INTRODUCTION

As we know that in today’s competitive world it’s very tough for every
organization to compete to others. In any organization human resource,
finance and marketing are most important factor to compete to this situation.
Human resource, finance and marketing affects every part in an organization.
So, today every organization pay very attention to search the talent pool for
their org. Recruitment & selection, financial policies and marketing strategies
are so an important exercise to the respective manager. Every year a number
of private institution comes and goes due to their performance. Presently,
number of technique are available to judge the current position of the
organisations.

Live report is an activity where the person is trained to collect


information through depth analysis of the factors and to present in an effective
way. It improved the performance of a person towards the society and also
towards the Organization.

I have taken this project to enhance or to gain knowledge in the


field of human resource management, finance management and market
management in an organization. I had completed my live report from
PHONICS GROUP OF INSTITUTIONS, HARIDWAR

STRUCTURE

Seth Bimal Prasad Jain Education Trust was formed in 2008 with the main
objective to provide education primarily in various fields of engineering
technology, Management, Diploma, Applied Sciences etc,aiming at providing
a platform to the youth of the country.

The lush greem campus of Phonics Group of Institutions in more than 21


Acres of land is situated in the vicinity of Roorkee city providing a unique
ambience for the students.

Late Shri Seth Bimak Prasad Jain , a man with principle of simple living and
high thinking dreamed of establishing a professional college to educate the
youth for the upliftment of the society. Having his route connected with the
agragarian economy of india he was always desorious to work fo society and
with the establishmentof Phonics Group of Institutions in his village Imlikhera
,Roorkee paved way for his aspirations.

Seth Bimal Prasad Jain Education Trust is committed to furnish technical and
professional education in various streams. This mission is accomplished by
promoting excellence in teaching , research and practice with the aim to give
momentum to future leaders of society.

The institution is approved by AICTE , Ministry of HRD, Govt.of India. The


institution is an ISO certified institute, approved by UTU Dehradun,UBTER
Roorkee and Sri Dev Suman Uttarakhand University.

Late Shri Bimal Prasad Jain


Late Shri Bimal Prasad Jain was a very simple personality. He was a farmer
and cloth merchant. He was also a social worker and a very famous
personality around the villages connected to Roorkee. His dream was to make
an Engineering, management and applied science college at his village
Imlikhera near Roorkee where every student can get good education. Today
his dream came true in the form of an institution called Phonocs Group of
Institutions.

Phonics Group of Institution, right from its inception has been conscious of its
obligations towards placement of the students. So as to prepare them of
complex professional roles in a changing Society having advance knowledge
through state of art education and cultivating scholarship. Our aim is to train

FACILITIES

CENTRAL LIBRARY

The students are encouraged not only to learn from classes but also to pursue
independent research by using resources provided by the library services.
While our physical library has collections of books, journals, audio/visual
materials, and other library items, its e-library subscribes to commercially
available digital libraries which greatly increase the learning resources to its
users. For gaining access to other controlled online resources requiring
membership or licenses, the college library seeks solutions by directly joining
memberships and/or purchasing licenses and also provides handout materials,
keeping their students academic and attendance records, and posting
assignments and instructions to their students. The teaching assistants may
access the system to post homework related information for individual

courses. They also assist the faculty members by searching for useful learning
materials or web site links and include them in the posted course material for
students use. Faculty members and the teaching assistants can also send
messages to their students through this online facility. Each current student is
assigned a computer account to access the Online Service Center. The system
is designed such that the student user can have access to all general
information but only his/her own personal data and academic records.
PHONICS understands well the fundamental importance of a library in
promoting lifelong learning and improving the knowledge, skills and
competence of its students. The college from its inception knows that a library
and information centre of exceptional quality form the nerve centre of any
good college. Connecting both students and faculty with global resources of
knowledge, the Library shall continue to adapt to challenging new demands
and provides a professional and conducive learning atmosphere for the
empowerment of its users. The library will house industry relevant reports,
standards, annual reports, magazines, newsletters, etc. An automated set-up
with user friendly portal providing a single point access to e-resources, the
library will be rich in resources in the subjects of business, technology and
allied areas.
Highly qualified, efficient librarians will ensure the best possible information
services. Standard textbooks and books by well-known authors are stocked,
and every effort will be made to obtain all titles recommended by the faculty.
Multiple copies of popular books will be bought to make them available to as
many students as possible.
Fully automated for day-to-day operations, there will be automated issuing
and book collection systems in place.

