Instructions for the Final Entry Form

Please complete the entry form according to the following instructions: Entry Form

IMPORTANT: We recommend that centres use the CIE Direct Dashboard to submit their entries instead of the entry form wherever possible. This allows us to process your entries faster,
and also helps to avoid many of the most common problems with entry information. Please email Customer Services if you need assistance with using the Dashboard.

1 Exam Series Select the examination series (either June or November) from the drop down options.
IMPORTANT: Make sure all entries for the series are submitted on the same form. Any additional entries you may have later should be added to
your existing form, and the complete list sent to Cambridge. (Including retake entries for the November series.)
2 Centre Number Insert your Centre Number, without spaces.
3 Centre Name Insert the name of your Centre, in CAPITAL LETTERS.
4 Candidate Number Centres must allocate a unique candidate number to each candidate, in the range 0001 to 9999. Candidates should not be entered under two different
candidate numbers in the same series.
IMPORTANT: Check all numbers are correct before you submit your entries. Candidate numbers cannot be changed once a candidate is entered.
5 Candidate Name Enter the name of the candidate in CAPITAL LETTERS, as you would like it to appear on your Statements of Entry and results documentation.
IMPORTANT: The maximum number of characters for a candidate name is 60, which includes any spaces. It will be necessary to abbreviate
any names which are longer than this.
6 Sex (M/F) Select the candidate's gender from the drop down options. (M for a male candidate, F for a female candidate.)
7 Date of Birth Enter the date of birth for each candidate numerically in dd/mm/yy format. For example, 15 August 1995 should be entered as: 15 08 95
8 Status For a school candidate, please leave this section blank. For a private candidate, please select P from the drop down option.
9 Previous Entry Complete both the previous Centre Number and previous Candidate Number for all candidates who have taken Cambridge examinations in the past,
even if the candidate is using the same number in the current series. If a candidate has taken Cambridge examinations in more than one previous series,
you should provide the most recent set of details.
IMPORTANT: This information is essential for candidates who are retaking a syllabus, entering for a carry forward component or aggregating
previous results for a Group Award. If you do not provide this information, candidate(s) may not receive a result.
10 Syllabus Details Enter each candidate's syllabus entries, making sure that each candidate is entered for the correct syllabus/option as follows:
Syllabus Code: Enter the four-digit numeric code indicating which subject the candidate is taking. If the candidate is also entering for the ICE
or AICE Diploma, the relevant entry code should be placed in this column.
Option Code: If applicable, enter the option code. This will be a one or two digit code, starting with a letter. An explanation of how option codes
work and a list of the options available each syllabus can be found in the Guide to Making Entries.
IMPORTANT: If a candidate is being entered for more than one syllabus, make sure that the columns provided for the syllabus code and
option code are used in consecutive order. You should not leave gaps between subjects.
Retake?: If you are making a November series entry for a candidate who entered the same syllabus in the June series of the same year,
select Y from the drop down option. This must be done when the entry is first submitted to Cambridge, and cannot be added later.
IMPORTANT: If a candidate is being entered for retake syllabuses, the centre and candidate number used by the candidate for their June
series entry must be provided in the 'Previous Entry' column.

Final Entry Form Retake Entries (November Series Only)
Retake entries may only be submitted in the November series. Cambridge will only
consider a syllabus as a retake if the candidate sat the same syllabus in the June

Entry Amendments and Additional Entries


When making entry changes, centres must update their entry form and submit the revised form to Cambridge. Each entry form submitted must be a full and accurate reflection of your entries for
the series. Additional candidates should be allocated a new candidate number and added at the bottom of the candidate list. (Candidate numbers must not be changed after entries are sent.)

If a candidate should be withdrawn from the series entirely, select the required candidate number and click the 'Withdraw' button. (You should not delete the candidate from the form.) To undo
a withdrawal, select the candidate number and click the 'Undo' button - please note that if a withdrawn candidate is re-entered, this will be charged as a new entry.
