SCHOOL LIBRARY INFORMATION SYSTEM BASED ON WEBSITE IN SMK

TELKOM BANDUNG

1 INTRODUCTION

1.1 Background
The development of information and communication technology has developed rapidly and
began to be utilized in various fields. One is the field of education. The thing that is of concern to
the use of information and communication technology in the field of education is the application
of various information systems to support the quality of education. With the implementation of
various information systems, the education sector has changed for the better. Information
systems that have been widely used in educational institutions in Indonesia include websites, e-
learning, learning media, and school library information systems. Libraries in SMK Telkom
Bandung are used as facilities to support the academic quality of SMK Telkom Bandung
students. The library has a collection of books of approximately 500 books. The books provided
by the library consist of subject books for all majors, reference books, network security books,
information technology books and so on. Management of SMK Telkom Bandung library data
which includes book data management, borrowing and returning books still uses conventional
methods, namely by writing it into an inventory book.
Data management that still uses conventional methods can cause problems. First, the book data
search process is done by reopening per page of the inventory book so that it takes a long time.
In addition, the process of making reports such as summary reports on book data and list reports
for borrowers must also check the inventory book details and copy them back. As a result, it
takes a long time in conducting data recap and compiling reports. This is very important because
the library must provide the report to the principal as an evaluation material for the following
year and as a reference in the accreditation assessment.
1.2 Problem Identification
Based on description above, we can identify the problem that will be solved is how to build the
system that can:
1. Difficulties in the process of finding book data because they have to reopen per page of
the inventory book.
2. Preparation of reports requires a long time because the process of recapping data must
check and copy back from the inventory book
3. The absence of the development of library information systems at Telkom Bandung
Vocational Schools
Some restriction on building the system such as:
1. Conventional management of library data takes long time enough in preparing reports,
and difficulties in finding data book.
2. Information systems that do not guarantee quality result in several problems like features
that don't suit your needs, are difficult to use, not reliable, and inefficient.
2 REQUIREMENT ANALYSIS
2.1 Condition and Problem
The process that occurs in conventional library is sometimes not so effective and efficient,
because all the processes are carried out manually by library officials. Not only that, visitors have
to manually search for books they want to borrow or just read, which means it takes a long time
to find the books they want. Generally, the conventional library process currently follows this
steps:
1. Librarian / administrators do visitor data by manually recording visitor data.
2. The librarian / administrator changes and deletes data manually.
3. The librarian / administrator collects book collections manually.
4. Visitors look for the desired book manually based on the location of the book category.
5. Visitors record the borrowing of books by taking notes.
6. Visitors return the book at the location directly in accordance with the date of the
provisions and fill in the data for the return of the book.
7. The librarian / administrator records all loan transactions and returns of books.
8. The librarian checks the data for returning the books.
9. The librarian / administrator create and print library management reports.
The processes above can describe in cross functional flow as below:
Based on description above, and based on the field observation, we can identify the problem as
below:
1. Data collection done manually can slow down processing time librarian.
2. If The librarian want to check, enter, delete, and change visitor data, borrowing, and
returns must be manually
3. Searching for books manually based on the location of the book done by visitors will be a
waste of time
4. Visitors must come to the location to extend the loan book, this is very ineffective and
inefficient because if visitors are unable to come to return it will be fined, and also a
waste of time.
5. The lack of information or reminders given to visitors such as return dates, book
categories etc.

2.2 Proposed Solution


To resolve the problems above, we propose the solution to help SMK Telkom Bandung.The
solution will define based on existing problem and adopting recent technology .The process of
developing a website-based library information system at SMK Telkom Bandung is very well
targeted and well functioning. Based on observations, it is necessary a library information system
is created that aims to assist library officers in managing loan transactions and returning books,
managing collections of books, and so on. The system also aims to facilitate members and
visitors when looking for books to be borrowed.

To implement the proposed solution above, we propose to SMK Telkom Bandung to change the
selection procedure as below:
1. Librarians publish information about libraries using the web.
2. Librarians and visitors can register online by logging into the library website.
3. Librarians can check, enter, delete, and change visitor data directly using the website
4. Librarians can display all existing visitor data.
5. Librarians can enter new book data with identity (book code, id category, book title,
author, publisher, number of pages, publisher city, and published year).
6. Librarians & visitors can display all existing book data.
7. Librarians & visitors can search for books based on book codes, categories, book titles,
and authors automatically by using the website.
8. Librarians & visitors can find out the number of books available and books that are being
borrowed.
9. Librarians can input all loan transactions book.
10. Library visitors can only borrow books of up to 2 types of books.
11. Librarians & Visitors can display the date of the return of the borrowed book.
12. Librarians can find out whether members or teachers have returned the borrowed book.
13. Librarians can record / input all book return transactions.
14. Librarians & visitors can display the date of return of the borrowed book. other than that,
visitors get notifications for returning books.
15. Librarians can display and print data reports book.
16. Librarians can display and print reports borrowing books.
17. Librarians can display and print reports book return.
2.3 Functional and Non-Functional Requirement
Based on proposed solution on previous chapter, we identify that SMK Telkom Bandung need to
build web-based application for recruitment, with functional and non-functional requirement as
shown in table 2 and table 3 below.
