Flow Chart Process

A process flow chart is an instrument that visualizes and analyses the various systems
and procedures (e.g. delivery of services, decision-making, funds allocation, accounting
and monitoring) within an organization.

What can you do with it?

The flow chart analysis helps to identify the bottlenecks in the different processes within
the organization. It identifies unnecessary involvement of people, loopholes in decision
making or unnecessary delays in the process. It assists to make the organization more
efficient in its operations.

The process flow chart helps to design new processes for the primary process, support
processes and supervisory processes, and helps to analyze the bottlenecks in existing
procedures. It is very useful to help participants understand the interrelation of the work
activities and to realize how the work of one person influences the others.

How to use it?

Process A process flow chart can be made on an individual basis or in a group (not more
than 20 people) on a participatory basis. If made with a few key people it should be
adjusted and/or endorsed by all actors in the process. Decision-making is to be prepared
for the management concerned to improve the process. It is also a useful tool for
presentation purposes to show how processes actually take place (or should look like).
Depending on complexity of the process it will take 1-2 hours per process.

Ground work

The choice of which process to analyze should be made in a clear and clever manner:
Relevant to the (core) problem owner, and of interest to the other involved stakeholders.
A process flow chart can very well be a starting point of an organization analysis, but
may also be chosen if other observations indicate confusion or problems in the way the
organization acts what it does.

Follow up

Depending on the problems identified it can be followed by other analysis tools e.g.
using the Integrated Organization Model to dig deeper into the problem or combining the
problems with other related problems in a problem tree analysis or a SWOT.
Requirements and limitations

It is important not to mix up different processes or different levels of abstraction


(activities and sub-activities) in one chart. Sometimes it is difficult to define the process
to analyze. Certain activities are cyclic and do not have a clear beginning and end. If not
used adequately it may turn simple activities into a complicated chart. In a participatory
approach there is a danger that participants mix up the present (actual practice), planned
(official way of working) and the desired situation. We recommend visualizing only one
at the time.

I. Introduction
History:
Early history

The history of National Book Store can be traced back to the 1930s. However, the
company has been formally established in 1942. Before the Japanese occupation of the
Philippines during World War II, José Ramos and Socorro Cáncio-Ramos, rented a
small-corner space of a Haberdashery situated at the foot of Escolta Bridge in Santa Cruz,
Manila. With a starting capital of ₱211 (equivalent to ₱15,047 in 2015), the Ramoses set
up their first retail bookstore selling GI novels, text books and supplies. During World
War II, the store shifted to selling sold candies, soap, and slippers due to stringent book
censorship. The store experienced success but was burned down during the 1945 Battle of
Manila, rebuilt again and reverted to selling textbooks and stationery, the opening of the
rebuilt National Book Store at the corner of Soler Street and Avenida Rizal, coincided
with the first academic schoolyear after the war. In 1948, the store was destroyed by a
Typhoon Gene but a new two storey building with a mezzanine was built to host National
Book Store

 Car inspection- inspect the car before cleaning if it is a some important things inside the
car and if it is scratch outside the car because if it is something lost and scratch the car
the company will not provide it.
 Preliminary washing- washing the car before to start the soaping.

they seem to follow the wants of the customer.
How long each cycle? What is the standard time? Each vehicle takes Time study
1and 1/2 hours to wash and depends on the wants of the customer.

Discussion:

The team observed the following issue connected to all delays and problems in the
process of service in car washing. First, Power Source problem – is the problem experience in the
shop due to lack of generator in the machinery. Since all the machines use in the service where
power generated, problem arouses when there is a brownout occurrence in the working days or
hours. Second, majority of the machinery are manual base in the operation run by the workers
using it that is why further delays added in the service. Third, lack of workers is the main reason
why there was only a one vehicle per service time work frame and sometimes if the workers his
sick there is no substitute in washing car. Fourth, some workers are idle when the cleaning service
of the car started while waiting for their time to do their work due to unplanned flow of work and
because of these many customers are dissatisfied and in the end pull out their cars in the carwash.
Lastly lack of adequate training in the worker in doing the service smoothly since there are time
that some of the worker are doing the same work all over again. And all of these problems and
occurrences contribute and piled a lot of delays in the time – work relationship of the service
rendered and to unable to meet their quota every day.

Recommendation:

1. Usage of equipment belt in every worker in order to minimize walking and unnecessary
moving from one direction to another in order to get tools and equipment use in the service.

2. Additions of Worker that will occupy the entire needed services base on the volume of car
entering the carwash per day

3. Usage of bumper in shinning the car or wiping wet surface of the car.

4. Trainings or seminar of the workers in order to become more efficient and time wise in
adhering the services.

Conclusion:

According to the data gathered and analyze, the team concluded that Rotary Carwash in
their present state was lacking in their proper equipment and tools in adhering their services.
Manual machinery also contributed much of the time delay in their services and lack of workers
are the main problem that causing the under quota problem of the business. That is why the
Carwash must upgrade in their mechanical and manual state. In their process state, the Carwash
must minimize unnecessary motions and pacing in conducting their cleaning services.
