COMMUNICATION

Please visit the CHARMS website for additional information. All students in orchestra will use this system.
The website is: www.charmsoffice.com. This is a time saving, information and communication website
used to help manage all aspects of the orchestra program. The parent/student login is: GCMHSOrch (not
case sensitive). The password is the students id#. Students may create their own unique password if
desired. If a password is forgotten, I can reset it to the student id#. Students can use this site to listen to
music we are playing in class, access financial information and handouts. They can also view a calendar.
It is important that all information is kept as accurate as possible. CHARMS is used by fine arts programs
and staff district wide.

We also use the REMIND system. This is a messaging system that like CHARMS is used by GCCISD
teachers and other programs. To access this system, text 81010 with the correct class code: Chamber

GOALS AND PURPOSE

The goals of the GCM orchestra are:

● To promote the highest possible musical experience

● To produce outstanding ensembles
● To develop an understanding of the string and full orchestra repertoires
● To train students in music to the point where they can participate in the performance of great
music whether as a professional, teacher or just for enjoyment
● To teach and train students to be productive members of society, able to contribute to the
community with integrity, dependability, accountability and loyalty.

Students will contribute to the GCM Orchestra by:

● Treating other students with respect and dignity


● Building each other up, rather than tear them down
● Being responsible both in and out of class, both on and off the stage
● Upholding all standards set for them by GCCISD, GCM, and the orchestra program
● Holding themselves and other musicians accountable for their actions

ORCHESTRA MEMBERSHIP

Membership in the HS program is open to anyone 9-12 th grade that has gone thru orchestra in a junior
school program. At this point, we do not teach beginning orchestra at the HS level. Members are required
to participate in ALL activities of the organization including: rehearsals, sectionals, and performances.
Members are encouraged to attend as many social gatherings as possible as well as fundraise and
participate in off campus trips and performances.

For the 2018-2019 school year, the orchestra program is divided into 3 separate orchestra classes
(Chamber, Symphonic, Philharmonic). Students are placed in the appropriate level orchestra by audition.
Auditions and replacement may occur in December as well as May of each year.

The fourth orchestra at GCM is the Symphony Orchestra. It is a combination of students from the Wind
Ensemble, Chamber and Symphonic Orchestras. Select students in the Symphonic orchestra may be
asked to participate as well. This ensemble will rehearse on Monday nights from 5:00-7:00pm. See
calendar for more information.

ASSESSMENT

To be successful in orchestra, students must demonstrate two main things:

● A willingness to improve their overall skill level


● A work ethic that will improve the overall orchestra family

Playing ability alone is not the determining factor in student assessment. Other things considered are:

● Improvement in their skill level


● Punctuality
● Success in academic courses outside of orchestra
● Attitude toward others and the director
● Willingness to accept constructive criticism
● Willingness to help in the overall daily functions of the orchestra
● A positive attitude toward the overall image of the orchestra family

GRADING POLICY

Students will earn their grade based on the following criteria:

Major Grades – 60% of average


● This includes written and playing tests; concert attendance and performance

● Concerts CANNOT be made up. Unexcused absences will result in TWO zeros
(Chamber Orchestra members who have unexcused concerts will be moved to Symphonic Orchestra;
likewise, Symphonic members will be moved to Philharmonic)

Non-Major Grades – 40% of average


● This includes written and playing quizzes; sectionals; music theory assignments; music
supply checks, as well as FULL involvement in ALL rehearsals by student

Playing tests and quizzes will consist of material assigned during the class period. Students will upload
recording to the CHARMS website or Google Classroom.

ATTENDANCE

Orchestra events are planned with the least amount of conflict in mind. All members are encouraged to
participate in as many activities as they wish, but at the same time members are required to participate in
all rehearsals and performances- remembering a grade is given for each rehearsal and two given for
concerts (attendance/performance).

IN THE EVENT OF A CONFLICT: members have the responsibility of submitting a signed note, email, or
phone call from home from a parent or guardian stating the reason for the conflict. Notes or emails that
have not been submitted prior to two weeks before the event will not be considered. Each case is
considered individually and independently from others.

Examples of excused absences: death in the family; medical emergency or sickness; religious holiday

Examples of unexcused absences: family trips; jobs; no ride; personal business or entertainment

Regarding attendance: To be early is to be on time, to be on time is to be late!

MAKEUP WORK

If classwork is missed, we will follow the GCCISD Grading policy for late work. For recorded playing tests,
no late recording will be graded. They will have this information 3-4 weeks ahead of time. For sectionals,
students will have the opportunity to come before or after school. If they miss the morning sectionals, it is
their responsibility to come after school (or vice versa). Remember concerts cannot be made up.

Each student in the Varsity and Symphonic ensembles must participate in the All Region audition process
OR in the Feb. 23 Solo/Ensemble contest process. Each student will get to choose which one. You may
participate in both, but it is not required. The Philharmonic ensemble members may audition for All Region
Orchestra, however it is not required. They MUST participate in the Feb. 23 Solo/Ensemble Contest.

There will be other rehearsals and performances that pop up during the year. We will handle those on an
as needed basis. Members will receive information as soon as available during their class period.

SECTIONAL SCHEDULE

Weekly sectionals will be required of each member. This is an important part of the students success and
is graded each week. The Fall schedule will be set up by instrument. The spring semester will be setup by

class period. Check the calendar for the schedule. The Chamber and Symphonic strings will also be
required an additional rehearsal on Monday nights. See the calendar for these times also.

REHEARSAL EXPECTATIONS

Class rules are designed to be simple and easy to follow. Members are expected to follow them DAILY.
Failure to do so my result in detention, parent phone call and conference; referral to office, or removal
from the program.

