1. Executive Summery
Our report is based on Management information system. The purpose of this report is
toidentify the existing management information system of IUBAT. We followed qualitative
research method to make this report. We collect all this information from IUBAT automation
system and took help from MIS authority.

2. Problem Statement
Though IUBAT is constantly developing Management Information System. But student are not
getting enough information through MIS.

3. Body Part
3.1 Introduction
Management Information Systems (MIS) is the study of people, technology, and organizations.
MIS helps to improve people's lives. The management functions like planning, organizing,
executing, monitoring, control and evaluation can be performed with the information. Various
resources are required to perform, which include manpower, materials, finance, facilities and
information. Information is one of the most important resource of the organization that have
an impact on all the other resources.MIS is required to achieve organizational goals and objectives.

4. Discussion and Findings


4.1 Existing MIS in IUBAT
The management information system of IUBAT provide the highest support for their
internal and external functions people. Such as automation related activities of IUBAT
University. Every student gets information about related activities including automated
admissions management, student pre-advising related activities, online payments through
selected banks, finance and accounts management, HR management activities,
procurement related activities are automated for the convenience of both students and
administration. The MIS staffed by tech-savvy personnel who provide prompt service to
students, faculty members and staff of IUBAT University who use computers. Also the
department is continuously striving to improve the services by introducing and developing
new innovative ideas. IUBAT University has a website available which has a very modern
look and helps in disseminating various information related to the University.

4.2 The way MIS works in IUBAT
In IUBAT university always try to focus on their students so that there should be no barrier
between university and students to face any difficulty in their communication process. From
admission the university start using MIS for their students. The time of admission students
getall the information regarding financial, Courses, Scholarship & Course material. The
admission office provides this information by using each departmental data by using MIS.
After getting admission of a student the admission office provide student information based
on the student department to allow the course enrollment. Now the student gets the
permission to choose their courses on particular time. Based on the course and time the IT
department take the data as a resource so that they can make the proper schedule of a
student routine. After that the IT department need to section allocation for individual
courses. By using MIS other activities like room allocation and faculty distribution done by
the registry department.

4.3 Roles of IS in IUBAT


It is known that in modern Knowledge Societies, Knowledge is power and Data is money.
Information is the key to any organization’s sustenance and information management to the
major activities amongst various activities in modern day universities. The Information Systems
(IS) have nowadays become a basic resource and part of IUBAT University. It is necessary to
collect and store data that helps the systems serve their desired purpose of the IUBAT
University. Here, the university needs to work on collecting, processing, storing and
transmitting such information through information systems. The system is designed to keep the
number of additions in user’s base in coming future in mind. During its development many new
novel techniques were used to make it more efficient, user friendly and relevant. One major

technique is that generating reports and the query responsetime was reduced to few mille-
seconds for large volume of data from few minutes initially.

IUBAT University IS is created to record faculty accomplishments, including research,


publications, teaching, awards, and service activities for each year. The informationentered will
be used to generate a variety of reports such as the Annual Report, Departmental Report, and
individual CVs as per the templates. At a much deeper level,

 Manage their reports easily.
 Download their reports/details anytime.
 Archive past records and keep work history.

Administration can,
 Review/Download Faculty Activity Reports.
 Review/Download Departmental Activity Reports.
 Generate statistical facts.
 Create documents.

Although much of the work has been done as per initial planning, the only module

4.4 IUBAT operations support system

IUBAT transaction processing system: Process data from accounts department regarding
faculty and student transaction.
IUBAT process control system: Monitoring the students course enrollment, result
publishing and provide the daily notice.
Enterprise collaboration system of IUBAT: The communication and collaboration
between registry, accounts & departments to support university rules and regulation.

4.5 Support decision making in IUBAT


Provide interactive support for the decision making process regarding university
authority and students. University authority decide cost per credit hour, grading policy,
student performance evaluation. After all the decision are made then all the informative
issues are collaborating between the departments and students.

