Term Description
Place to Play Tennis Club, Leisure Centre, Park, Local Authority venue, Indoor
Tennis Centre, City Tennis Club
LTA Affiliated A Place to Play that is affiliated to the LTA. LTA Affiliation provides
Places to Play with all the existing benefits and now the NEW online
area!
Tennis Clubmark Tennis Clubmark is a tennis club’s opportunity to be recognised for
achieving excellent standards. Achieving Tennis Clubmark means the
LTA endorses and supports a club’s tennis programme, policies and
procedures, action and development planning, and club management.
British Tennis LTA individual membership scheme. The scheme is free to join if you
Membership are a member of an LTA Affiliated Place to Play.

This area will help you to promote your Place to Play to the hundreds of thousands of regular
visitors who browse the LTA website on a monthly basis.
In addition, your nominated administrator will be able to update your details including what tennis
opportunities are on offer, the facilities that are available, information about your coach or coaching
team and details about key volunteers such as your secretary and chairman. You can also upload
4 photographs of your Place to Play to give potential members/players a feel for the experience.
Your nominated administrator will be able to update details whenever they like, but as a minimum
you will need to do this at least once a year as part of LTA Affiliation. This new system removes
the need for the old club profile forms which were previously used to collect club and volunteer
details.
The new enhanced Places to Play area is not intended to replace the need for a club website,
however it will help you promote your Place to Play to a wider audience in a more interactive way
than is currently provided for you on the LTA website.
The system is very user friendly and will allow you to provide as much or as little information about
your Place to Play as you deem appropriate.
This ‘User Guide’ will follow a step by step approach to managing your Place to Play on the LTA
website. More advanced computer users may only need to dip in and out of this guide as guidance
is provided ‘as you go’ within your logged in area on www.lta.org.uk.
A simple and effective promotional tool that complements your existing website.
Improved information about your Place to Play for potential members and visitors. For example:
o A location map and directions will be provided automatically for all Places to Play.
o Your members will be able to review your Place to Play and tell potential members
what’s great about it.
o Your nominated administrator will be able to view a full list of British Tennis Members
linked to your Place to Play.
o You will be able to upload your existing membership application form or membership
information pack should you wish to make this available to potential members.
o You will be able to provide more information about your coach and promote your
coaching programme.
o You will be able to upload 4 images of your Place to Play.
o Places to play with Tennis Clubmark will be clearly identified.
You can update information about your Place to Play as and when you need to without having
to contact your local County office.

Everybody in the LTA database with a role of ‘Club Main Contact’ has been given access to Places
to Play Self Service for their Place to Play. When you log in (see chapter 5) you will see the name
of your Place to Play in the blue bar at the top. When you click on the name of your Place to Play
you will be taken to the logged in area where you can complete the LTA Affiliation process and
start to use all the new features to promote your Place to Play on the LTA website.
Read through this guide for instructions on completing the LTA Affiliation process, including
updating your Volunteers and Officials details (chapter 6). Once you have completed the LTA
Affiliation process you can use the guidance in chapters 7-11 to learn how to promote your Place
to Play, read messages from British Tennis and manage your club’s British Tennis Members
online.
IMPORTANT – If you, as the ‘Club Main Contact’, are not comfortable completing the online LTA
Affiliation process you can contact us and we can very quickly give another member of your Place
to Play access to the system. Once one person starts using the system they can easily issue
access rights to other members of your Place to Play. Only people who are granted access to the
system by you or the LTA (once instructed by you) can access details of your Place to Play.
If you are not able to use the online system yourself and need to give a different person at your
Place to Play access, please contact your local County Office.

members are in the Volunteers and Officials section – see chapter 6

If you are a current British Tennis Member and have already set up a username and password
please follow ‘User Journey 1’ below.

6. After clicking LOGIN you will land on your BTM ‘Members’ area where your Place to Play
will be displayed under the PLACES TO PLAY tab [1].
7. The first time you log in and click on your Place to Play’s name [2] you will only see the
LTA Affiliation process screens (chapter 6).
8. Complete the LTA Affiliation process for your Place to Play – chapter 6.
9. Once you have completed the LTA Affiliation process for your Place to Play you can move
on to chapter 7 to start to promote your Place to Play online.

3. On the Website Login Setup page enter all of the required details. The only optional field is
highlighted below [2]. Click next to continue.

4. Check the details we hold for you are correct and click next.
7. Now follow User Journey 1 to log in and start managing your Place to Play.

5. Choose the County where your club is located and then select your club. BTM is free for all
members of clubs that are LTA Affiliated.
6. Enter a username and password and then re-enter the password to confirm. Click next.

8. Read the Data Protection Information and Terms & Conditions and as a minimum agree to
the Terms & Conditions. Click next.

