Green Local Schools
Kaitlyn King
2018
“Learning, Sharing, Caring Together”

Mission:
Our mission is to create an environment for Green Local Schools that will provide students the
opportunity to succeed in their unique life endeavors while preparing them for an advanced
education, all within a safe, firm and family friendly environment.

Strategies:
Success of our mission will be obtained through employing a six-point strategy method as
follows while creating and sustaining a culture of teamwork.

•   Learning will always remain at the center of our mission. We will provide all
stakeholders opportunities for academic, physical, social, and emotional growth.
•   Partnerships will be established with corporations, universities and families that advance
the goals and objectives for all participants in order to advance our mission.
•   Operational oversight will be carried out focusing on fiscal responsibility, efficiency and
safety as priorities.
•   Create a technology-rich learning environment for students with the use of advanced
technical tools and resources such as iPads, Chromebooks, robotics and programming.
•   Create a family atmosphere for students, teachers, staff and parents that rewards and
recognizes individual and group efforts.
•   Communicate, Communicate, Communicate!

Values:
We promise to care for all children as if they were our own, to treat everyone as we wish to be
treated and to never deny an education to any child. Ever. Those promises, expressed through the
idea that the best educational service is family centered, are what guide us, motivate us, inspire
us and differentiate the remarkable quality of our educational care here at Green Local School
District.

Policies  and  Procedures  for  Responding  to  News  Media  Inquiries

1.   The  principal  or  designated  person,  for  each  building  should  be  the  only  person  of
contact  by  the  media.
2.   The  principal/designated  person  should  collect  information  from  the  media  outlet  such
as  who  they  are,  why  they  are  calling,  what  they  want  to  know,  and  where  they  are
calling  from.
3.   The  principal/designated  person  shall  speak  with  the  Director  of  Communications  and
Community  Relations,  to  prepare  and  collect  information  on  the  topic,  before  making  a
statement  to  any  media  outlet.
4.   The  principal  should  only  answer  questions  that  pertain  to  their  building.  If  questions
arise  about  the  other  buildings  within  the  district,  or  the  district  as  a  whole,  the
administrators  should  direct  the  caller  to  the  Director  of  Communications  and
Community  Relations  for  further  information.
5.   Regarding  a  crisis  situation,  principals  should  speak  with  reporters  directly.  The  principal
should  be  prepared  to  answer  who,  what,  where,  when,  why,  and  how  about  the  crisis.
Answers  should  be  direct  and  concise  to  ensure  exact  understanding  by  the  public.

Policies  and  Procedures  for  Responding  to  Internal  Constituents  (students,  faculty,  staff)

In the case of a crisis situation, all internal adult constituents will be contacted through an
email, written and sent by the administrator. This email should include all information regarding
who, what, where, when, why, and how questions that is available at the time. The email should
also include information on how to handle immediately handle the given situation.
In conjunction to the email sent to all faculty and staff, a memo using the app, Remind
101, will also be sent out including the same pieces of information.
The PA system used throughout the school should be used to address crisis and
informational news during school hours. This can be used to signal teachers to check their email
or phone app.
Students, at the elementary level, should be notified of the situation by their teacher once
they have educated themselves on the current situation.

Policies  and  Procedures  for  Responding  to  External  Constituents  (Parents,  Local  Community,
Partner  Schools)
Parents should be notified of all information through monthly newsletters that will be
sent home in paper and email format. In the case of an emergency, an additional letter/email
should be sent to parents on the day of the event.
In addition to newsletters, parents will be notified through the all call system of any
important information occurring at their child’s school. In the case of an emergency, a brief all
call should be sent out addressing the severity of the incident. This call should not include
specific details, as those will be released in a future press conference, after collecting data and
facts.
Partner schools, such as different grade level buildings throughout the district and other
school organizations throughout the community, as well as the local community should be
notified, immediately, through email, by the administrator, or through verbal communication, if
the incident contains potential harm to them.

Tips  for  Non-‐Verbal  and  Verbal  Ways  of  Communication

Nonverbal:
1.   Pay  attention  to  body  language
2.   Demonstrate  confidence  (posture,  stance)
3.   Focus  on  your  tone  of  voice  when  speaking
4.   Use  eye  contact
5.   Be  aware  of  the  context  in  which  you  are  projecting  information

Verbal:
1.   Make  statements  short  and  concise
2.   Always  address  the  positives
3.   Speak  with  a  clear  tone

Types  of  Communication:
1.   District  or  Building  All  Call  to  parents/staff/community  members
2.   Post  to  a  social  media  page
3.   Post  to  the  district’s  website
4.   Email  sent  out  to  parents,  faculty,  and  staff
5.   Memo  sent  through  Remind  101

Crisis  Memo
“A student in your school recently committed suicide in one of the school/locker room
bathrooms. A police investigation is already underway and the media has already been
informed of the situation by local students and people in the community. It is now 5 hours
post incident and you need to inform your internal and external constituents about the
incident.”

Given that it is now 5 hours past the time of the incident, the administrator has likely already
notified the family of the child, called for additional support for safety of other students and
evacuated the building. At this time, the administrator should follow up with the following
procedures:
1.   Gain permission from the student’s family to address the situation to the public.
2.   Meet with the building safety/crisis team. Write a script for secretaries, staff and
student announcement, parent letter, contact crisis counselors, and designate rooms for
counseling.
3.   Reach out to the media to speak out to the public, verbally, about the recent crisis.
Only present general information and never state the student or families name.
4.   Set up a staff meeting as soon as possible to discuss how conversations will be handled
if the topic comes up during school.
5.   Reach out to other schools within the community or close by that may have students
with siblings in the school. Address these schools of the situation.
6.   Provide families of students with support, during school hours and outside services.
