Rector

Job Description

 To create and fill temporary posts for a period not exceeding six months
 To appoint paper setters and examiners for all the examinations of the institute after
receiving panels of names from the relevant authorities;
 To make such arrangements for the security of papers, marks and results as may be
necessary.
 To direct teachers, officers and other employees of the institute to take up such
assignments in connection with teaching, research, examination and administration
and such other activities in the Institute as he may consider necessary.
 To delegate ,subject to such conditions, if any, as may be prescribed ,any of his
powers under this ordinance to an officer or other employee of the Institute;
 To appoint employees of such categories in respect of which powers have been
delegated to him by the Board.
 To chair the statutory bodies meetings in the Institute such as Academic Council,
BASAR, Selection Board.
 To exercise and perform such other powers and functions as may be prescribed.
 To recommend the increments of employees.

Registrar

Job Description

 To maintain uniformity in academic programmes in all the campuses of the


Institute.
 To be the custodian of the common seal and the academic records of the Institute.
 To maintain a register of the registered graduates in the prescribed manner.
 To conduct the Convocations.
 To act as Secretary of the Selection Board and to keep a record of all hiring, firing
and promotions in the institute.
 To act as Secretary of the Academic Council and the Board of Advanced Study
and Research.
 To supervise the Electronic Data Processing of all the Campuses.
 To ensure the admissions and degree completion of the students of all Campuses
as per Institutional criteria.
 To ensure that all Institute examinations are conducted and recorded as per
Institutional policy.
 To be the official spokesperson of the Institute.
 To handle all regulatory bodies.
 To sign all legal documents on behalf of the Institute.

Additional Registrar

Job Description

 To Coordinate and supervise the Assistant Registrars of all Campuses.


 To collect and maintain the record of all students of all the Campuses.
 To identify, documents and implement the requirement of HEC, PEC, and PHEC &
HED.
 To develop and required documents for HEC, PEC, PHEC &HED or for University’s
own record.
 To ensure the maintenance of all communication record of the institute.
 To organize and maintain the records of all the meetings of all statutory bodies.
 To coordinate with all the Campuses for the conduct of Convocation
 To monitor and keep a record of all external communications of the Institute.
 To issue the letters for sponsorship and other academic affairs.
 To maintain the performance of the Administration Department.
 To maintain all the developmental activities of the campus.
 To assist Registrar in the coordination affairs of various departments.
 Any other duty / task assigned by the registrar.

Controller of Examinations
Job Description
 To collect information and monitor the implementation of curriculum in all
Campuses.
 To ensure the conduct of all Institutional examinations as per the policy.
 To maintain the records related to results and issuance of transcripts to the students.
 To process and prepare the certificates, transcripts and diplomas of all the Campuses.
 To ensure the entry of all credit transfer data into the system.
 To maintain the record of answer scripts for 1 year.
 To announce the semester results.
 To ensure swift process of the documents of verification required by other
institutions.
 To ensure the entry of all examination results in the system of all the Campuses.

Dean
Job Description
 To ensure proper development and implementation of academic programs within the
faculty.
 To help in establishing a competent and qualified base of faculty both visiting and
permanent.
 To maintain an environment in which the highest level of knowledge can be imparted
to the students.
 To participate in formulation of overall policies for the proper functioning of all
Institute.
 To contribute towards the development of the Institute as a centre of excellence.
 To formulate and improve the curriculum and programs of the Faculty.
 To synchronize all the programs of the Faculty get successful market response.
 To ensure that each of the department has ample qualified faculty for replacement by
maintaining a “Resource Pool”.
 To identify the training & development needs of the staff & faculty members in the
faculty and ensure their continuous development.
 To suggest to the academic council, for improvement in concerning academic
policies.
 To monitor faculty performance reports at the end of each semester and recommend
appropriate action to the Rector.

Manager Accounts
Job Descriptions
 Responsible for maintenance of Books of Accounts of ICBS Institute and its
campuses.
 Responsible for the Audit of Annual Accounts by the External Auditors, as appointed
by the Board of Governors.
 Responsible for the filling of tax returns /other statutory returns of the Institute.
 Keep a close liaison with the Head of Accounts Department of each Campus to ensure
that Books of Accounts are being properly maintained.
 Maintain up to date accounts of the fees received/ receivable from each student.

Job Description
 To prepare the Annual Budget of the Institute and its Campuses. He will also prepare
a report of the Budgeted performance each year.