10. You will be sent a validation email with a link to click on to activate your account. Click on
the link and when prompted please enter your email address and the validation code
provided for you on the email.
11. Now follow User Journey 1 to log in and start managing your Place to Play.

Before you start to complete the LTA Affiliation process please read chapters 1-5 of this guide.
3. Click on the name of your Place to Play that you want to complete the online LTA Affiliation
process for and you will be taken to a page like the one below.

Courts
1. Validate the courts that are pre-populated to ensure the number and type of courts that we hold
for you are accurate.
2. Enter any new courts by clicking in the appropriate box and entering the number of courts.

Subscriptions
1. It is very important that the figures you enter in this section are accurate as your LTA Affiliation
invoice will be based on the numbers you enter in the ‘Tennis Members’ table. The ‘Totals’
columns will calculate for you when you click ‘Update’.
2. To help us provide Places to Play with average statistics on ‘Annual’ and ‘Joining’ fees please
complete these columns if applicable.
3. The ‘Additional Players in the Coaching Programme (non-members)’ table helps us to
track the total number of people playing tennis at Places to Play in the UK so again please
enter your numbers as accurately as possible. The number of ‘Additional Players in the
Coaching Programme (non-members)’ does not get included in your LTA Affiliation invoice.
The totals columns will calculate for you when you click ‘Update’.
4. Once you have completed both tables and all the other required information please click
‘Update’ to move to the ‘Confirm Affiliation’ page.

Club main This person will be the person the LTA communicates most regularly with.
contact They will receive the club newsletter, information on competitions and will be
the first point of contact for affiliation benefits and Wimbledon tickets. This
person should be in a position to pass information onto their club members
and committee. You must let us know who your club main contact is to
ensure we can make regular contact with your club.
Chairman The chairperson of a club takes responsibility for the day to day management
of the club, making decisions on behalf of the committee once club members
have been consulted.
Treasurer It is important that all tennis clubs keep accurate financial records. The
treasurer is the main person who takes on the responsibility for this.
Secretary This will be the clubs main administrator and could also be the club main
contact. The secretary carries out or delegates all of the administrative duties
that enable the club and its members to function effectively.
Junior contact This person will receive information on junior competitions and leagues and
top tips for developing your clubs junior section. The junior contact should be
able to pass this information onto junior members and their parents.
Mini tennis This person will receive all the information relating to mini tennis. This will
contact support your club to run a great programme for under 10s.
Child This person leads on child protection issues within the club and should be
protection appropriately trained.

Tennis This is the person who is coordinating Tennis Clubmark on behalf of the club.
Clubmark lead
Competition This is the person or people who organise competition at the club. They focus
organiser on running club competitions for their junior and senior members. You may
have more than one competition organiser at your club.
Match This person is the person who should receive all information relating to LTA
secretary national and local competitions and who is responsible for organising the
clubs match calendar and fixtures.
Veterans There are lots of great tennis opportunities for over 35’s run by Vets Tennis
contact GB. This person will receive regular information about the opportunities
available to vets.

Volunteer It is a good idea to identify a person at your club who can support the
coordinator recruitment of new volunteers and reward and recognise existing volunteers.

Committee Generic role to cover all other committee members that don’t fall into one of

2. Add a role to a member of your Place to Play who does not already have one. You cannot
add a role to a contact unless they are a British Tennis Member.
a. To add a new ‘Key Contact’ and allocate them a role search for the British Tennis Member
using the ‘Add a new key contact’ search engine at the bottom of the ‘Volunteers and
Officials’ page. Enter the ‘Members name’ [1] and click ‘Search’ [2].
b. The following screen will appear showing the member you have searched for if they are a
British Tennis Member related to your Place to Play.
c. Follow the steps outlined under ‘Updating your current ‘Key Contacts’ tennis roles’
above to add the role.
d. If the person does not appear try searching again. If you still cannot find the person this
may be because they are not a British Tennis Member related to your Place to Play. Use
the ‘Invite new Member’ [2] tool to invite them to join British Tennis Membership – see
chapter 9.

3. Give another member access to the logged in Places to Play Self Service area on
www.lta.org.uk.
It is quick and easy to give different people at your Place to Play access to the self service system.
By giving other people access to the system you can enable other members of your Place to Play
to update various sections. For example you may have a keen photographer who would like to
change the images once in a while?
Follow the steps below to give another person access to your Places to Play Self Service area on
www.lta.org.uk.
If the person already has a role allocated to them i.e. one of the roles that you see when you
click ‘Update’, they will be shown on the ‘Volunteers and Officials’ page and you can simply tick
the ‘Web Admin’ box [1] next to their name to give them access to the system.
It can take up to an hour for the changes to be applied so please ask the person to check after
an hour if they do not see the Places to Play tab straight away when they log in.
If the person does not have a current role at your Place to Play you will need to give them a role
to make them appear on your ‘Volunteers and Officials’ page before being able to tick the ‘Web
Admin’ box. Follow the guidance above in section 2 of this chapter to add a role to a member of
your Place to Play. Remember, the person must be a current BTM for you to give them a role. If
they do not have a specific role at your Place to Play use the generic role of ‘Administrator’.

