject to change, it is important to adapt and allow
variances to occur in order to ensure that quality objectives remain achievable.
In projects where the metrics and requirement are fixed and are not subject to
change, then variances may be the result of failings and other problems.
In any case, variances to quality metrics must be identified for that is possible:
 Take remedial action
 Understand how the variance occurred
 Take preventative action in the future
 Minimize effects for this and future projects.
Quantitative measuring enable to identify variances in quality metrics; also it
needs to assess the situation to identify whether the variance could have a
negative effect on other elements of the project’s quality. Analyzing metrics can
provide you with the tools and information you need to solve the problem and to
forecast both the overall outcome of the project and the potential and/or likely
effect of the variance on the remainder of the project

 Record quality audit data (4 marks)

All identified variances should be recorded and documented. This information


should be communicated to relevant others who can initiate the appropriate
action to combat and resolve the issues now and in the future. Appropriate
others may be:
1. Higher project authority
2. Organisational quality management
3. Project managers
4. Project specialists and other personnel
5. Team members

Using compliance records, quality criteria, quality assurance and other methods
and tools covered in this unit will provide you with data on quality performance
and will allow you to identify variances

 Ensure that quality objectives are relevant and achievable in all four stages
of the project’s life cycle (8 marks)

Generally, a project’s life cycle is thought of in these four stages


Initiation, Planning, Execution and Closure. To ensure that the quality
objectives are applicable and performable in all of them it is needed that
monitoring and control occur concurrently with the project's life cycle.
For that, processes are required to monitor, review and regulate project
progress and performance, identify all areas where changes to the plan
are required, and initiate corresponding changes.

The benefit of these processes is that project performance is observed
and measured periodically and uniformly to identify variations in relation
to the project management plan.
It is crucial that quality objectives remain achievable throughout the
project not only to motivate the staff but also to avoid branding the
project as unsuccessful. Practicing flexibility and coping mechanisms to
adapt the objectives and the project so that it remains achievable.

In my project I would apply:

1. Inspections and audits in compliance with guidelines


2. Monitoring conformance to the specification and checklist
3. Recommending ways to eliminate causes of unsatisfactory
performance of processes
4. Regular inspection
5. Reporting variances
6. Maintain records and documents in line with organisational and
legal requirements
7. Reviewing the project and process
8. Document the lessons learned

 Review the project’s outcomes to determine how effective the quality


management was (3 marks)

With the quality management tools and methodologies we can monitor a project’s
quality. In a cleaning company, tools and methodologies such as roots and cause,
Fishbone, 5S and Lean will be largely applied to control and assure the results in
quality.
