Project Brief :

The vending machine is one of the technologies used by most Filipinos

today for their daily transactions like getting a ticket for the train, buying their

favorite chocolate bar and beverage in the vending machine. In this case the

developers come up with the idea to innovate a project that will suit in this

kind of device. The developers decided to create a project “Vending Machine

Coin Tuition Kiosk for Quezon City Polytechnic University Students”.

The Vending Machine Coin Tuition Kiosk for Quezon City Polytechnic

University Students was conceptualized and developed by the Team Azor

Ahai. The project is hardware based where the students insert their coins to the

coin slot and after the system accept the coins the amount of coins that they

insert will automatically deducted to their current tuition fee.

The developers review some literature, studies and systems that are

related to this project from foreign and local. In these reviews, the developers

gain some ideas to be added for this project and some of it gives

encouragement for the developers to pursue the project.

The technical specifications recommended by the developers are

mentioned in the chapter three of this study from software to hardware

specifications that are available while developing the project. And the technical

specifications to the implementation of the project are mentioned in this

chapter. The technologies used by the developers are hardware based like coin

acceptor and printer from inserting of the coins to the printing of the payment

receipt of the students.

The methodologies used in this project are in the chapter four where the

developers elaborate what are the tools they used and why they used it. The

developers used the System Development Life Cycle as a guide for developing

the project from system requirements specification to the system maintenance

phase. The black box testing is used as the testing procedures of the project.

The business applications of the project are discussed in the chapter five

by the developers. The implementation procedures start from requesting an

approval from the school Vice President’s, to the Department Heads. The

project functionalities explain what are the used of each buttons and text fields.

The recommendations given to this project are mentioned in this chapter and

the advantages of this if the project is implemented.

CHAPTER 1

CAPSTONE PROJECT BACKGROUND

Introduction

Time, effort and money are such essential things that have to be used

very efficiently to have a satisfactory outcome whatever work is to be done.

Modern day technology makes life simple and easy in many ways. Coin-

operated systems and vending machines are just a mere example of one of the

latest technological trends that allows many people to attain comfortable

lifestyle. We usually see them at the arcades, dispensing snacks or beverages at

the malls, offices, schools or anywhere else in public places. It is also very

helpful whenever students go to computer shops because they will only pay for

the exact time that they require.

School is an important institution in our society. This is where the

students acquire knowledge, a foundation of the intellectual personality. The

proponents therefore decided to make a study about the possible problems

and difficulties of Quezon City Polytechnic University.

The developers can say that the main problem of college students aside

from academic aspects is to pay their tuition fees at the end of the semester.

Some colleges and universities do not even let their students take their

semestral examinations if they have not paid their tuition fee. In relation to

that, one of the possible solutions that universities and colleges do is to require

their students to pay their fees on an installment basis.

On the other hand, what Quezon City Polytechnic University does is to

let the students pay their fees whenever they have the money to pay for it. That

is a great consideration for both the students and parents. However, as a result,

the students only settle their balances at the same time they would enroll for

the next semester, which is usually the cause of the long queue of payment in

the Accounting Department.

The primary concern of the study is to help the students to ease their

burden in paying their tuition fees. After carefully studying and analyzing the

data gathered, the proponents come up with the idea of having a Coin-

operated system that enables the students to lessen the amount of their tuition

fees whenever they have spare coins left instead of buying unnecessary things.

That is why the proponents decided to propose this study entitled Vending

Machine Coin Tuition Kiosk for Quezon City Polytechnic University.

Project Background and Context

Vending Machine Coin Tuition Kiosk is a self-service PC based transaction

configured with coin validator and can display and print-out a transaction of

the student that is configured to monitor the credit and debit balance of tuition

of a student of Quezon City Polytechnic University. V-MaCT Kiosk was built

during the sharing of ideas of the developers and thought about a system that

is really helpful in our school especially with our fellow students. After the

analyzing, the developers thought about a system which can help a student to

save money for their tuition fees and to learn how they will value their spare

coins that they have. The awareness of the proposed system is to encourage

every student to save money and to remind them that saving money is

important.

Project Purpose and Description

Main Objective

The designed project aims to create V-MaCT Kiosk for Quezon City

Polytechnic University students. The design project will help to improve the

paying tuition fee process in Quezon City Polytechnic University and gives

advantages to students who are registered to this project and the accounting

staffs.

Specific Objectives

1. To develop a system that helps the students to pay off their tuition fees

by using a Coin-operated System

2. To develop a system that allows the students to monitor their current

balance for their tuition fees using the balance module of the system.