To help LTA Affiliated Places to Play stand out from the crowd we have provided you with a
personalised area on the LTA website. Much of the content is generated automatically from the
information you provide during the online LTA Affiliation process. There are, however, a number of
sections where you can add your own information to sell the experience at your Place to Play to
potential members and visitors.
IMPORTANT - To complete any of the actions detailed in this section you will need to be logged in
on the LTA website and have clicked on the appropriate Place to Play you are looking to update.
You should also have completed the LTA Affiliation process for the current year – see chapter 6.
IMPORTANT – To give all Places to Play a chance to update their profile pages we are delaying
putting the pages you update in this chapter LIVE on the LTA website until 8th February 2010. This
chapter is written from the perspective that this date is in the past. You can view the pages you
create at anytime by using the ‘Switch to public site’ [1] button. Once on the public site use the
‘Switch to admin site’ [2] button to return to the admin area to continue updating your profile pages.

Overview
1. Enter a short description of your Place to Play (500 character limit)
a) Click on the ‘Overview’ tab on the left hand side of your screen and wait for the page to
load.
b) Enter a short description of your Place to Play (500 characters max) in the description text
box [1] provided and click ‘Update’ to save. Please ensure you check your text carefully
before clicking ‘Update’. If you do make a mistake simply change the text and click ‘Update’
again. Your changes will be reflected on the LIVE website.
c) The text you enter will appear immediately, LIVE on the LTA website and will be the first
content visitors will read when viewing your Place to Play ‘Overview’ page online [2].

2. Display what additional facilities are available (courts are done automatically)
a. On the ‘Overview’ page scroll down to the ‘Additional Facilities’ section [1].
b. Follow the instructions and tick all of the additional facilities that are available at your Place
to Play. Click ‘Update’ to save.
c. All of the facilities you tick in this section will be represented with a green tick under
‘Additional facilities’ on your Place to Play ‘Overview’ page online [2]. Anything you don’t
tick will be represented with a red cross.

What’s on offer?

a) Click on the ‘What’s on offer’ tab on the left hand side of your screen and wait for the page
to load.

a) On the ‘What’s on Offer’ page scroll down to the ‘Activities’ section [1].
b) Follow the instructions and tick all of the ‘Activities’ that are available at your Place to Play.
Click ‘Update’ to save.
c) All of the ‘Activities’ you tick in this section will be represented with a generic image and
description on your Place to Play ‘What’s on offer’ page online. You cannot edit the image
or description used for these ‘Activities’.

How to Join?
1. Briefly describe your joining process (500 character limit)
a) Click on the ‘How to Join’ tab on the left hand side of your screen and wait for the page to
load.
b) Enter a short description of how people can join your Place to Play (500 characters max) in
the description text box [1] provided and click ‘Update’ to save. Please ensure you check
your text carefully before clicking ‘Update’. If you do make a mistake simply change the text
and click ‘Update’ again. Your changes will be reflected on the LIVE website.
c) Any text you enter will appear immediately, LIVE on the LTA website on your Place to Play
‘How to Join’ page [2].

2. Upload a membership information pack (Word document or PDF) for potential members
to download
a) Click on the ‘How to Join’ tab on the left hand side of your screen and wait for the page to
load.
b) Follow the instructions to browse to your document.
c) Once you have uploaded the document click ‘Update’ to save.
d) If successful a message will be displayed [2]. You will also be notified if the document does
not load and if this happens please try again. Remember, the system will only accept
Microsoft Word or PDF documents.
e) Your document will be renamed [3] to a standard name to ensure consistency across the
website.
f) You can remove your document at anytime by clicking the remove button [4].

g) The document you upload will appear immediately, LIVE on the LTA website on your Place
to Play ‘How to Join’ page [5]. The public will be able to download it directly from this page.

To help us keep you up to date with all the latest information for Places to Play a messages
section is provided for you.
You can view new messages by clicking on the ‘Home’ tab on the left hand side of your screen.
The number of new messages you have waiting to be read is displayed [1].
The date the message was received is also displayed [2].
Click through to the next available message by clicking the ‘Next’ button [3].
Archive messages using the ‘Thanks, I’ve read this’ link [4].
Click the ‘View all’ tab to go to the Message archive page [5].
You can navigate directly to the Messages archive page by clicking on the ‘Messages’ tab on
the left hand side of the screen. The messages archive stores all messages sent to you by
British Tennis.

