Problem: Gallery 1906 is a successful art gallery located in Chicago. The gallery owner, Lauren Kim,
wants to take advantage of your computer skills and have you create documents for the gallery that she
can reuse in upcoming months. These documents include a sales proposal for customers who would
like to use the gallery’s space for private events and a letter inviting the gallery’s patrons to a special
reception. Lauren also would like you to create a monthly newsletter to highlight upcoming exhibitions
and other events at Gallery 1906.
Instructions Part 1: You create a sales proposal to provide to customers who are interested in using the
gallery space for a private event. In a new document, change the theme to Civic and then change the
theme colors and theme fonts to Austin. Create the title page similar to the one shown in Figure 1 – 1.

Indent the left and right edges of the Guidelines paragraph by 0.5 inches. Insert the SmartArt graphic,
as shown in the figure. Three picture files are available on the Data Files for Students: Wedding.jpg,
Party.jpg, and Corporate.jpg. Resize the pictures as necessary. Insert a next page section break at the
end of the title page.
Insert the draft body of the proposal below the title page. The draft is named CAP Event
Proposal Draft in the Data Files for Students. Insert a header using the Alphabet style on the first page
of the body of the draft. Insert a footer with the page number located in the bottom right and then
change the starting page number to 1.
Format the headings as Heading 1 style. Format the list below the Restrictions heading as a
bulleted list, using the picture bullet style of your choice, and then sort the bulleted list. Format the
word, not, in the Restrictions section and the word, all, in the first paragraph of the Catering section
using the Intense Reference style. Format the questions in the Frequently Asked Questions section
using the Intense Emphasis style. Modify the first page of the body of the proposal so that it looks
like Figure 1 – 2 by creating the multilevel list and the table as shown. Check the spelling. Save the
document with the file name, CAP Gallery 1906 Event Proposal.

Instructions Part 2: Create a letter to be mailed to previous buyers of artwork at Gallery 1906 inviting
them to a special reception for the 4th Annual Juried Show. Use the Equity Merge Letter template to
create the letter. Change the document theme to Austin. Change the margins to Moderate. Change the
Normal style font size to 12 point. Save the letter with the file name, CAP Gallery 1906 Letter. Insert
today’s date. Add the gallery’s name and address. Delete the name content control (and the accompany-
ing blank line) that appears above the gallery’s name. Format the gallery name with an 18-point font
size and a font color of Green, Accent 1, Darker 50% as shown in Figure 1 – 3. Create a Quick Style
called Name using this format.

Create a new data source in Word containing seven records, using the data shown in Table 1 – 1.
Delete field names not used. Note that some of the buyers are individuals and some represent corpora-
tions or organizations. Save the data source with the file name, CAP Gallery 1906 Mailing List.

Enter the body of the letter as shown in Figure 1 – 3. Insert an IF field in the last sentence of the
second paragraph, following the phrase, As an art. The IF field tests if the Buyer merge field is Y (Yes);
if it is, then print the text, collector; otherwise print the text, enthusiast. Below the letter body, enter
the complimentary close and signature block in the appropriate content controls as shown in the figure.
Insert a footer, Support the Arts! Center the footer text and apply the Name Quick Style. Merge the
form letters to a new document with the file name, CAP Gallery 1906 Merged Letters.
Address envelopes in ZIP code order using the same data source you created for the letters.
Exclude Jennifer Kolwaski’s record. Save the envelopes with the file name, CAP Gallery 1906
Envelopes.
Because Lauren would like to keep a record of the buyers, merge the data source to a directory,
selecting only those records where the Buyer merge field is Y. Convert the directory to a Word table
sorted by last name. Apply the Light List – Accent 3 table style, with banded rows and a header row.
Change the theme font to Austin. Apply the Confidential 2 watermark. Change the page orientation
to landscape and adjust the width of the columns as needed. Save the directory as a PDF or XPS
document with the file name CAP Gallery 1906 Buyer Directory. Send the PDF or XPS document
via e-mail to your instructor, if permitted. If you have access to a Web server, FTP site, or Windows
SkyDrive, save the directory to the server, FTP site, or online storage location.
Instructions Part 3: Create a newsletter of the upcoming exhibitions and events at the gallery. Change
the margins to .75 inches. Apply the Executive theme colors and the Angles theme fonts. Create
the nameplate using the formats identified in Figure 1 – 4. Create the title using WordArt. Set a
right-aligned custom tab stop at the right margin. Use the Clip Art pane to locate the image shown,
using the search term, palette. Resize the clip art and recolor it to Indigo, Accent color 1 Light. Format
the clip art as Behind Text, rotate it, and then position it as shown.
Create a continuous section break below the nameplate. Format section 2 as two columns.
Enter the text in section 2 using justified paragraph formatting. Change the Normal style font size to
12 point. Insert the picture, Powell.bmp, supplied with your Data Files. Format the picture as indicated
in the figure. Position the picture in the bottom left with square text wrapping. Insert the table shown
in the bottom of the right column and format it as indicated.
Insert a Pinstripes Quote text box for the pull quote, and enter the text shown in the pull quote
in the figure. Change the fill of the text box to Indigo, Accent 1, Darker 25%, and resize and reposition
the text box so that it is similar to the figure. Make any additional formatting as necessary, and save the
newsletter as CAP Gallery 1906 Newsletter.

