Dear Provost Committee on Sponsorship Review,

Show Cause and Appealing Letter to Continue the JESP Sponsorship


I am writing this letter of appeal with a very humbly heart in hoping that you reconsider your
decision of not renewing my sponsorship for the upcoming semester 5. This is due to the fact that I
failed to meet the minimum requirement CGPA of 3.5; my current CGPA is 3.40. I do understand that
the loss of my sponsorship was entirely my fault, and regardless the respond of you toward this letter, I
appreciate and thank the committee for granting me this sponsorship in the first place, as well as taking
the precious time to read this letter.

So hereby please allow me to explain more on the circumstances that I had been facing
throughout the semester in hoping the committee will understand my situation. I believed one of the
reason that pull down my GPA is the subject with 2 credit hours. I got B for my Malaysian History and
B+ for my English. Both of these subjects do not have final exam, meaning it is 100% rely on the
assignments and test. To be honest I am having a strong belief of obtaining ‘A’ for these subjects as we
(group project) received very good compliment on the presentation and I got ‘A+’ for my English forum.
I believed the failure of getting good result for both of these subject is on the paper work. There must
be something missing and not enough for my paper work. Perhaps the method of writing does not satisfy
the requirement. Besides, we were not informed about an English examination going to be held on that
particular Monday. We were told, we will having a discussion and do preparation for the upcoming
English test on the Wednesday. Hence, most of us came to the class without enough preparation to seat
for an examination.

Besides, I also belief that my Fluid Mechanics II subject also pulling my grade down. I am quite
having a hard time and struggle with this subject. It is hard for me to keep in track with this core subject.
This is because, most of the public holidays for example PRU-14, Labour Day and Wesak fall on the
day of where we were having this class. Plus, my lecturer frequently going out for outstation.
Unfortunately, a 4 hours replacement class was not enough to cover up whole of the syllabus. We go
through the syllabus in a very rushing manner until we were told to finish up the last chapter by
ourselves. Furthermore, our assignment was not return back to us. Same goes with our carry mark. This
causing us to have difficulty on spotting our weaknesses and also difficulty of planning our preparation
for the final examination.
To overcome this matter and achieved the minimum CGPA required on the upcoming semester,
I will pay extra attention on how to write the best paper work or report. As the next semester, I will
dealing with two laboratory session, so it is crucial for me to master the correct way of writing a report.
I will seek for guidance from my lecturers and the laboratory assistant by following and fulfil the
important content needed to be imply inside the report. Besides, I will also refer to a few best examples
when writing it. Other than that, I will construct a good relationship with my lecturers to make it easier
for me to have a two ways conversation with them. This enable me to obtain a crystal clear information
and also seek for help from them. I also have a strong belief, group discussion are really helpful in
understanding more about certain topic. By this way we can share and thus exchanging knowledge
between each other. This is because, some lecturer offer a better solution when solving a question. Other
than that, I will rearrange my routine and my study plan in order for me to well prepare for any test,
especially final examination.

I am fully aware that the breaching to Item 4.1 (ii) of the Letter of Offer is a really serious
matter and should not be taken lightly. I do understand that all the circumstances stated should not be
an excuse for my failure to fulfil the JESP requirement. But, I sincerely hope that my situation has
appealed to the committee and convincing enough to reconsider their decision and accept me to continue
with the sponsorship. I fully intend and commit on meeting all the requirements. . If I am granted this
scholarship again I will respect and honour it more. Again, I am grateful and thank the committee as
they are willingly to read this letter, as well give me the opportunity to try and explain my situation for
making the mistakes I made.