LABS

Laboratories are essential ingredients of both teaching and research activities.


Teaching laboratories offer a hands-on experience for both undergraduate and
graduate students to work with specialized equipment. Our research
laboratories are equipped with state-of-the-art equipment and instruments to
allow analysis and research in all aspects of civil engineering. We provide a
variety of labs ranging from computer lab, electronics lab, electrical lab, E.I.C
labs to mechanical labs.
The common experiments conducted in the labs include Refrigeration Trainer,
Heat Conduction, and Heat Exchangers. The thermal experiments are Internal
Combustion Engine Mass and Energy Balances, Combustion Products and
Emission Controls, and Natural Gas Boiler Study. The mechanical
experiments are Stress-Strain Deflection of Beam, Linear Vibrations,
Rotational Balancing, and Kinematics of Motion of Piston-Cam.

T & P CELL

The Training & Placement Office of Phonics Group of Institutions facilitates


the process of placement of students passing out from the Institute besides
collaborating with leading organizations and institutes in setting up of
internship and training program of students. The office liaises with various
industrial establishments, corporate houses etc which conduct campus
interviews and select graduate and post-graduate students from all disciplines.
The Training & Placement Office provides the infra-structural facilities to
conduct group discussions, tests and interviews besides catering to other

logistics. The Office interacts with many industries in the country, of which
nearly 100+ companies visit the campus for holding campus interviews. The
industries which approach the institute come under the purview of: Core
Engineering industries IT & IT enabled services Manufacturing Industries
Consultancy Firms Finance Companies Management Organisations R & D
laboratories, Consultancy, Construction Companies.
Pre-Placement Talks are also conducted in this regard as per mutual
convenience. Job offers, dates of interviews, selection of candidates etc. are
announced through the Training & Placement Office. The Placement Office is
assisted by a committee comprising representatives of students from the
Diploma, under-graduate and post-graduate engineering / Management
streams. The committee evolves a broad policy framework every year besides
a set of rules which are inviolable. Students members are closely co-opted in
implementing these policy decisions.

HUMAN RESOURCE MANAGEMENT

Here at PHONICS, the HR department is under taken by the


DEAN(Academics)

Here are approx. 1800 students and 150 employees .

HR plays an integral role in the success of an organization overall -by


recruiting and selecting the best candidates to fill job vacancies. Furthermore,
HR continues to work closely with management teams within the company to
ensure workforce efficiency.

Nowadays, HR is proactive in the strategic planning process and the


development of an organization. There are several facets of Human Resources
today. The major functions of Human Resources are: strategic management,
workforce planning and employment, human resource development, policy
formulation, total rewards, labor relations, and risk management

Strategic Management

Human Resource professionals are proactive in planning for the future by


meeting the continuous short-term and long-term strategic objectives of the
organization.

Workforce Planning and Employment (recruitment and selection)

Workforce planning involves recruitment, selection, orientation, and exit


process. Department managers collaborate with Human Resources to
determine staffing needs and to fill job vacancies in a timely manner whenever
the need(s) arise. The HR recruitment team strategically recruits and selects
only the best candidates for the company and ensures workforce efficiency
thereafter in an effort to help the organization accomplish it goals and
objectives.

Human Resource Development (training & development)

HR is responsible for ensuring that employees receive the appropriate training


(whether in-house or off-site) to adequately perform their jobs. Thus,
employees will be equipped to help achieve desired departmental and
company goals and objectives. Encouraging employees to take advantage of
the tuition reimbursement benefit will give employees an incentive to further
their education and use their acquired skills and knowledge for the betterment

of the company in general. HR Specialist also assists with change
management and performance management needs of the organization.