3. To develop a LAN-based system that will help the accounting office to

ease their burden of a long queue of students who are paying tuition

fees.

Project Description

V-MaCT Kiosk for QCPU Students is a coin operated machine that will be

utilized by the QCPU Students for paying tuition fees. The Vending Machine

provides receipt for the students who paid their tuition fees and can maximize

and help manage the conduction of procedure that QCPU Accounting office do

in checking and monitoring their data, while QCPU Students will be aware in

handling their allowances.

Scope and Delimitation of the Project

Scope

1. The designed project covers the information of each student who has an

account in the system.

2. The designed project can generate report to monitor the transactions and

billing processes done.

3. The designed project is a prototype and is not readily functioning as a

commercial product.

4. The designed project can only be operated by the enrolled QCPU

students of the current school year.

5. The designed project can only accept one peso (1) coins as a minimum

amount, five pesos (5) coins, and ten (10) pesos coins as the maximum

amount.

Delimitation

1. The designed project will not cover the other curricular fees such as

billing for miscellaneous fees, uniforms, ID’s, and others.

2. The system cannot accept paper bills and cannot give out change for the

bills.

3. The system will not accept personal cards such as credit cards, PayPal,

ATM and others.

4. Once you inserted a coin it will not be refundable.

5. The designed project can only operate from 8:00am to 2:45pm, but when

the clock strikes at 2:46pm onwards the operation of system will still

continue but the student cannot conduct any transaction.

Definition of Terms

Below are some terms that were used in the study. The terms were

defined according to its technical and operational definition. This section will

guide the developers in order to have a better understanding about the subject

being studied.

Accounting Department - where the designed project was implemented; One

of the user of the project; The department that collects the student’s tuition fees,

registration fees and other miscellaneous fees inside the Quezon City

Polytechnic University.

Coin Acceptor – the device used for the designed project, which is activated by

insertion of coin(s) into a slot. A coin-acceptor machine accepts one (1), five (5)

and ten (10) peso (multi-coin acceptor).

Data - information in raw or unorganized forms (such as alphabets, numbers,

or symbols) that refer to, or represent conditions, ideas, or objects .

Database - is a collection of information organized so that it can be easily be

accessed, managed and updated.

Data Flow Diagram - A two-dimensional diagram that explains how data is

processed and transferred in a system. The graphical depiction identifies each

source of data and how it interacts with other data sources to reach a common

output.

Entities - represent people, places, items, events, or concepts.

Entity Relationship Diagram - An entity-relationship diagram, or ERD, is a

chart that visually represents the relationship between database entities. ERDs

model an organization’s data storage requirements with three main

components: entities, attributes, and relationships.

Information - processed data that has additional meaning within its context.

Information System- is a system composed of people, computers and other

devices.

Kiosk - is a tool that consists of one or more parts, and use of energy to meet a

particular goal and just a coin for it to operate itself.

Ink jet Printer- it is a type of printer that was used by the developers

Network Layout- describes the arrangement of systems on a computer

network. It defines how the computers, or nodes, within the network are

arranged and connected to each other

Networking - practice of interfacing two or more computing devices with each

other for the purpose of sharing data.

Object Oriented Programming- is a programming language model organized

around objects rather than actions and data rather than logic.

Program Flow Chart- A diagram which uses a set of standard symbols to

represent the sequence of operations of a computer program. Such a chart may

show, for instance, the steps of a subroutine.

Receipts - is a hard copy of financial transactions used by accounting purposes.

SQL - Structures Query Language, is a special-purpose programming

language designed for managing data held in a relational management system.

Super Admin - the module that handles the global settings and

accounting staffs registered account.

Student- the one who used the designed project

System - an array of components that work together to achieve a common goal.

System Development Life Cycle - is a conceptual model used in project

management that describes the stages involved in an information system

development project, from an initial feasibility study through maintenance of

the completed application.

Technology - is the collection of techniques, skills, methods and processes

used in the production of goods and services or in the accomplishment of

objectives such as scientific investigation.

Vending Machine - this is a machine that used by the developers to operate a

coin-operated system.

Visual Basic.net- is a programming language that the developers used as a

front-end of the designed project.

Visual Studio 2010 - is an integrated development environment (IDE) from

Microsoft. It is used to develop computer programs for Microsoft Windows, as

well as web sites, web applications and web services.

XAMPP - open source software capable of serving as the database of the

developed project.