This chapter of the guide explains how you can manage your Place to Play’s ‘British Tennis
Members’. It is important to recognise that the people you will view on this page are British Tennis
Members that have stated they are a member of your Place to Play when signing up for British
Tennis Membership.
There may be many more members of your Place to Play who are not British Tennis Members
and these people will not appear on this list. There may also be people on this list who are no
longer or have never been a member of your Place to Play. This may be because they have
accidentally chosen your Place to Play when signing up for British Tennis Membership.
Right, lets show you how to manage your British Tennis Members…
a. You can search for a British Tennis Member who is attached to your Place to Play by
entering their name in the search bar and clicking ‘Search’ [1].
b. You can sort your entire list of British Tennis Members alphabetically by clicking on the
First Name [2] or Last Name [3] column headers.
c. Download your entire list of British Tennis Members by clicking the ‘Download to CSV’ link
[4] – CSV files can be saved as Excel.

d. To remove the relationship between a British Tennis Member and your Place to Play simply
find the British Tennis Member who is not a member of your Place to Play and click on the
‘Remove’ button [5]. You will be asked to confirm that you want to remove the relationship
between your Place to Play and the selected British Tennis Member. Please be very careful
when removing British Tennis Members to ensure you are not removing someone who is
entitled to a free British Tennis Membership via your Place to Play.
e. Point [6] on the screen shot above relates to issuing a British Tennis Member at your Place
to Play a role e.g. Chairman. How to do this was covered earlier in this guide in chapter 6.
b. The following pop up box will appear asking you to add your name [1] and the email
address(es) of the members you wish to invite [2]. Please read the instructions below
shown on the pop up box. Once you have input all the information, click the ‘Submit’ button.
An email will then be sent to the member(s) whose email address(es) you entered inviting
them to join British Tennis Membership for free.

To enable Tennis People to make more informed decisions about which Place to Play to join or
play at we have added a reviews section to the LTA website. Only logged in British Tennis
Members can submit a review and their name will be displayed next to the review. Please
encourage your members to review your Place to Play online to show potential members how
great your Place to Play is!
Reviews will mostly be positive but in the case of a non factual review you can either respond to
the review yourself or report the review and we will check it to assess whether it should be
removed.
Within this chapter we will show you how to check out the latest reviews, submit a review, respond
to a review and report a review.

2. Submit a review
a. You or any of your members can submit a review for your Place to Play on the public area
of the LTA website, however you must be a British Tennis Member and be logged in at the
time – see chapter 5.
b. To submit a review simply search for your Place to Play on the LTA website using one of
the search engines. In this example we have used the ‘Quick Search’ tool on the LTA
Homepage.
c. Click on ‘Club’ on the ‘Quick Search’ bar and enter the ‘Name’ [1] or ‘Postcode’ [2] of your
Place to Play and then click ‘Search’ [3].
d. You will arrive at a search results page and you should click on the name of the Place to
Play you wish to submit a review for.

Reviews are always a personal opinion and one side of any story. Most of the time reviews will be
positive and will help to sell your Place to Play to potential new members. There may, however, be
occasions when a negative or inaccurate review is submitted about your Place to Play.
The purpose of the reviews section is to provide an honest and open forum for British Tennis
Members to tell the British Tennis Community about their experience.
In the case of a review that you believe is inaccurate or unfair you can report the review and a
member of the British Tennis Services Team will assess the content and will remove the review if
appropriate.
If the review is accurate but highlights something that you don’t feel is the norm at your Place to
Play the best thing to do is to ‘Respond’ to the review with a positive message. By responding
instead of reporting you are showing the tennis community that your Place to play is open and
honest.
Below we show you how to firstly ‘Respond’ to a review and secondly, as a last resort, ‘Report’ a
review. Remember only British Tennis Members can submit a review so we always know who the
reviewer is. This should keep inappropriate content to a minimum. Anyone who visits the LTA site
can ‘Report’ a review.

f) Your response will be displayed immediately on the LIVE LTA website next to the
relevant review [5].

A great way to do this is to ask around your members to see if anyone is interested in computers
and the internet. A good bet is that one of your junior members will be studying a course relating to
the simple tasks involved in Places to Play Self Service. Managing your area on www.lta.org.uk
could be a good little project for them. Alternatively you can manage the area yourself or break
down the tasks and spread them around your committee members.
As you will have read in the guide the tasks required to keep your Place to Play area up to date are
very quick and easy to do. By doing a little bit every now and again you will be able to provide an
excellent promotional space for your Place to Play on the LTA website.
Below we have broken down the areas that need regular updating and those that you need do less
often.