Total Rewards (compensation & benefits)

The HR benefits team is responsible for acquiring and administering an


attractive compensation and benefits package for new hires. This might
include: a competitive salary range, medical and dental insurance, choice of
life insurance, tuition reimbursement, 401k, flexible spending account, and
more. The HR recruiter should promote and offer an attractive rewards
package to those candidates who meet the selection criteria at some point
during the interview process. A competitive reward package will attract top
talent and hopefully retain them once hired.

Most organizations use a computerized system, Human Resource Information


System (HRIS) to in-put and keep track of employee data. HR compensation
analyst and payroll specialist oversees the salary administrations of new hires,
process payroll, employee benefits, attendance, vacation days, and maintain
employees files. Payroll specialist also responds to employee inquiries
regarding their salaries and other benefits.

Policy Formulation

Human Resources keeps new hires and current employees abreast of the
policies and procedures of the organization. This might include (but not
limited to) the distribution of employee handbook, code of conduct manual,
and performance appraisals guidelines.

Employee and Labor Relations

The employee relations team seeks to align the employees’ needs and rights
with the needs of the organization. Things such as: union and non-union
issues, discrimination issues, and sexual harassment claims are matters that
should be handled by the labor relations department. Employers must stay in
compliance with the law in making sure that every employee is treated fairly.
Employees are encouraged to contact employee relations should they ever feel
that they were treated unfairly or to resolve other workplace problems.

Risk Management

The HR risk management team along with the department manager-should be


proactive in detecting risk items that could pose a possible threat to the
company: such as the removal of hazardous waste material from a work area
within the organization. Health care institutions in particular, should take

extra precautions in providing a safe work environment for its workers as well
as its clients and customers. HR should provide safety training and issue
handbooks to its employees to educate them on risk management issues.
Employers face a legal obligation to provide a safe and hazard free work
environment. Employers must also comply with OSHA (occupational safety
and health administration) in keeping accurate records for all work related
injuries.

STUDENT WELFARE CELL

1. First and foremost to develop the student- teacher relationship bond


 Listening to their problems and understanding what is
required for their development in any manner.
 Also to deal with misbehaved kind of incidents between
students and the faculties.
2. Flourishing relationship with parents and organizing meetings for
them.
 Addressing the issues from guardians and resolving them to
whatever the needs are.
3. Organising special coaching for slow learners.
 Not every child understand in the same manner, the
committee therefore ensures that those who could
understand the topics shall be taught in a friendlier manner,
separately.
 For the same, HODs and mentors have to find out such kind
of student welfare cell to avail the facility of the same.
4. To encourage students to express their grievances by providing
them a platform to express their problems.
5. Resolving the complaints of students with respect to hostel/campus
will be within two working days.
6. To develop a ragging free campus.
 Students can informto the proctor committee or to the
student welfare cell if they are ragged by anyone.
7. Resolving the fee related issues of the students before commencing
the semester exams/practicals, in consultation & coordination with
Registrar / Assistant Director/Accounts branch.
8. Complaints of students related to the mes facilities will be
considered and appropriate steps for solving them will be taken.
Quality check in the mess and cafeteria will be done on regular
basis.

9. Resolving the problems regarding the Bus passes and identity cards
of the students.
10. Assist the students in their Railway concession matters.
11. Approval of leave pass of hostlers (Both boys & girls) after
recommendation of wardens.

RULES & REGULATIONS


To ensure high moral standard and a peaceful , harmonious academic
atmosphere in the campus.

Following Rules /Acts are prohibited for the students.

1. Students are required to come to college in proper , neat and clean


uniform.
2. Use of cameras , audio video gadgets in the college is prohibited.
3. Behave in a decent and disciplined manner on social , academic
and sports events in or outside the campus.
4. Display their identity cards permanently on their chest while
entering the college.
5. Not to carry any kind of weapon or drug , liquor or any other kind
of intoxicants.
6. Not to try any misbehave with management, teaching faculty,
office and support staff.
7. No smoking in allowed inside the campus.
8. No cheating and use of any kind of unfair means in the
examination.
9. Ragging is strictly prohibited.

DISCIPLINARY ACTIONS
The college /University reserve the right to suspend , dismiss or
physical on student.

PUNISHMENT & PENALTY


1. A written warning , maximum two times.
2. Imposition of fine.
3. Expulsion from the classes for a specific period.
4. Permanent expulsion from the college.

