Portfolio Management

 Used to grant/restrict access of various users. Also used to open only specific EPS parts.
 Enterprise > Project Portfolios > General: Manage users & Name; Projects: Assign accessible
projects
 File > Select Portfolios: Open only specific EPS parts.

Structuring Projects

■Set up EPS.

■Set up Portfolio.

■Use an OBS in conjunction with the EPS & assign responsibilities effectively.

■Create calendars.

■ Resources: Establish the personnel and equipment required to perform the work, define
unlimited hierarchical resource codes for grouping and rollups, and create a standard set of roles
based on skill requirements that you can assign to resources in all projects.

■WBS & Activities.

■Establish project budgets and the funding sources behind them, monthly spending plans that show
how budgets are distributed throughout project life cycles, and layouts that track and analyze
variance as projects progress.

■Set up project codes to categorize projects for organizing, grouping, selecting, and summarizing.

■Define custom fields that enable you to track and report project data in fields customized for your
business needs.

EPS & OBS

Create and assign respective managers from OBS into EPS.

Time & Date units

Edit > User Preferences. 8h/d= 1 man. Use min 2 decimals and select days for both duration and unit
format.

Calendar

Enterprise > Calendar

 Add a calendar by selecting a ref. calendar and then modify.


 Edit workweek and define in detail working & non-working hrs.
 Edit exception days individually.
 Total work h/d Time period: enter manually.

Creating a Project
 Planned Start and Date must be same.
 Checked the assigned calendar.

Types of Activities

 Milestone
 Task Dependent Project Calendar
 Resource dependent  Resource calendar
 LOE (to display: Right-click on Gantt and select LOE)
 WBS activity (summary)

Relationships:

SS,FF,FS,SF.

Lead (FS-1d), Lag (FS+1d)

Checks before scheduling

i) Dates tab  Planned and data dates are same.

Resources (Enterprise > Resources)

 Assign all the details below.


 Assign available shifts. Or Create/edit customised shifts in Enterprise > Resource shifts.
 Create Resource codes in Enterprise > Resource Codes. Assign the resource codes to later
categorise resources according to their codes.
 Assign the desired roles. Or roles could be created in Enterprise > Roles.
 Resource curves.

WBS
 General > WBS Status:
i) Active: Can be viewed/edited by all reviewers.
ii) Inactive: Can only be viewed by all.
iii) Planned: Cannot be viewed by all.
iv) What if: Can be used only at project levels.
