BACK-UP AND RESTORE COMPANY FILE


BACKING UP YOUR DATA
Backup QuickBooks Company files daily. Backup copies are important insurance—if you should lose
data for any reason, you can restore data from your backup copy.

1. Select the storage media on which you will back up your QuickBooks Company.
2. Choose File menu > Back Up.

3. Click Disk button.


4. (Optional) If you want to change the name or location that QuickBooks suggests for the
backup file, click Browse. Specify a new file name and location. (All QuickBooks back up files
require a QBB extension.)

5. Click Save, then OK to back-up the file.

What the backup command does

The QuickBooks Backup command does not simply copy the data for your QuickBooks company.
Instead, it compresses the data into a compact file that is smaller than your company file. To open a
backup file, choose File menu > Restore.

RESTORING DATA YOU'VE BACKED UP

Under certain circumstances you may need to restore QuickBooks data from a backup copy. The way
you do this depends on whether you are restoring a local backup or a remote online backup.

Restoring a local backup

1. If the backup copy is on a removable storage, put the storage on its respective port.
(disk/HDMI/USB port).
2. Choose File menu > Restore.

3. In the upper section of the window, click Disk; then click Browse to select the location and
file name of the backup file.
4. In the lower section, click Browse to select or change the location and file name to which you
want to restore your backup file.
5. Click Restore.
6. Respond to any messages QuickBooks may display.

This procedure uncompressed your backup file and creates a new company file using the
data from the backup.