● If it does not belong to you – don’t touch it


● Be in your seat when the tardy bell rings, ready to begin rehearsal
● Have all your materials every day (this includes binder, instrument, pencil)
● Be respectful of all, this includes when and how you speak
● Electronic devices should be silent and stored out of sight during instruction
● Homework will not be done during orchestra. DO NOT EVEN ASK
● Tardy policy will be adhered to
● No food or drink inside the rehearsal space. Water is the only exception.

ELIGIBILITY

It is very important that each member maintain passing grades in all classes in addition to orchestra.
Members are expected to do all work necessary to pass their classes. School performances are required
regardless of grades. Any off-campus performance or trip will be affected by failing grades. Students are
ineligible for a period of three weeks in any extra- curricular activity. Absences can also make a student
ineligible.

SUPPLIES AND REPAIRS

Each member needs the following supplies daily:

● Instrument in good working order


● Black 3 ring binder
● Rosin
● Pencil
● Good quality strings (Dominant or better)
● Shoulder rest (violin/viola)
● Rock stop (cello/bass)
● Cleaning cloth
● Music
● Tuner

String instruments are very fragile. DO NOT attempt to repair them yourselves. A Lisle Violin Shop
representative comes to Baytown weekly. Instruments can be sent in then for repair.

RANDOM DRUG TESTING

Every student in an extra-curricular activity or one who applies to drive on campus must submit to random
drug testing. Failure to do so may result in students being removed from all activities. It will also result in
students not being allowed to drive on campus.

LETTER JACKETS

Students qualify for a letter jacket in one of the following ways:

● Be a member of the Varsity performing ensemble for one complete school year
● Earn a chair and participate in the All Region Orchestra
● Earn a division 1 on a class 1 solo
● Be a senior in good standing (enrolled in class, all fees paid etc.)

Letter Jackets are ordered twice per year as time allows (fall/spring)

LOCKERS

Each orchestra member is assigned a locker or slot for their instruments. Each locker comes with a
school provided lock. Locks should stay on the correct locker always. Replacement cost is $10 if lost or
stolen.

STUDENT LEADERSHIP

Quality student leadership is a necessity for the orchestra programs success. Each spring, students can
apply and be interviewed for a position on the student leadership team. As the school year progresses,
freshman will be added to ensure that all grade levels and ensembles have a voice. The team meets,
plans and executes the social agenda. The director serves as an advisor only.

INDEPENDENT PRACTICE

Daily individual practice is crucial to the musician’s success in rehearsals and growth as a musician. It is
each members responsibility to learn their individual part outside of rehearsal. Varsity members should be
practicing at least 1-1.5 hours outside of normal class time. Symphonic members should be practicing at
least 30-45 minutes outside of normal class time. The length of practice time will depend on the demands
of the music we will be performing.

PRIVATE LESSONS

Private lessons are a year-round investment in the students success. Lessons are available to anyone
interested. They are designed to give individual instruction on many skills that we cannot get to in the
class setting. While these are not required, they are strongly encouraged. See Page 18-19 for more info.

FUNDRAISING

Each student can fundraise each year to raise funds. Most of the time, these funds are used to offset trip
costs. Money raised through fundraising efforts are property of the GCM Orchestra and are not allowed to
be refunded at any time.

SPRING TRIPS

The orchestra can travel each year. Every four years we can travel out of state. In each case, monies
raised can help offset costs. To be eligible for trips students must:

● Meet all trip monetary requirements


● Meet all grade eligibility requirements
● Meet all orchestra program monetary requirements

MEMORIAL ORCHESTRA BOOSTER ASSOCIATION

MOBA is an organization of parents. Your participation and help are vital to the orchestra programs
success. There are many ways to help and every bit of help is greatly appreciated. Please get involved
with the organization. Your involvement makes a difference. Meeting information is included with the
calendar information. On page 17 of this handbook, you will find a membership form.

WEEKLY NOTES

Weekly notes will be given to members every Friday during class. These notes will cover everything
happening the next week. In addition to being given to members, they will be electronically sent to parents
and students thru CHARMS (so making sure information is kept updated in CHARMS is vital to knowing
what is going on with the orchestra).

Prerequisite(s): An audition is necessary for placement into the proper orchestra section. String students are provided with 
the opportunity to develop and exhibit their performance skills on the four orchestral stringed instruments. Their chair 
placement within the group is based upon individual auditions. Additional opportunities for audition and reassignment are 
available during the year. Students in orchestra classes will be exposed to a variety of classical and popular string 
literature.
A $95.00 orchestra uniform, maintenance and supply fee will be assessed each year.

During the school year, we need help with various events such as lock-ins, parties, concerts, and bus
trips. If you are able and willing to help with these things, please let Mr. Chance and the MOBA Board
know.

We also need a few more board members. Our current members are:

PRIVATE LESSONS

As stated earlier, any student that wants to may participate in private lessons. They are a valuable tool for
each student to get guided instruction outside of the school day. We have a great team of teachers who
are ready and willing to teach. They will begin the first week in September.

Interested students should let Mr. Chance know. Students will be committed to an entire year’s worth of
lessons. Parents will be required to sign a contract as proof of understanding the guidelines.

ALL LESSONS WILL OCCUR AFTER SCHOOL HOURS

Student Responsibility:
● Be prepared for each lesson
● Follow attendance policy
● Have all materials at every lesson
● Communicate with their teacher when an absence will occur

Lesson Teacher Responsibility:


● Provide quality instruction to each student in consultation with the director
● Be professional
● Communicate with students, parents and director when an absence will occur
● Be prompt
● Communicate to students and parents how payments should be made

Financial Information:
● Payment will be made directly to the teacher by the 3 rd day of each month for the coming
month’s lessons
● Checks will be made out to the instructor directly
● Lesson amounts are based on length of lesson and mileage and experience of the teacher
