Points to remember while preparing Referral letters

It is Mandatory to provide referral letters for all the companies of experience till date and
referral letter can be on letter head of the company or on stamp paper.

Please note the below points while working for referral letter

 Suggest making a detailed referral letter draft in a word format and share the same with
your case officer before providing them for final signature to the HR/RM
Manager/Colleague.
 Please start with a complete draft referral letter along with referral details and roles and
responsibilities, after approval from case officer get it either on Stamp Paper or on Letter
head of the company.
 Do not notarize the referral letter unless communicated by the case officer

 Referral letter on letter head of the company:

 Referral letter from HR should be on company letterhead. Please use format shared by
us.
 Roles and responsibilities have to be in detailed by designation wise and relevant to the
Nominated occupation.
 Require minimum 8 points for 1+ year of experience.
 If there are designation changes in the same organization, mention designation break up
along with Respective roles & responsibilities.
 Current contact details and designation (under signature column) of the issuer have to be
mentioned.
 For HR Referral letter- the letter head must display the company details clearly with the
logo of the company
 The Date of issue of the letter must be clearly mentioned on the letter.
 The signature of the authorized signatory must clearly specify the name and designation.
A simple word of ‘Authorized Signatory/person ‘is not valid

 Referral letter on stamp paper: If you are providing referral letter on a stamp paper-Please
be noted below mandate requirement.
 Superior colleague or reporting manager - Referral letter should on stamp paper.
Please use format shared by us.
 Stamp paper details- Rs. 10 or above denomination, non-judicial, E-stamp paper is
also accepted
 Who can REFER? - Reporting Manager (or) Superior colleague (designation should
be above the applicant’s, at least 1 level)
 Designation should be superior to the Applicant from the same verticals.
 For current company - Should have joined with or before you & working till date
along with you.
 For previous companies-Should have left company after you, need not be still
employed with the company.
 Referral can be in a different branch or location but same department.
Points to remember while preparing Referral letters

 Current contact details and designation (under signature column) of the referee
have to be mentioned.
 Date to be mentioned by the referral near the signature.
 Roles and responsibilities have to be in detailed explanation by designation wise
and relevant to the Nominated occupation
 Require minimum 8 points for 1+ year of experience.
 If there are designation changes in the same organization, mention designation
break up along with Respective roles & responsibilities.

Notarization points:

• For Stamp paper or E stamp: Purchase should be on your (client name) and
purpose is “Self”
• For E stamp – First party is Client and second party is referral person
• If the referral letter on stamp paper is of multiple pages (more than 1 page), 1st
page should be stamp paper and rest of pages can be plain papers. Content
should start from the 1st page below the dotted line or after the vendor details.
• If the referee is out of station or abroad, finalized draft should be printed on
stamp paper and courier the same to referral to get it signed & have a color
scan copy of the same.
• If the referee is living out of India, referral letter can be on plain paper and
same needs to be attest by the respective authority in living country.
