Objective
This policy is laid for appropriate usage of IT Assets by employees in Pandit Ventures
Pvt Ltd
Salient Features
• Treat the asset as though it were your own.
• Employee should maintain the security and functionality of the shared
equipment, services, and facilities.
• In today’s competitive world the loss to the company is not just the cost of the
physical asset, but the huge intangible cost of confidential data residing on the
asset. Therefore, the need to take care of the asset cannot be overemphasized.
• Do not uninstall or impair the functioning of the antivirus software on the
machine given by the company. In case of any personally owned computer, if
connected to Pandit Ventures network, the owner is responsible for installing
and maintaining virus protection.
• Do not stop or impair the functioning of the Operating System autoupdate
feature provided on the machine given to him/her by the company. In case of
any personally owned computer connected to Pandit Ventures network, the
owner is responsible for installing and maintaining patches.
• Do not use company resources (including, for example, email, web pages, or
newsgroups) to defame, harass, intimidate or threaten any other person(s), or to
promote bigotry or discrimination.
• Use the asset in the work area of the company for official purposes only. Non
PVPLR employees may use these machines for official purposes and will need to
abide by the conditions stated in the policy.
• Do not send and/or encourage the propagation of spam or chain mail.
• Do not publish post, transmit or otherwise make available content that is
copyrighted, obscene,or legally objectionable. Those who make use of electronic
communications are warned that they may come across or be recipients of
material they find offensive or objectionable, despite the company’s efforts to
prevent this, as far as possible.
• Do not install software, alter system files, or disconnect any cables on computer
lab machines.
• Please leave the machine set up as you found it so that the next user may
receive the same privilege.
• Visitors / Consultants are not allowed domain access to the LAN without
express permission from designated authorities.• • •
• Connecting to the LAN cables at PVPLR premises is forbidden without express
permission from designated authorities.
• Pandit Ventures employees assisted by external consultants will have to
request for access rights for the consultant. Access will be limited to Internet
and will be granted for a limited period only.
• Do not violate the privacy of individuals. This includes viewing, copying,
altering, or destroying any file, data, transmission (including, for example,
network packets) or communication not explicitly owned by you unless you have
been given explicit permission by the owner.
• Do not violate copyright laws. This includes using Pandit Ventures computing
facilities and resources to receive, retransmit, duplicate, destroy, or temper with
software or data, whether stored or transmitted, unless authorized by copyright,
license, company policy, and all other applicable laws. Examples of protected
materials include written material, sound files, pictures, photos, animations,
and software not originally created by you.
• Do not research or attempt to defeat computer and network security measures,
implement self replicating codes, possess “cracker tools”, as well as intentionally
develop and/or use programs that are designed to harass other network users,
bypass system security mechanisms, steal or “crack” passwords or data sets,
deny access or otherwise interfere with system services, replicate themselves or
attach themselves to other programs, or evade software licensing or copyright
restrictions. Examples of this include intentionally sending viruses, worms, or
“Trojan horses” to others. Do not attempt to run programs that are deemed as
malicious, such as “port scans”
• Only computers or networked devices that have been registered or approved for
connection to the PVPLR network, by IT Support, may be connected to the
network. No hubs, hublets, wireless concentrators/routers, or similar signal
splitting devices may be connected to the network. Exceptions to this may be
granted by IT Support on a case by case basis.
• If employee loses an asset, or causes damage due to mishandling, the employee
is liable to replace it at own expense. Losing an asset is considered a case of not
exercising adequate care and the employee needs to replace the asset at own
cost.
• To ensure adherence to the AUP and to protect the integrity of PVPLR’s
computing resources, IT Support reserves the right to monitor the network and
computers attached to it. In addition, IT Support shall have the authority to
examine files and account information, and to test passwords, to protect the
security of PVPLR’s network, computing resources and its users.
• The Pandit Ventures server room is a reserved space. Access is denied for all
employees except the IT System Administrator and NOC teams.
• In the rare case where an asset is damaged or stolen in spite of adequate care
being exercised by the employee, the company may consider replacing it. This
needs to be approved by the concerned MC.
Procedure
• If an asset is lost, damaged or stolen it needs to be reported.
• If the asset has been stolen, the employee is required to file a police complaint
in the local police station & submit the copy of the FIR to the IT Infra team.
• The IT Infra team will provide a replacement on validating the provided FIR
details is correct.
• Reports of problems or violations should be submitted to IT Support, which, in
turn, will forward the issue to the violating individual's Line Manager, for
further investigation.
• All reported violations will be responded to within the same business day.
• If the asset is damaged, the replacement cost should be billed and bear by teh
concenr employee.