Creating a Presentation for Investors

Problem: Gallery 1906 is looking for potential investors. Your boss, Lauren Kim, has asked you to create
a presentation that can be used to show investors the past successes and future plans for the gallery.
You will use a Word outline and slides from an existing PowerPoint presentation as the basis, and then
add graphics, SmartArt, a chart, and a table to present data. Lauren will collaborate with you to make
edits and notes on the presentation. You will add hyperlinks and animations to the presentation and
insert action buttons. Lastly, you will prepare the presentation for delivery and add protection settings.

Instructions Part 1: Open the outline file Gallery 1906 Outline.rtf in PowerPoint. Apply the Civic
theme and change the color and font themes to Austin. Refer to Figure 1 – 5 to make changes to the
slides. Change the slide title formatting. On Slide 1, insert the Gallery 1906 logo and remove its
background. Add and format text and symbols to Slide 1.
Convert the bulleted text on Slides 4 and 5 to SmartArt objects. Insert a slide footer to all but the
first slide. Add a table to Slide 6. Enter text and images, and change the formatting. On Slide 3, create
and format a chart. Create and format a SmartArt graphic on Slide 2.
Insert a new slide after Slide 1. On the new Slide 2, add hyperlinks to slides in your presentation
using a bulleted list with custom bullets, and 1.5 line spacing. Add and format the gallery_building.jpg
file to the new Slide 2.

Creating Worksheets for Analysis

Problem: Gallery 1906 is going through transitions, including the possible purchase of the building the
gallery now rents. Lauren Kim, your boss, asked you to create workbooks that she can use to analyze
the finances and make decisions. She requested that you create the following workbooks: analyze a
building loan; consolidate information about the income from artists the gallery currently represents;
the gallery’s monthly expenditures. She also requested that you create a template that can be used to
analyze sales and then use the template to create a new workbook.
Instructions Part 1: Create a new workbook called Mortgage with the Austin theme, and change the
font size to 10 pt. Change the Sheet1 name to Mortgage. To create the Loan Payment Calculator, enter
the text labels, and add data to the ranges C2:C5, E2: E3. Add custom borders to the range B2:E6.
Assign names to each cell within the ranges B4:B6 and E2:E6 based on their row titles. Use the names
to enter the loan amount in cell C6. Calculate the Loan Amount in cell C6 and then use the PMT func-
tion in cell E4 to calculate the monthly payment. Use cell names to enter the interest and cost formulas.
Create a new data table in the range B9:E23 by entering the column headings in the range B7:E8.
Enter data in the range B10:B11 and then use the Fill handle to complete the data for cells B12:B23.
Use a What-If Analysis to create the data table. Format the data table. Add a pointer to the data table
that indicates the cell which contains the current rate.
Create an amortization schedule by entering the column heads in cells G1:K2. Enter integers 1–15
in row G using the Fill handle. Enter the data and formulas shown in Figure 1 – 9 into the amortization
schedule, and then copy them down the columns through row 17. Create the subtotals, down payment,
and total costs in the range I18:K20.

Set up the worksheet to print in black and white and change the orientation to Landscape. Set the
print area to the range B1:E6. Assign names to the Loan_Payment, Interest_Schedule, and Amortiza-
tion_Schedule worksheet areas and print each section. Protect the worksheet so that only cells C3:C5
and E2:E3 are unprotected. Check the formulas for errors.
Instructions Part 2: To create the September Sales workbook, import data from the September Sales
table from the Gallery 1906 Sales Access database. Apply the Austin colors and fonts. Insert a new
column H, and convert the data in column G to two columns. Apply the Table Quick Style as shown
in Figure 1 – 10, apply the Currency format to columns E and F, and then adjust column widths as
necessary. Add a new column G with the column header of % of List Price and enter and copy down
a formula.
Delete column C. Create a VLOOKUP table in columns L and M. Use the table to determine
the type of sale in column J. Add a conditional formatting rule with an icon set to the % of List Price
column. Sort the table by Last Name. Query the table for Artist_ID using AutoFilter, and then remove
the filter.
Create an extract range and extract the Artist_ID P161. Create a criteria range in cells A1:J3 and
use functions as shown in Figure 1 – 10. Display automatic subtotals and use the outline feature, and
then remove the subtotals and convert the range back to a table.