5. Deducting his/her disciplinary marks.

ONLINE GRIEVANCE

The students are the main stakeholders in any institution imparting education,
and its our endeavour to make all efforts to ensure transparency in all the
activities at different stages.Taking this spirit in consideration the College has
decided to provide mechanism to students for redressal of their grievances as
under:
The Grievances may broadly include the following complaints of the

Prevention and prohibition of Ragging in technical Institutions,


Universities including Deemed Universities imparting technical education.

In view of the directions of the Hon’ble Supreme Court in SLP No. 24295 of
2006 dated 16-05-2007 and in Civil Appeal number 887 of 2009, dated 08-05-
2009 to prohibit, prevent and eliminate the scourge of ragging including any
conduct by any student or students whether by words spoken or written or by
an act which has the effect of teasing, treating or handling with rudeness a
fresher or any other student, or indulging in rowdy or undisciplined activities
by any student or students which causes or is likely to cause annoyance,
hardship or psychological harm or to raise fear or apprehension thereof in any
fresher or any other student or asking any student to do any act which such
student will not in the ordinary course do and which has the effect of causing
or generating a sense of shame, or torment or embarrassment so as to
adversely affect the physique or psyche of such fresher or any other student,
with or without an intent to derive a sadistic pleasure or showing off power,
authority or superiority by a student over any fresher or any other student, in
all higher education institutions in the country, and thereby, to provide for the
healthy development, physically and psychologically, of all students, the All
India Council for Technical Education,(AICTE) brings forth these
Regulations.

FINANCE MANAGEMENT DEPARTMENT

Financial Management is a vital activity in any organization. It is the process


of planning, organizing, controlling and monitoring financial resources with a
view to achieve organizational goals and objectives. It is an ideal practice for
controlling the financial activities of an organization such as procurement of
funds, utilization of funds, accounting, payments, risk assessment and every
other thing related to money.

In other terms, Financial Management is the application of general principles of


management to the financial possessions of an enterprise. Proper management of
an organization’s finance provides quality fuel and regular service to ensure efficient
functioning. If finances are not properly dealt with an organization will face barriers
that may have severe repercussions on its growth and development.

SOFRWARE USED
Tally & ERP

Tally is acconting software which is used for recorded all the business
operations transaction data in single software. It is very helpful for

businessman to maintain all record of day to day operations of business like
purchasing, selling, etc

Enterprise resource planning (ERP) is business process


management software that allows an organization to use a system
of integrated applications to manage the business and automate many back
office functions related to technology, services and human resources.
ERP software typically integrates all facets of an operation — including
product planning, development, manufacturing, sales and marketing — in a
single database, application and user interface.

COST CUTTING

Cost cutting refers to measures implemented by a company to reduce its


expenses and improve profitability. Cost cutting measures may include laying
off employees, reducing employee pay, closing facilities, streamlining the
supply chain, downsizing to a smaller office or moving to a less expensive
building or area, reducing or eliminating outside professional services such as
advertising agencies and contractors, etc

As students fee is the solely source of finance at Phonics hence they tends to
utilize it in a judicious way. They strategise their money on the basis of input
they received. The expenditure of colleges like providing salary to the
employees, workers, facilitating basic facilities to the students , organizing
events , educational and industrial tours, are done on the basis of income
received.

SALARY
A salary is a form of payment from an employer to an employee, which may
be specified in an employment contract. It is contrasted with piece wages,
where each job, hour or other unit is paid separately, rather than on a periodic
basis.
Salary payments are done on the basis of the UGC norms at Phonics.

At Phonics basic functions are carried out to maintain the finance efficiently:

 Estimating the amount of capital required for the proper


functioning of the Institution
The most basic function of a finance manager is the estimation of the
capital because funds are required for both long term and short term.
The firm requires capital so that it can meet its liability with no delay,
benefit from early business opportunities, pay for resources,
operational cost etc. Sufficient capital is also required so that the firm
can face any crisis like recession and bottleneck.

 Devising a capital structure


For the determination of the capital structure, the financial
manager must ensure that the earning rate is higher than the rate of
interest on the borrowed amount. A fine capital structure is required to
minimize operational cost and to maximize the shareholder’s profits.

