ABSTRACT

This study is conducted to reach out to the restaurant-bar business afore mentioned by

helping to improve efficiency and reliability in terms of inventory and payroll processing. The said

business is always having a problem with regards to the inventory; specifically, in tracking the

supplies and money. This research will not only benefit the sole owners of the said business but

also the other staff as they may be able to see the breakdown of the payroll given with the help of

the system to be accessed by the owner. The desktop application system proposed will also track

the number of sales reached for each day and the amount of stocks left for the inventory. Our

motive for this research is to help the company in developing and sustaining fully functional

system for inventory and payroll tracking. Aside from that, this research will also help in giving

an improved system of placing and monitoring orders especially for the PWDs, pregnant and senior

citizens. The system to be developed will benefit both the owner and the employees as the system

will be connected to the payroll and biometrics. The system to be develop seeks to control the costs

and boost profitability with superior in terms of inventory management, simplify the work flow of

the kitchen management system, access to real-time data for the restaurant reports, configure of

cash management with security controls, and apply table side ordering and staff enablement with

POS.
CHAPTER 1

The Background and Its Setting

INTRODUCTION

Technology plays a huge part in the daily lives of almost every worldwide. In connection,

the business industry in one of those which incorporates technology on a daily basis. This is

through the use of Point Of Sale system, biometric system, auditing, inventory, and the like.

Businesses, either big or small, still equip technology for enhanced productivity and adhere to the

demands of the clients, customers, partners, and for other transactions.

A point of sale system is a combination of software and hardware that allows business

owners to monitor transactions and simplify codes for business operations. (Grullon, 2006). It

records and analyze sales data to keep the business accounts on track, manage the quantity of

stocks to determine when and how often to reorder products. It tracks costs, so you can see your

profit margin on each menu item, helping you set your menu prices. Low-inventory alerts notify

you when your supplies drop below the3 threshold you set, helping you avoid running out of

ingredients and other supplies, provides source of information of the employee such as contact

information, salary information, and work schedule. Making the system more accurate and

problem-free. A database is often used to collect the information required and records may be sent

out to those needing it, such as management, and the owner.


Objectives of the Study

Our motive for this research is to help the company in developing and sustaining fully

functional system for inventory and payroll tracking. Aside from that, this research will also help

in giving an improved system of placing and monitoring orders especially for the PWDs, pregnant

Significance of the study

Scope and Limitations

The proposed point of sale and inventory system is intended only for the use of Marian’s

Pares Bulalo atbp., restaurant. Specifically, the system provides an automated price list and allows

creation and printing of receipts based upon transactions of clients. The system also enables

creation and automatic updates of inventory whenever new entries or deletion of entries are made.

Only the management has access on the database for security reasons. User accounts will

be created to handle the daily transactions of the business, like payments and inventory. Only those

with such accounts can be able to access the system.

It can only show information about each product, it is not available for online transactions,

major credit card transactions is not available on this system only cash payment is allowed.
Chapter II

REVIEW OF RELATED LITERATURE/SYSTEMS

This chapter showcases previous studies and publications relevant to the project and gives light

as to what motivated the researcher in pursuing the specific field of study.

LOCAL LITERATURE

Computer Sales and Inventory System for supplies of Cainta Catholic College. The aimed

of this study was to improve a Computerized Sales and Inventory System for School Supplies of

Cainta Catholic College that would remove the complications faced by the staff of school supplies

with traditional system.

The Computerized Inventory System was proven and tested to be reliable in searching for

the availability of files. After the researchers gone through the study about the sales and inventory

system, here are some conclusions that are drawn.

The researchers concluded that the Cainta Catholic College School Supplies will have a

Speed, Accuracy, User-Friendliness and Security sales and inventory system.

Through the Computerized Sales and Inventory System for School Supplies of Cainta

Catholic College, the manual reports will be removed since the system will have a database of the

files.

Sales and Inventory is a confidential matter in school supplies records and so the system

provides login security that will trap authorized persons in opening these confidential files.
Online Sales and Inventory System for De Oro Therapeutic Center (Thesis of De La Salle

University – Dasmariñas) This study intends to make an Online Sales and Inventory System for

De Oro Therapeutic Center that will resolve all the problems encountered by the proponents. This

system is planned to contain modules for an sales, inventory, and reports generation. The site will

hold three types of login access, namely the customer, staff and administrator. The customer,

which is the default user of the system, will be able to access only the online shop. The staff can

access the on-the-counter shop for walk-in customers while the administrator accounts can access

all levels of login and will have the capacity to hold, edit and maintain the database and the system

itself.