Director ORIC
Job description
 Manage and enhance the research activities of the university, develop Research
policies and priorities, work for fund raising for research, mobilize faculty, business
community and industry for research commercialization and serve as an effective
advocate for research with the Institute and to its broader community of stakeholders
and supporters.
 The ideal person should have an entrepreneurial mind-set and 10 years relevant
experience. Secondly, must have strong ties with the local government,
business/industry, entrepreneur, Institute and social Communities. Finally, proven
leadership experience in managing and growing non-profit organizations. He will also
implement the strategy and business development plan required to execute program
initiatives to enhance the progress of the ORIC. The position also manages the
operational aspects of the ORIC. He will work in close liaison with the board of
advance studies and research /office of sponsored research, Business/ technology
Incubators and Institute Science & Technology Park (if any).
 Monetize royalty streams from licenses.
 Draft and monitor department budget.
 Oversee IP webpage, in conjunction with the web committee.
 Work with Development office to promote Institute IP success stories. Utilize success
stories to leverage commercialization efforts.
 Collaborate with the Principle Liaison for Technical Marketing and Licensing on
commercialization of the institute’s IP in coordination with manger industrial linkage.
 Other duties as assigned.

Librarian

Job Description

 To plan, setup and administer all aspects of library administration, computing,


including server, database management and an online library system administration.
 To acquire library materials, this includes procurement of books, reports and
subscription of journals, periodicals and magazines etc.
 To classify catalogues and process incoming monographs books, and other materials
as well as electronic reports of the same at different databases.
 To manage and supervise the circulation desk during the day timing.
 To fill up or have the same filled up data entry forms of books into library Database.
 To plan, implement, promote and evaluate the reference services and resources.
 To process binding transfers, withdrawals, title changes, claims, request for books
issues and missing pages etc.
 To collect and process materials for binding, maintain binding’s records, annotate
unit’s shelf list and record of serial holdings.
 To keep abreast of new resources as they are added to the collection or to which
access has been provided.
 To promote Library services

 To overseas the selection, acquirement, organisation and maintenance of resources for

Job Description
 Perform the planning and execution of regulatory, financial and operational audits and
special reports.
 Assess compliance with governmental and jurisdictional regulatory requirements,
financial accounting and auditing standards and company policies to ensure company
assets are safeguarded.
 Examine and evaluate the adequacy and effectiveness of information systems and
business controls.
 Compare and contrast property controls with regulatory requirements and generally
expected internal controls.
 Create audit programs for new company/ property initiatives.

compensating controls.

Job Description
 To organize sports tournaments within the Institute and to prepare the annual sports
program.
 To organize sports teams to take part in the intervarsity sports
championships/National /Inter-Provincial and other tournaments and matches.
 To promote the cause of sports and inculcate qualities of sportsmanship amongst
students.
 To prepare the annual budget for the consideration of the Administration.

Head of Teaching Department
Job Description
 To do the students counselling regarding course selection and other day to day issues.
 To develop clash free time table for all the programs in the department.
 To develop the departmental budget and submit it to the Dean for further submission.
 To ensure that all decisions concerning students credit transfers, course registration
etc. is taken as per Institutional policy.
 To perform faculty monitoring regarding punctuality in classes, course coverage etc.
 To gather information regarding new programs and market trends and communicate it
to the Dean of the faculty.
 To teach the required number of courses as prescribed in the institutional policy.
 To be continuously involved in producing and publishing scholarly work that meets
the minimum requirements of the Institute.
 To ensure that the program curriculum is reviewed and suggestions are submitted to
the Dean on regular basis.
 To ensure that the assessment criteria for each of the courses offered in the program is
standardized and documented.
 To ensure that the course outline and course work plan is established for each of the
course.
 To monitor the timely submission of examination results by the faculty of the
respective program.

 To ensure that all courses and programs offered in the Institute are approved by the
relevant statutory bodies.
 To shortlist the applicants for visiting faculty position and call them for demo

Job Description
 To regularly monitor & maintain the physical infrastructure of the institute that
includes all issues concerning cleanliness, electrification, plumbing, painting, wood
work, furnishing and air conditioning etc.
 To supervise & maintain the transport facility of the Institute
 To handle the purchasing process of the Institute that includes receiving requisitions,
collecting quotations, getting approval, receiving supplies and forwarding the bill to
the finance department.
 To handle the security issues during the normal functioning of the Institute and during
all Institute functions and events.
 To provide all administrative support including manpower to committees responsible
for organizing events.
 To co-ordinate with police and other government bodies for smooth functioning of the
Institute.

Job description

 To maintain the record of resumes received directly or provided by the Registrar’s


office.

 To maintain record of all issues related to medical & other benefits as provided by the
Institute.
 To collect employees performance report from the concerned head of the department
and submit it to the director at the end of each year.
 To receive the recommendations from the concerned department regarding the
training &development of their staff and submit it to the director as and when
required.
 To work in coordination with the Registrar’s office for any kind of change in the
employment status of the employees such as hiring, promotions, transfers, termination
etc.

 To develop a comprehensive and updated database of the key positions of all the

 To continuously develop & maintain comprehensive database of all the graduates
