Standardize how to provide the complete desktop setup to new comers as a package

When a new employee starts working at Imagina, the IT department must provide him / her with:

- Monitor
- CPU
- VoIP phone
- Mouse
- Keyboard
- Access badge with picture

To make that possible in the required time, HR must advice with at least 1 weekend in the middle (the IT
department will make sure that during the weekend, the assets are setup, installed and placed in the
required location). This is because during week days IT must prioritize the tickets from the customers and
during the weekend the load of tickets is considerably lower. Failure to comply this must be advice to the
IT Manager with plenty of time.

The IT department will be able to setup up to 5 PC per weekend. This is because during the weekend
only 1 member of the team is in our facilities from 8:00 am to 8:00 pm.

If specific software needed, this information must be also provided as well as the license information to be
used. In case IT handles the purchase, it must be advised with enough time to do it.

The basic applications’ package will be installed and setup in the workstations. This folder will be located
in a shared location accessible by the team members from anywhere in our subnets.

If an email account should be provided to the user, a user in the AD must be created first by IT team and
after, a Form must be filled and sent to so they can create the account.

Registering the assets in Inventory

The assets assigned must be updated in the IT asset inventory database, filling all the fields required. If
any information is needed, feel free to ask to the team.

Installing the equipment

When installing the equipment, the cabling must be organized according to written standards. The IT
department must have all the necessary tools to accomplish this task.

Finishing the setup

The setup will be declared as concluded once all the necessary assets have been connected accordingly
and are working as expected.

Printing the access badge

HR department must has provided information about the areas of the buildings the employee needs to
have access to. A photo must be provided by HR department if possible??? If not, just make sure we
take it and provide card immediately to the user.
First contact with the new employee

When the employee gets to his / her desk for 1st time, a representative of the IT team should introduce
him / her to their assets. Also a card with the basic contact info (phone numbers and support email) must
be provided to the employee.

A card will be printed with the IT contact information (phones and support email) and procedure in case of
any need for service.

In case this employee needs any other type of assistance from IT, it should be provided, but afterwards it
must be duly documented or informed to the team using the distribution group email account or the
corresponding Teams thread.

Registering the access badge in the printer system

Once the employee has received the access badge, being introduced to its IT assets and setup any other
application needed, the IT member must take him / her to the printer and show him / her how to register
the badge and use the printer basic functionalities.