Instructions Part 3: Create a new Expenses workbook with the Austin colors and fonts applied. Create
a new worksheet (Sheet 4). Copy and paste the data from the Gallery Expenses Word document to the
new sheet, copy the data on the new sheet, then use Paste Special to transpose the rows and columns.
Copy the transposed data and paste it into Sheet 1, starting in cell A3. Delete Sheet 4 and rename
Sheet 1 as Expenses – Management.
Enter the sample data, functions, formatting, and custom format codes shown in Figure 1 – 11.
Add the headings shown in Figure 1 – 11 to rows 1–3, and add the total to row 9. Copy the data from
the Expenses – Management worksheet to Sheet 2 and Sheet 3. Name the new worksheets Expenses –
Publicity and Expenses – Maintenance. Drill the data shown in the ranges C5:C8 and E5:E8 in Figure
1 – 11(b) through all three Expenses worksheets.

starting in cell A1. Use 3-D references in cell B5 to calculate the sum of the payroll expenses from the
other three worksheets, and then copy the formula to the range B6:B9.
Add a header to the worksheets and change the margins to 1" top and bottom and .5" left and
right. Save the workbook using the PDF file format. Create a workspace file using the worksheet
layout shown in Figure 1 – 12.
Instructions Part 4: Create a template called Sales Analysis as shown in Figure 1 – 13 with the Austin
colors and fonts applied and then save and close the template. Open the template and save it as a new
workbook named Sales Analysis. Import data from the 2012–2013 Sales Data text file to replace the
sample data (don’t forget to delete the values from columns C through F, first). Find the string, Powell,
and replace it with Powell-Arkin, and then compare your worksheet to Figure 1 – 14.
Make any necessary formatting changes. Insert a clustered cone chart on a new worksheet,

Problem: Gallery 1906 is a successful
art gallery located in Chicago. You are
working for the owner, Lauren Kim, as
an intern. The gallery is doing so well
that it needs to move to a larger space.
As part of the transition to a larger space,
Lauren also wants to take advantage of
your computer skills to computerize her
records. Because paintings are all origi-
nals, not prints, and appear more often
in exhibitions, you are going to begin by
focusing on the paintings.
Instructions Part 1: Open the
Gallery1906 database supplied with your
Data Files. Modify the existing Paintings
report to create the report shown in
Figure 1 – 18. Add the Media field to the
report and then group records by media
type. Sort the report by Painting ID. In-
clude totals for List Price and Sold Price

Create a Paintings by Artist report for the gallery, shown in Figure 1 – 19. The records should be
grouped by Artist ID, and include the Artist ID and Last Name fields from the Artists table. Include the
Painting ID, Title, List Price, and Sold Price from the Paintings table. Sort the paintings in alphabetical
order by Title. Provide subtotals and a grand total for the List Price and Sold Price fields. Change the
page layout to landscape and apply the Paper theme to this object only. If necessary, use Layout view to
adjust the column placement and width in order to display the data.
Create a Paintings Entry form, as shown in Figure 1 – 20, that includes the Painting Number,
Title, List Price, Sold Price, Media, and Artist ID. Create mailing labels using the Artists table. Use the
Avery C2242 label size, sort the labels by postal code, and save the labels as Labels Artists.

Instructions Part 2: Add the following fields to the Paintings table: Sold check box (Yes/No) and Sold
Date. Create an update query that finds all records where the Sold Price is greater than 0, and change
the Sold Yes/No field to Yes and the Sold Date field to 10/3/2013. Save the Query as Update Query.
(Hint: Use 1 in the Update to field to add a check mark to the check box.)
Add the Phone Number, Photo, Biography, and Contract fields to the Artists table and add the
data as shown in Table 1 – 3. Add the Phone Number field following the Postal Code field. Add the
caption Phone, and use an input mask. Use the OLE Object data type for the Photo field. Use the

Instructions Part 3: Lauren has given you a list of additional paintings that have sold in the last few

queries created in the previous step. Apply the Civic theme, and change the color and font to Austin for
this report and subreport only. The title background uses Light Green, Background 2, the Date control

Create the report, Discount Report, shown in Figure 1 – 23. Include the Artist ID and Last Name
from the Artists table, and the Painting ID, List Price, and Sold Price from the Paintings table. Create a
calculated control, Discount, that displays the discounted List Price (not the discount) for all paintings.
Paintings where the Sold Price equals zero will have a 10% discount. Paintings that have a Sold Price
of greater than zero will display the Sold Price.
