Technical Instructions for IMAGE to DOC Conversion

Technical Instructions during Conversion Process
General Layout of the IMAGE and Word file –
1. It is to be noted that since the primary objective of the data entry operator should be to convert
the file in such a way that the following matching criteria should be observed –
a. Every line should match with the corresponding line in the IMAGE; hence the pages shall
automatically match with the IMAGE file pages.
b. Font will be Times New Roman font size of 10.
c. Paper size should be A4 Size & paper margin will be left, right, top, bottom 0.3 Inches.
d. The size of headings and sub-headings should be 13, 11 respectively.
e. Bold, Italics and underline should be done as in the IMAGE files.
f. Use shift enter at the end of line & hard enter at the end of paragraph.
g. Justification is not required even if it is done in the IMAGE file.
h. Where ever the curser stands there should be a character in the right or left.
i. ID No / EC No Should be mentioned in the subject While sending through e-mail.
j. Paragraph spacing should be done by using paragraph spacing (before or after only) if done in
the IMAGE files. (Auto spacing should not be used).
k. If the word cuts in the IMAGE file then the same should be done in word file. If a line ends in
IMAGE file then the same should be done in word file.
2. Borders (if any) should be done using “Borders and Shading” feature of MS Word.
3. Line Spacing (single, 1.5 Lines or double) should be used as given in the IMAGE file.
Although most of the files shall have single line spacing. Options during the Line Spacing like
“At Least”, “Exactly”, “Multiple” should not be used.
4. Headers and Footers option should not be used.
5. Color (if any in the IMAGE file) should be given in black color.
Usage of fonts –
1. Font should always be in “Times New Roman”
2. Font size should be kept as round figure and not in decimals.
3. Only first line indentation should be used for the shift in the first line of paragraph (if visible
in the IMAGE file).
Usage of the tools –
1. Textboxes, Word Art, Drawing Tools, Columns, Frames should not be used at all.
2. Usage of OCR or any other conversion softwares will result in the rejection of the work and
the cancellation of the registration.
File saving and naming Criteria –
1. The name of the converted document (in word) should be exactly same as that of the
corresponding IMAGE file.
2. The files should be saved in and it should be attached to the e-mail and should be send it
within / on the prescribed date with in 6:00 PM. After 6:00 PM the files will be rejected.
3. No excuses will be considered (internet problems, personal problems)
4. Save a copy in your sent mail and get the confirmation from the company that your job work
has been received by the company within 24 hours.
Images –
1. Images have to be ignored and hence not to be copied in the word document.
2. The header or footer of the image has to be typed in.

Rejection Criteria
Complete Rejection
The converted file shall be completely rejected under the following parameters –
1. File name of the converted word file does not match with the corresponding IMAGE file
name.
2. File name given wrong. Including the zip file and the word files.
3. There is a difference between the no. of pages in IMAGE file and Word file.
4. Incomplete file.
5. Any extra spaces found in the file shall result in the rejection of the file.
6. Any images are found in the word document.
7. If files received are less than the files delivered to you.
8. If the paragraph alignment is not proper.
9. Text is in other than “Times New Roman” font.
10. If there is any extra tab, extra enters.
11. If color text found in the word file.
12. If the file is not zipped, and any other files are found in the zip file except the word
document. (Including temporary files also).
13. No Excuses in any regards, Company decision will be the final.
14. If the Files are not Uploaded for continuously for three times your Id will be cancelled
without any information.
15. The files zip should be in WinZip format only, other than WinZip the files will be rejected.
16. Deposit Amount is Non Refundable
17. The total contract of this project is twelve months ( 8 Schedule of
work)

Rejection Criteria :
1. File should be sent with in the deadline mentioned by the company, if not your
file
will not be accepted.
2. File name given wrong including the zip file name also.
3. Extra files found in the zip file except word files (including temperory files).
4. Incomplete files.
5. File is not zipped.
6. Colour text found.
