Madam,

Greetings from DepEd RO2!

We are pleased to inform you that the Regional Office through its Regional National
Educators Academy of the Philippines caters to trainings, seminars, workshops and other
capacity building activities conducted by DepEd and other national line agencies within and
outside the region.

In this regard, we respectfully request from your good office an approval or authority to
allow us to utilize Five Million Four Hundred Thousand (Php 5,400,000.00) Pesos from the
NEAP generated amount for the procurement of motor vehicles with the following technical
specifications:

 Two (2) units passenger van with engine displacement not exceeding 2200 cc for
gasoline or 3000 cc for diesel (13 Seater Capacity)
 One (1) unit Mulit-Purpose Vehicle (MVP) with engine displacement not exceeding
1500 cc for gasoline or 2500 cc for diesel

The 2-unit van shall be used for the transport of Regional Office personnel and visitors for
educational activities and other official functions, emergency pick-up/send-off of guests,
resource persons and training materials while the 1-unit L300 will be utilized as service to
purchase groceries and other catering needs of the regional office.

Further, we believe that the procurement of the said vehicles will further free our region
from spending amount for the hiring of vans during monitoring and official travels of our
supervisors and other non-teaching staff.

Attached are the following supporting documents for your ready reference:
1. List of trainings conducted by DepEd Region 2 for FY 2017 with actual number of
participants and schedule per training.
2. List of anticipated training programs and number of participants for FY 2018 with
schedule.
3. Financial Accountability Report (FAR) No. 5 as of December 31, 2017 and March 31,
2018 for DepEd Region 2.

4. Report on the new acquisition of motor vehicles for Region 2 previously granted
authority (FY 2017) pursuant to National Budget Circular (NBC) No. 438 dated 11
January 1995.
5. Distinction on the vehicles under said region available for common use (8 vehicles)
and the NEAP to justify the need for separate vehicles.
6. Certification from the Chief Accountant as to availability of funds

7. Inventory of existing motor vehicle.

8. Inventory of luxury motor vehicles
9. Market survey (Toyota and Mitsubishi)