In the aspect of sales, the online shop module of the system will cover online product

inquiries with online product catalog, online cart system type of shopping, and online payment

through a dummy credit card system. It will also include the delivery of the ordered products

nationwide and charging of additional shipment and delivery fees. Availability of discounts and

promos will also be included. Terms and conditions will also be included stating the policies for

shopping, delivery, discounts, and return and exchange of selected product items. It will also

incorporate the LBC policy charges for delivery being the official product carrier of the company.

Printing of official receipts and proof of purchase for delivery acceptance will also be generated

by this module.

Shop- Online: A Proposed E-Commerce site and Inventory System for Bahandi

Pasalubong Center. The project mainly aims to strengthen and sustain the presence of BPAEV

producers in the local and domestic market all year round.Theshop shall effect acontinuous product

development on the part ofthe producers to be consistent with thequality of goods sold.
This will also encourage producer how to utilize of indigenousraw materials prodigiously

taking into consideration the ecological impact of operatingthe enterprise.

The main objective of the study is to identify the necessary resources prerequisiteto the

development of an adjacent online shopping store for the Bahandi PasalubongCenter and

demonstrate logical justifications for its development.

Pelican Bleu Bar and Restaurant Computerized Sales and Inventory System with Online

Reservation (Thesis-STI College Paranaque). The study aims to develop a flexible and efficient

computerized system that can expand to provide a smooth flow of transaction in case there will be

changes to the overall flow of business.

The proponents adopted the local literature because study is almost the same. The

Computerized Sales and Inventory System that the proponents will develop for efficient way in

processing the transaction; such as monitoring of stocks and generating of report.

Willyson Merchandising Computerized Sales and Inventory System (Thesis STI College

Paranaque). The study aims to develop a computerized sales and inventory system for Willyson

Merchandising for accurate and faster transactions such as purchasing of products and inventory.

The only difference is that the proposed system will include the Point of Sale (POS) system

that uses barcode reader that makes marking down prices and recording the markdowns easy. The

similarity of this system is that they have inquiries to the supplier for the supply of making their

products.
FOREIGN LITERATURE

According to Jane Harmon (2010) Point of sales (POS) software is a type of software that

retail store use to calculate their sales and operate the cash drawer; it is a computerized cash drawer.

Point of sales add up the sales total and calculate the change. When customer buy items from retail

store, point of sales will minus or debit the amount of item sold in the inventory system. At

minimum, POS should be able to handle sales and manage your inventory database.

The researchers propose system that has the functionality of a POS and the ability to

manage your stocks by an Inventory System.

According to Kenneth Hamlett (2006) Inventory systems vary greatly in their individual

design, feature set and operations, but they all share one common trait to make the counting,

tracking and recording of inventory movements easier. Years ago the card system served as the

basic inventory system. Companies used index cards to record how many units of an item were

sold or used and how many were received from the supplier. Today’s systems have greater

capabilities but the basic premise remains the same.

The researchers propose a system that will create accurate and informative sales and

inventory reports pointing out to the products that needs stock and the products that needs to lower

stocks.

As stated in the book entitled Essentials of Inventory Management by Max Muller

Inventory management is about more than counting what you’ve got. It’s about understanding

business realities and making decisions that balance current demand with future needs. Author

Max Muller teaches readers how to do this while keeping overhead and operating costs at a
minimum by maximizing productivity in key areas from physical stock issues to problem

identification and resolution to technologies like RFID and other automated inventory

mechanisms.

As stated in the book entitled Introduction to Information System by Ralph Stair and

George Reynolds. Purchasing Systems is the traditional Transaction processing system that

support the purchasing business function including inventory control, purchase and order

processing. This integrated set of systems enables an organization to plan, manage, track and pay

for its purchases of raw materials parts and services.

The researchers propose a system that will process fast automated transactions and create

reliable sales report of every day, month, and year automatically on a day to day basis. The

researchers develop a system that creates transaction report or log that will help on tracking

transactions when needed.

Synthesis of the Study

The proponents believed that every literature stated in this research is similar on the present

study. The above collection of both local and foreign literature provides information to the

proponents that their proposed study has similarities with other system which is widely used. As

stated technology has brought new option that helped us improve. Interaction is done through the

use of computerized systems which above product of technology processing.

The collections of studies above are related in the area of the importance in keeping all the

transactions and tracking all the records. It will give you assurance that the day by day transaction

will monitored. It also guarantees that the employee’s task will be easier, faster and more efficient

for the benefit of the Marian’s Pares Bulalo atbp. Restaurant.

