Evaluation Scanning with ScanTools Plus Software
NOTE: If you would like reports, please ensure that you have a flash drive before continuing below.
Helpful Hints:
Before you start scanning a packet, try to remove any blank sheets from the envelopes before they are
scanned if possible (this saves on ink). If there is only a header sheet in the envelope and no sheet that
a student should have filled out, then do not scan the header at all.
Make sure you keep each envelope separate. Make sure the header is filled out the same that is on the
label on the outside of the envelope which includes Instructors name, course name and course number
and section. The header will also be the first sheet scanned. If you have to start over on the same
packet then the header sheet will have be put at the front again.
Issues that may arise: Sheets will get stuck, pull them out from the side (usually the left). To know if
anything has been scanned, there will be numbers printed along the left side of the paper.
If the program stops in the middle of scanning a packet and you have to restart scanning, then you will
have to put the header sheet

To complete the scanning and reporting of evaluations please follow the steps below:
Evaluation Scanning
1. From the desktop, you will double click on the ScanTools Plus Icon to open the software.
2. Verify that the Application drop down box has the 350 – 2011 FacEval Form selected.

4. Give the file a meaningful name (example: CobbSpring2018) and click OK.
5. Load the forms into the Scantron OpScan 6 machine ensuring that the blue Process Header
sheet is on top.
6. Click on Scan and the forms will begin to process through the machine.

NOTE: The following screens will appear during the scanning of the forms.

9. Verify the Conversion Options to ensure that Data File is selected for use current. Click OK.
10. Verify that the Conversion Profile drop down box has 11fecfg.$cp selected. Click Convert.
11. Evaluation scanning is complete. Close out of the ScanTools Plus Software.

NOTE: If you would like reports, please ensure that you have a flash drive before continuing below.
Helpful Hints:
To complete the scanning and reporting of exams please follow the steps below:
Exam Scanning
1. From the desktop, you will double click on the Remark Classic OMR icon to open the software.

3. Select either SmallAnswer Sheet 229629 or Pearson NCS – Big Form 229633.
5. Ensure Activate Print Options is checked and [Total Score] are selected. Ensure that the
scantrons are loaded in the Scantron with the key as the first sheet and the barcode is facing the
front of the scanner. Click Read.

6. Once all sheets that are in the hopper a message will popup. If you have more exams to scan,
load them in the hopper and select Yes. If you are done scanning, select No.
7. You should see the answer key answers in the first row and the remaining test in the rows
below.
8. If you would like to Save the file, Save Data. Select the location to save the file, give the file a
name and click OK.
9. If you do not want reports, you can close out of the software by clicking on the red X and you
are complete. If reports are needed, continue to page 10.
NOTE: All reports will need to be printed prior to starting a new set of exam scans.
10. If you need to start another set of exam scans, click on the small X and start over with step 1 of
Exam Scanning.

3. Select one of the following reports: (see appendix B for example reports and any additional
requirements)
101 – Student Statistics Report
104 – Test Statistics Report
105 – Student Response Report
106 – Condensed Test Report
301 – Student Grade Report
4. You will export (see next section) the reports to a flash drive or Google Drive and print in your
department.
5. Once you have completed exporting the report, click on the red X two times to close out of the
software.

3. Select the location to save the file and name the file. Click Save.
a. Easiest method would be to save to a flash drive.
4. If you did not use a flash drive to save the file to, you will need to either email it to yourself or
save on your Google Drive.

Appendix A: Scanning Errors
Scanner Errors
A scanner error occurs when the scanner is not capable of performing its basic functions with a sheet,
for reason such as:
ScanTools Plus software will display the Scanner Error dialog box when a scanner error occurs.
If scanning stopped and the sheet causing the error can be corrected, you can correct and
restart scanning by clicking resume.
If the scanner is jammed, remove the jam and click resume.
If the scanner is unable to read the document, verify that pencil has been used to complete the
form.

To use this report, you will select the Student Grade Report and select the student(s) from
the left hand side (respondents) and click the arrow to move them to the right hand side
(selected respondents) then click OK.
