Chapter 1

Introduction

Technology has important effects on business operations. No matter

the size of your enterprise, technology has both tangible and intangible benefits

that will help you make money and produce the results your customer

demands. Technology also helps a business understand its cash flow needs

and preserve precious resources such as time and physical space. Warehouse

inventory technologies let business owners understand how best to manage

the storage costs of holding a product.

As the world moves further and faster into a thriving technological

age, so must the way we conduct our business. POS systems are fast

becoming the technology of choice No matter what type of retailer you are,

adopting a POS (point of sale) system can turn your business around by

providing an all-in-one solution to a multitude of everyday issues. Inventories

that fail to match tallies, unrecorded sales, human errors and the time wasted

on correcting them are all fairly common problems faced by retailers on a daily

basis. They are all easily avoided when using a POS system that accurately

collects and records data, allowing you to really see how your business is

functioning and how to continually improve it.

POS systems can also track staff themselves: the times and hours

worked and the number of transactions completed. This is not isolated to one

location either. Multiple interfaces in different outlets all serve the same

database, ensuring consistency across the board, in pricing, stock and

accounts. With POS systems however, they are designed to be user friendly,

with a sole purpose of making life easier and business better. They allow staff

to focus their attention on the customer, as well as the physical preparation and

sale of products, cementing the most important values of retail.

Background of the study

Mrs. Allie Mariano the owner of the “Allie’s Store” started to run their

business at the year of 2018. Their store is like a mini version of the

supermarkets, they sell products that can be seen in an supermarket.

The point of sale (POS) or point of purchase (POP) is the time and place

where a retail transaction is completed.

At the point of sale, the merchant calculates the amount owed by the

customer, indicates that amount, may prepare an invoice for the customer

(which may be a cash register printout), and indicates the options for the

customer to make payment. It is also the point at which a customer makes a

payment to the merchant in exchange for goods or after provision of a

service. After receiving payment, the merchant may issue a receipt for the

transaction, which is usually printed but is increasingly being dispensed with

or sent electronically.

The software is really the first step in determining the ‘how’ in “how

does a POS system work?” It’s what holds all the functionality, capabilities,

and features together so that the system can function as a whole. This

includes the software, hardware, and the back office. POS software records

each sale when it happens, so your inventory records are always up-to-date.

Better still, you get much more information about the sale than you could

gather with a manual system. By running reports based on this information,

you can make better decisions about ordering and merchandising.

Significance of the study

As the world moves further and faster into a thriving technological

age, so must the way we conduct our business. POS systems are fast

becoming the technology of choice. No matter what type of retailer you are,

adopting a POS (point of sale) system can turn your business around by

providing an all-in-one solution to a multitude of everyday issues. Inventories

When it comes to inventories, organization and consistency is

key. Not just with delivery either, but each and every sale, damage and

complementary giveaway. Imagine a system that automatically logs all of

these in real time and saves them to a database across a network that you

can access remotely. Furthermore, you can collate the data for detailed

analysis allowing you can see exactly what the most popular product is and

what is not and how and when it’s being sold. POS systems can also track

staff themselves: the times and hours worked and the number of transactions

Scope and Limitation

The scope states the coverage of the proposed system and the

limitation covers the constraints and restrictions of the proposed system.

Scope. The propose system will run with the use of computer, to

record all the weekly, monthly and yearly products that have been sold. A

retail point of sale system typically includes a cash register (which in recent

times comprises a computer, monitor, cash drawer, receipt printer, customer

display and a barcode scanner) and the majority of retail POS systems also

include a debit/credit card reader.

It can also include a conveyor belt, weight scale, integrated credit

card processing system, a signature capture device and a customer pin pad

device. While the system may include a keyboard and mouse, more and more

POS monitors use touch-screen technology for ease of use, and a computer

is built into the monitor chassis for what is referred to as an all-in-one unit. All-

in-one POS units liberate counter space for the retailer. As well, this study is

focused on the store and the system that we will work with in.

Limitation. The POS system focus mostly in customers who use debit

cards at your point of sale stations run the risk of divulging their PINs to other

customers. Most systems do take some measures to hide the keypad, but none

of these efforts are perfect. Additionally, if you have web-based system, you

run the usual security and privacy risks that come with doing business on the

Internet. Though most providers of point of sale stations offer significant

security protection, they can never negate the security risk completely, and the

convenience of making your system widely accessible can come at a certain

level of danger.

Objectives

This section contains the main objective and goals of the study which

was divided into two parts namely the general and specific objectives.

General Objectives.

To Prove that an POS system is very useful and needed for

every store. At the point of a sale, your business receives cash or allows

payment on account in exchange for goods. This creates in inflow of cash or

revenue and a corresponding outflow of product inventory. Unlike a cash

register, POS Systems are known to have the capabilities of collecting more

information. When conducting business, the more information that you have on

your customers the better equipped you will be. From stock inventory, data

collection and detailed reports, good point of sale systems will be able to offer them

all. A system that is capable of integrating with other ordering and sales systems

is good to invest in. Gathering customer information is necessary for the purposes

of creating a custom model that you can work with.

Specific Objectives.

1. To determine the total number of products has been sold.

2. To figure out how much money is saved every week or month.

3. To sort the records of the products have been sold.

I.T. Innovation

In order to create and build the POS System of Allie’s store, the

proponets used the powerful software developer, Microsoft Visual Studio 2010

specifically visual basic 2010 a programming environment from Microsoft in

which a programmer uses a graphical user interface or also known as GUI to

choose and modify preselected sections of code written in the basic

programming language giving the proponents a more easy way to create a

robust and precise inventory system. With the help of the Microsoft Visual

Studio 2010, the proponents were able to manipulate the design and graphics

used in the system, to achieve a neat and appealing user interface.

Rationale

Authentication and verification was one of the factors that makes a

system more secure. The proponents choose this study based on what they’re

observed regarding to manual counting of products sold in Allie’s store every

day. The business of Allie’s store wants to count their savings in easy way as

possible to avoid wasting a lot of time in counting the products that have been

sold . The proponents spend more than a month to create a robust inventory

system for Allie’s store. The counting of savings and products that have been

sold improved using the POS system.

The advantage of having the POS system for Allie’s store is making

the process and procedure a lot more easier evaluating the savings is a lot

more faster than manual counting.

Definition of terms

Barcode scanner - is an electronic device that can read and output printed

barcodes to a computer. Like a flatbed scanner, it consists of a light source, a

lens and a light sensor translating optical impulses into electrical ones.

Code - a system of words, letters, figures, or other symbols substituted for other

words, letters, etc., especially for the purposes of secrecy.

Communication - the imparting or exchanging of information or news.

Data Base - a structured set of data held in a computer, especially one that is

accessible in various ways.

Enterprise - a project or undertaking, typically one that is difficult or requires

effort.

Inventory - a complete list of items such as property, goods in stock, or the

contents of a building.

Microsoft Visual Studio - is an integrated development environment (IDE)

from Microsoft. It is used to develop computer programs, as well as websites,

web apps, web services and mobile apps.

POS system - A retail point of sale system typically includes a cash register

Robust - strong and healthy or vigorous.

Software Developer - a person concerned with facets of the software

development process, including the research, design, programming, and

testing of computer software.

Stock - the goods or merchandise kept on the premises of a business or

warehouse and available for sale or distribution.

Technology - the application of scientific knowledge for practical purposes,

especially in industry.

Visual Basic - is a programming environment from Microsoft in which a

programmer uses a graphical user interface (GUI) to choose and modify

preselected sections of code written in the BASIC programming language.