4.6 Support of strategies for competitive advantage


IUBAT university continuously updating their management information system for
making the strategies to get the sustainable competitive advantages. IUBAT use CISForm
that helps the authority to evaluate the faculty ability and performance. So that the
students can get the good quality learning from their Faculties. When the university can
provide the good quality students as ahuman resource then they will get the
competitive advantage among all other universities.

4.7 Components of IS in IUBAT
The components & information system provides the four major concepts that applied in
IUBAT.
People resources: The peoples of IT department whom analyze the whole system,
developing new software, operates every classes network connection. They also creating,
using and distribution information
Hardware resources: Machines are using in the IUBAT like computers, Video monitor, server
machine, projector and printers. The server of IUBAT work as a media and also use the
paper from of information.
Software resources: Using MicrosoftOffice, SPSS software, spreadsheet analyzer & other
application software like grading analyze software,
Data Resources: Students information, records files etc.

4.8 Suggestion to develop existing MIS in IUBAT

We should develop a scanner system in every class so that every student’s attendance would be
given by punched card. This punched card is active in the first five minutes of each class and the
last ten minutes then it does not take any attendance. So, the student comes to late in the class
will not get any attendance. Students should use two times to get his/her attendance. When a
student enters the class and another time is during an exit time. This system is mandatory for
all the students and faculties. This system will reduce manual monitoring system which is giving
to supervise during class time. Suppose when a faculty does not come to a class, this system will
automatically send a mail to the authority and him/her as well. In case of student’s same
procedure should be taken.

In terms of notification system all the notice should be given through e-mail. Then it is the
student’s responsibility to check. If anyone worries about any notice, then he or she has to
check his mail.

In our personal user ID (iubat.net), we should develop another information system which is
our account statement. We never know how much amount we have given or how much

amount we left from our total tuition fees. Under this section, when I paid my tuition fees
instantly it would show that your tuition fees are successfully done along with sending a
message to the students. Another thing that should be added to the user id which is
how many courses I have done and how many courses we have to finish based on our major
subject.

In terms of course offering, we may develop some specific term though our course offering
system is a well-organized than other universities. When student click on course enrollment
there would be two buttons which is mandatory courses based on department wise and
another is major courses. Into those buttons there would be two parts, one side shows you
have done these courses from the mandatory courses and another part will show you have to
do these courses. Another important fact that should consider is about conflict of courses.
Suppose a student is in eleven semesters, he has only two courses. But that
course conflicts with another one. Then there must be a button such as Request button to give
a request to the authority to give a possible solution to this problem.

Our student learning focused are moderate. We are very concerned about our dress code and
behavior as well as speaking English all the time in the campus which is very effective. Another
important thing is, we are now connecting with each student through Moodle. This system
may differentiate us than others. We have to utilize it properly. We should take our quiz
through module with a specific time.

4.9 The technological set up IUBAT currently using in its MIS

Administrative systems: Finance and Accounts management software support, HR Management


software support, web portal, domain control, email services etc.

Audio-visual: Multimedia Projector and projection screen support, Sound system equipment
etc.

Computer labs & specialized rooms: Classroom and lab software installation support, Classroom
information and system support etc.

Computers, printers & software: Computer & other IT equipment installation and
commissioning, decommissioning, computer hardware and software provisioning, Computer
maintenance support, Standard software licenses, Network Printing etc.

Email, collaboration & storage: Email service - faculty & staff, students.

Network connectivity & support: Wi-Fi system support, IS & IT Management department,
monitoring and maintenance.

5. Conclusion

Management information system provides up to date information in the competitive market.


Technology is used to differentiate one organization to others. It can change the working
culture and easy excess of information regarding their internal and external users. IUBAT is
constantly developing MIS system to support the student by giving them accurate information
that needed. The effectiveness of MIS system in IUBAT can change the working culture of inter
cooperates and students. Although IUBAT has an effective Management information system
but it needs to develop more to achieve their objectives.
