JOB DESCRIPTION

Assistant Director of Studies


Ana Aleksic

GENERAL

1.1 The Employee shall report directly to the Director of Studies of the Company
and/or any other Company official, namely the CEO, the owner of the company
or the non-executive director.

1.2 The Employee is expected to participate in the development of the Company’s


business.

1.3 For performance rating purposes the Employee will be scored heavily on the
perceived results of her capabilities as an effective member respected by and
acceptable to her superiors and colleagues.

1.4 The Employee shall participate in the development of strategies and tactics
according to the Company’s mission and objectives in the competitive
environment.

1.5 The Employee shall contribute towards exploiting the Company’s strengths and
opportunities, developing prioritised programmes for minimising weaknesses,
and continuously monitoring the implementation of such programmes.

SPECIFIC

2.1 The Employee shall be required to help manage the Academic Staff and
Academic Requirements as well as any other associated Resources, which shall
include but may not necessarily be limited to, in no particular order;

(a) Time Tabling and Preparation of Class Lists;


(b) Verifying teaching permits and any other official requirements;
(c) Monitoring Staff hours, leave, absenteeism and preparation of salary payment;
(d) Monitoring and Training of Staff, to include teacher observation, and the
organisation and preparation of CPD Courses;
(e) The recruitment of new Staff;
(f) Conducting and managing records associated with Students, including
placement tests, needs analysis, certificates, etc.
(g) Managing Student requirements, including complaints, in-house activities,
feedback forms and presentations;

2.2 The Employee shall be required to undertake an active role in Business and
Strategic Development including but not limited to the inception,
development and implementation of new Courses and Programmes.

2.3 The Employee shall be required to respond to Specific Student Enquiries, be
they walk-ins, online requests or any other form, and conduct the associated
Sales requirements of such including but not limited to, conducting request
follow-ups and catering for specific needs.

2.4 The Employee shall be required to attend educational events as the


representative of the school when and if required.

2.5 The Employee shall be required to contact new agents and when necessary
act as Agent Liaison and will be expected to aide in the preparation of Mail
Shots and Newsletters issued.

2.6 The Employee shall be expected to consult in product promotions, the


preparation of brochure and marketing material and monitoring the website.

2.7 The Employee will be expected to involve herself in the issuing of quotations
and invoices.

2.8 The Employee shall be expected to undertake an active role in the organisation
of academic conferences and any such associated activities being undertaken
or instigated by the School.

2.9 The Employee shall be expected to keep up to date with teaching


requirements and to offer her services as a teacher to the Company as may be
required from time to time.

2.10 Quality Assurance - Accreditations and Inspections:

• FELTOM
• ELT Council
• Eaquals/Ihwo
• IQA inspections and reports
complying with all reporting requirements on academic services which
may lawfully be requested by the Council and Accrediting bodies in an
accurate and timely manner and complying with all applicable laws,
regulations, licence conditions, rules and any quality assurance
measures in force etc.
• Various Policies – GDPR , T&Cs, Agreements etc.

2.11 Erasmus teacher training courses (application process, preparation and
lecturing): pre- arrival procedure, needs analysis, preparing programmes,
flyers and write-ups with Sales and Marketing Department – creating syllabi/
course design;

2.12 overseeing all the School’s/Annexe’s non-formal learning processes of


students, identifying their English language training needs, designing formal
tuition course syllabi, selecting course materials and implementation, setting
and monitoring the formal academic plan including standards and
performance levels, placement and final assessments and certification,
recruitment, guidance, in-service training, regular continual professional
development and performance assessment of ELT Practitioners, attending to
formal academic issues, academic progress of students and English Language
Teachers and resolving academic issues and complaints etc.

2.13 Annexe Manager 2018;

Preparing for 2019: YL syllabi, materials, lessons, admin and related matters
(recruiting staff, induction sessions, leisure, invoices, contracts and
agreements etc); Preparing YL workshops for teachers etc.

2.14 NCFHE:

Course Accreditation- NCFHE licence - course and provider accreditation –


Teacher Training Award; Quality assurance Manual etc.
