INTRODUCTION

Background of the Study

The first world service club was founded on 1905 when lawyer Paul Harris and

three friends met in a small-town Chicago. These men wanted to rekindle in the turn of

the century city the spirit of friendliness they had known in their hometowns. Word of the

club "Rotary" to describe the practice of meeting in rotation at the members' various

places of business.

Originally formed for fellowship, the first rotary club quickly evolved to use the

talents and resources of its members to serve the community. By the end of 1905, the

Rotary Club had 30 members and within a few years other groups formed service clubs

based on the Rotary model. Rotary continues to grow internationally. after the collapse of

Iron Curtain, Rotary clubs which had been disbanded during World War II were re-

established in central and eastern Europe. in 1990, Rotary Clubs were formed in Russia

for the first time, and other former Soviet republics soon followed.

Today, Rotary International encourages its clubs to focus on a broad spectrum of

service activities such as hunger, the environment, violence and prevention, illiteracy,

drug abuse prevention, polio eradication, youth, the elderly, and AIDS awareness and

education.

Preliminary steps were first made to organize the club in the Philippines in 1919

through the interest and agreement of Lambert. In June 1919, the Charter No. 478
authorized the Rotary Club of Manila to operate as a formal organization under Rotary

International. The Rotary Club of Manila was both the first rotary in the Philippines and

the first in Asia under the direct supervision the International Association of Rotary. the

Club went on to organize its daughter clubs, the Rotary Club of Cebu in 1932 and the

Rotary Club of Iloilo in 1933. Rotary Club of Bacolod and Baguio were also established

later on.

The Rotary Club of the Philippines has been a source of support to other

community service projects. It holds medical and surgical services in the indigenous

communities to serve the needy and also offers scholarship grants to deserving students.

There are now 800 Rotary Clubs in the Philippines, and their members are among the

most active when it comes to serving the Filipino community and helping those in need.

Since the start of Rotary Clubs in the Philippines have helped a lot of people and

communities through projects and services, it had been troublesome for the organization

and its members to have an actual medium of information sharing since the pioneering

club doesn't really have an absolute system which can be applied through clubs.

Informing and notifying members is a lot of job to do since the club have to accommodate

all the members in order to update these people of the recent activities, projects, services

or contributions.

In one way or another in can be solved through series of applications which is why

the researchers introduced the management system. Management system encompasses

activities such as joint goal setting, continuous progress review and frequent
communication, feedback and coaching for improved performance, implementation of

employee development programs and rewarding achievements.

Management systems can focus on the performance of an organization, a

department, an employee or even the processes to build a product or service, as well as

many other areas. It includes activities that ensure that goals are consistently being met

in an effective and efficient manner. This is most used often in the work places where

people interact.

Statement of the Problem

This study will support and manage information dissemination in Dadiangas Rotary

Club. Also, the information technology students will be able to develop a system program

software of informing members and providing fast and accurate computations regarding

contributions and payments of the organizations in response to the problems, operations,

and transactions are enumerated below:

 General Problem

1. One by one informing (text/call) the members. The dissemination of

information is made one by one which is very time consuming and assuming

not all members can actually, received or read the information immediately.

2. Lack of Information. Updates and reports with respect to

organization activities and contributions are not well disseminated.


3. Hard time looking for data. Difficulty on locating organization or

members data when asked or needed.

 Specific Problem

1. Inaccurate computations. Contribution and payments are

computated by hand in most cases, dealing with a lot of members,

can be mis looked or miscomputed.

2. Members can't easily access updates. Lack of system can be a

hassle where members don’t have site to look up to.

Objectives of the Study

 General Objective

1. This study aims to develop a system generated information dissemination

from the organization to its members of the recent updates or changes in activities,

services, or contributions.

2. This study aims to provide the necessary data, figures, and details of the

organization's operations and to have an easy and fast access but accurate data for the

use of the members and of the organization.


 Specific Objective

1. This study also aims to generate calculations and computations just by

encoding figures into the system so payments and contributions are system generated

where a hard and soft copy can be stored and can be used as reference when necessary.

2. This study also aims to come up with a medium of display or location or

home page where members can access the medium with electronics.

Scope

The scope of the study encompasses how will the system assist the organization

in informing the members with recent, updates, and incoming activities, working with a

medium of display where members and the organization itself can have easy and fast

access of data and information. And lastly, coming up with a system generated

computation wherein accurate calculation of payments and contributions that can be done

ina small amount of time using less personnel.

Limitation

This study is limited on how the organization can make a difference by using the

Rotary Club Management System, in which, they can easily inform members about

projects, task, activities, and contributions. The study focuses on applying the

management system on Metro Dadiangas Rotary Club; how the system works, who are

to be informed, and what are the pro and cons of using the system.
Significance of the Study

The significance of this study is to improve the interaction and information

dissemination to rotary members without the hassle of individually accommodating

member's concerns and queries through a series of question or by coming to the place

more often just to be updated for the activities set by the administrators of the

organization. It is to provide effective and efficient way of communicating from admins to

its members without delay but also fastest way to inform members of the activities set by

the organization. The result of this study can serve as a springboard to another innovative

system that can be used as a basis for other organizations to provide easy and accurate

information that may serve a reference for future purposes.

Definition of Terms

 System

- a set of things working together as parts of a mechanism or an

interconnecting network.

 Management system

- is a set of policies, processes and procedures used by an organization to

ensure that it can fulfill the tasks required to achieve its objectives.

 Dissemination

- the action of fact of spreading something, especially information, widely.
