This document is a formal proposal for Responsive static web site to development for Brain Mapping Forum India,
Pune.
This proposal is based on the understanding the requirement discussed in the meeting with you and Mr. Datta Joshi at
your office at Pune. In the subsequent sections of this document, proposed solution architecture, critical success factors
and change management process are explained.

To achieve the requirements specified in the section 2 of this document, the following is proposed:

▪ Development of information architecture


This will ensure that the websites content is organised as per expectations. This will be done by structuring
content to give direct access to most sought/after/important information through the page itself. And also be
ensuring that a visitor is able to reach any part of sight within 3 clicks.

▪ Development of user interface design


This will ensure professional look and feel with responsive Website. This will be done by working together with
Your Team in ensuring that all of its expectations related to the overall aesthetics, information presentation
structure and content organization structure are achieved. While preparing designs we will also make sure that
they are developed as per the relevant guidelines.

▪ Development of 2 design themes based on approved UI design


This will ensure that the web site has fresh look & feel on continuous basis. One design themes based on the
approved UI design will be developed to facilitate this.

▪ Within Website Search Module


a. This module will allow searching for relevant information within the Website.
b. Site search will work based on forms and will search the specific table driven values.

▪ Website Module

Home Page
This section is for all the users visiting the website. This will be the main landing page of the website which will
contain links to all other sections and will be designed most attractively. It would be developed with some slider
element highlighting variable images provided by the User.

Newsletter Module
This section will provide the user with information on the latest newsletter published by the Web site team at
regular intervals. A provision for auto archiving will also be made so that once the new newsletter is uploaded,
the older one moves to the archive section for lateral viewing. Collecting email addresses of potential visitors.

Latest News / Announcements


This section will help the user to get the information on all the News/announcements made by the organization
at regular intervals. As this will be the important section of the website we plan to use as a box ticker on the
home page itself. Administrator will be provided with the option of add/modify/delete the content of this section
at regular intervals. A provision for uploading files in various formats will also be given to the Administrator. This
module will also have the provision of moving the old announcements to the archive section of the website for
lateral viewing.

Photo Gallery
This will also be database driven module in with through CMS administrator or the assigned officials will be able
to add / modify/ delete photographs / videos. Administrator will also be provided with the option of uploading two
photographs, one of the thumbnails and another of its big size with caption. This facility will provide the user
with option of seeing only the photographs of his choice and he can do so by seeing the thumbnail of the

Online Registration - Audience can register self on website. User will get mail notification for the event.

Social Media Integration


This section will provide the user to check the pages of the social media website related to TSA. User can go
directly to Groups social pages from the website itself.

Testimonials
As this is an important section of the website we plan to use at a prominent place on the home page itself. This
section will be developed using scripts, the content of this section at regular intervals. A provision for uploading
the photographs of the user, comments, name etc. will be given under this section.

Feedback management
This facility will help the user to give there feedback or suggestions about any topic related to the Group.

▪ Six-month technical support


We will provide Six-month technical support via email; phone and remote login to address analyze and fix any
technical glitches within the existing features. The scope of technical support includes rectification of errors
within the already developed solution. The scope of technical support doesn’t include any content
management, addition or removal of feature(s) from the developed solution and/or transferring solution from
one server to another server. For addition of new functionality / pages separate proposal would be submitted
after understanding the requirement.

• Technology

▪ Development Environment

a. Front-end of web application will be developed using Adobe Photoshop, Corel Draw, and Adobe
Dreamweaver.

b. The backend engine will be developed using .NET and MS-SQL Database Server. (If Applicable)

c. During development the web site will be hosted on Windows server with IIS Web server and MS-SQL
Database server.

3. Prerequisites for the Project

• Shall provide final requirements list along with work order.

• Should provide the approval of Design Layout within a week.

4. Assumptions & Dependencies

a. Accessibility of Documents: Converting existing documents for e.g. .doc, .xls, .pdf etc files into accessible
documents in not covered within our proposed solution. ABL team is advised to generate all new .pdf
documents using Adobe Acrobat 9.0
b. Document File Format: will only support XLS, DOC, DOCX, PDF format only.
c. The application would be launched only after the receipt of completion certificate from user.

6. Project Management

1. Web Application Development Life Cycle (WDLC)

We will follow a phase wise approach. The figure below represents the graphical representation of the project
phases that would be followed in website development. Web Application development is divided into seven
Phases:

A change management process is a process used to control and manage change requests within an existing /
under development project. Change Management process is needed for undertaking new requirements specified by
the user during / after the development of a project.
The purpose of change management is to ensure there is clear communication between the client and the service
provider about the requested variation from the accepted specifications, the impact on the time line, and the
projected cost of those changes. An added bonus to this process is the validation of authorization for the change
requests.
Following are the phases through which change management will occur:

Phase 1: Submitting Change Request


In this phase user fills a change request form to list down the changes needed with as much details as possible.
Change Request form describes the requested changes along with the reasons for these changes.

Phase 2: Impact Analysis


In this phase, detailed impact analysis is done to decide the feasibility of the change requests and to evaluate the
overall impact of requested changes. If it is possible to undertake these changes then detailed time and effort
estimation is done for calculating the additional efforts required.

Phase 3: User Approval


In this phase a new PI (Performa Invoice) is sent to the Website team along with details of change requests that will
be accommodated for his review and approval. Further work is started only after received Work Order for the
additional work.

Phase 4: Implementing Changes


In this phase the overall application is modified to accommodate the requested changes. The overall application is
reapproved by the Website team to ensure correctness before implementing on the live environment.

7. Roles and Responsibilities

▪ Team
a. Designate one or two particular person for all project related activities.
b. Ensure availability of all information related to the project on timely basis.
c. Speedy feedback on all deliverables, queries from Innovative Solution team officials.
d. Approval in each and every stage is necessary because work for next stage would only start after
approval of previous stage.
e. Examine and approve the sample layout within one week.
f. Controlling the scope creep (Frequent and uncontrolled changes in the scope or requirements of a
project).
g. Well established and effective communication channels from team.

▪ InnovativeSolutions
a. Undertaking development as per the defined schedule.
b. Keeping on the progress through appropriate status reports.
c. Designating single point of contact for all communication needs.
d. Assistance and training to team on the overall solution.
e. Providing technical support for six month for any unforeseen bugs/issues.

8. Payment Terms Schedule and Cost

1. Scope of this Proposal

• Update website - Six Months from the date of Go Live on Your URL

All the activities stated here are for Six Months, will be commence from the date of go live. If after six months
would like to maintain same website and wanted to continue for website updation will be charged 22% of the
proposal value for a year.