This Review of Related Literature illustrate the specific and general task of the Point of

Sales System and Inventory Management System, also the types of Inventory that gives a lot of

knowledge for everyone before entering into business and using Inventory.

In this chapter the proponents put a different opinion of others in terms of Sales and

Inventory System , the Literatures should get on the Books, Thesis , and Journals on the internet.

Point of Sales, tackled on how you the customer makes a payment for products or services

at your store. Inventory System, also tackled on how you manage your inventory whether manual

or computerized, both of that having advantages and disadvantages for the business, this chapter

gives an idea also for the reader to review what use of Inventory to the business is.

Methodology

This chapter presents theories associated in obtaining necessary data, design and

development of the system. It involves discussion on the proposed conceptual framework diagram,

the methods and approaches used the tools and models, budget requirements and the schedules

involving the development of the system.

The figure 1.0 is the conceptual framework of the proposed system. It illustrates the process

which the researchers experienced in developing the project. This demonstrates the inputs and

processes that help the researchers create the system.

The second frame is the processing side which involves different stages. The first stage

includes planning and analysis which discusses the analysis of the input and converting into

technical aspect resulting of programming and development. During this activity the researcher

discovers ambiguities and inconsistencies in the transaction management particularly in Marian`s

POS and Inventory Management System. The result of the analysis is a system model annotated

with attributes, operations, and associations.

The design phase of the study will follow after the analysis, and this includes precisely

describing object and subsystem interfaces, selecting off-the-shelf components and restricting the

object model for performance. Interface of the system is properly layout as what has been planned

during this analysis stage. Development stage includes the programming side such as the

development of the front-end application and back-end application. For better quality, the output

testing is being applied under the processing. In this stage, the differences between the system and

its model are found by executing the system with the sample input data.

During the implementation stage the developed Marian`s POS and Inventory Management

System becomes operational. This includes user training and software installation. The

maintenance part will accommodate all necessary enhancement to the system as well as

correction of any error encountered. Upon completing all the stages in the process.
System Functionalities

System Record

A POS system can be integrated into accounting produces extensive financial reports. It
can calculate the record sales transaction quickly and easily. It can also monitor the cost of goods
sold, purchase price, sale price and profit margins, allowing users to pull reports.

System Security

A Employee user and Admin user is assigned to secure the system. Only the Admin user
can grant the access to the sales reports form and view the sales reports.

System Receipt Printing

There will be a printed receipt for orders in the software so it will be saved on the database
of the system.

Fast Pay

Quickly ring up an order with only a couple of touches.Automatically computes the total
purchased whenever an item is added and calculate the change when you input an amount price.

Manage Stocks

The admin user can add, update , delete from stocks.


Development Method

The Methodology that the proponents used is Waterfall-model. The proponents specifically

finished each and every phase of the system development before moving on to the next phase.

Gathering Information

The researchers gathered information at the Marian`s Bulalo at Pares Restaurant. The

researchers met the staff of the Marian`s Bulalo at Pares Restaurant and discussed about the current

system. The proponents used paper, pen, pencil, and calculator for taking orders and computing

and recording their sales

System Analysis

The researcher fully analyses the best fit goals of the project, considering the functional

requirements or solution and operation of the intended application.

System Design

The Proponents used diagram like Context DFD and Conceptual Framework chart to know

how to design the system according to its function and to make it user-friendly.

System Coding

The proponents assigned a Programmer, System Designer, and a Tester to build their

system, and make a thorough research about the system that will make for them to have ideas and

concepts on how they will develop the system.

System Testing

The Testing may carry out testing at many levels and the proponents ask some of their friends

whose knowledgeable and let them critics their system to find more reasons of how will they

present it and what are the things that are mistaken.

Software and Hardware Requirements

converters are provided to search through multiple applications at the same time, matching patterns

standard for developing with cutting edge technologies out of the box.

An IDE is much more than a text editor. The NetBeans Editor indents lines, matches words

Table 3.1 shows the hardware requirements specification the end-user hardware

requirements for the processor is Intel i3. The requirement for memory is at least 2GB or higher

while the server-side requirement is at least 4GB or higher. In the hard drive, the requirement
specification for end-user must be at least 500GB hard drive space or higher, while server-side is

1 Tera hard drive space or higher. Lastly, for the operating system for end-user requirement

Microsoft Windows 7 or later version.

Table 3.2 presents an idea about the software end-user requirements for the developed

Human Resource Information System. The software requirements for end-user operating systems