 Sources to raise funds


For proper financial management, it is imperative to find the various
sources from where the firm can raise funds. The organisation can raise
funds through different sources including equity and preference shares,
debentures, banks, financial institutions and other sources. The funds
can be raised for short as well as long period.

 Utilising funds
It is the task of the finance manager to ensure that the funds are
invested wisely so as to garner maximum ROI. While investing, the
firm must take care of safety, profitability, and liquidity of the funds.
The funds must be utilized in such a way that the firm does not face its
shortage in near future.

 Disposing of profits
Effectual finance management involves analyzing the funds that can
be invested for proper working of the organization and distributing the
rest among the shareholders. The firm’s earning must be in such a way
that a large proportion can be distributed among the investors.

 Managing the available cash


A financial manager needs to manage the cash in such a way that
there is neither shortage nor surplus and daily expenses can be met
without any hassles. This can be done by forecasting cash inflows and
outflows and balancing them. The manager must ensure that sufficient

funds are always available to purchase material and meet daily
expenses.

 Control of Finance
Finance management involves evaluation and control of the financial
performance of an organization. This involves employing finance
control techniques, auditing, break-even analysis and analysis of cost.

target-oriented process and an operational area of management. Marketing
management is basically an organizational discipline, which focuses on the
practical usage of marketing orientation, techniques and methodologies in
companies and organizations and on the management of a firm's marketing
resources and activities. The following are the main objectives of marketing
management: To satisfy the clients’ requirements and their objectives
 To leverage the gain for the growth of business.
 To develop customer base for the business.
 To create an appropriate marketing mix
 To raise the quality of life of people.
 To build a good image of the organization.
 To maintain the long-run concept.
PHONICS basically follows both online and offline marketing.

OFFLINE MARKETING

Offline marketing refers to any type of marketing that does not involve
online marketing (website, social media, email, pay-per-click, blogging, press
releases). Effective offline marketing can be a great complement to your
online marketing strategies: Cold calls, direct mail, flyers, print publications.

Networking

Face-to-face connections are still a valuable form of networking and can help
drive traffic to your website when your new connections are inspired to learn
more about you and your firm.
Being able to put a face to the name can help create a deeper sense of brand
loyalty among your buyers, so don’t discount the importance of a good, old
fashioned handshake. Make your own opportunities for in-person networking

Phonics is active on facebook with 15,476k followers. It promotes its all


update on its page on regular basis. It use this tool for advertisiting its
admission policies ,events etc.

Phonics utilizes its twitter handle to advertise its policies and


strategies. All the informations are available on its social media
handles . all the upcoming events are updated regularily so that the
students and parents could be aware of the happening .

c) Google Plus

Google plus has become an important means of interactions in which people


create, share, exchange and comment contents. Also, it connects the
organization to customers directly for communication.

FINDINGS

1- There is a good working condition and study atmosphere


inside the college.

2- There is a high cooperation and good deal in the team sprit.

3- adequate facilities like , clean drinking water, medical


facilities., transport facilities etc are provided

4- Large number of the students are from diverse area which


promotes diversity and also promote unity.

5- Proper exposure to the different challenges which students


and faculties can faces during their lives .
6- Harmonious cooperation among the different deparments of
the institution.

SIGNIFICANCE

The significance of this project are:-

 The major significance of this project is to evaluate the present


functioning of the different departments of the institution.
 The effectiveness of the performance appraisal system of the
organization.
 To check the satisfaction level among the employees.
 To evaluate the welfare policies of the employees and the students.

LIMITATION OF STUDY

1) The research process was time consuming and little tiresome as well.

2) The sources of data collection were limited.

3) It was difficult to complete a study of this nature and to study all the
aspect of Problem with in short period.

4) The time factor is important.

RECOMMENDATION
As per study I would like to recommend the following suggestions.

 More focused should be concentrated on the skill development of the


students.
 More curricular activities should be bring in which will enhance the
holistic development of the student.

 There should be provision of complain suggestion boxes at each


branch.
 More strategies should be framed related to marketing so that reach
could be extended upto remote areas.
 Better welfare and regulation should be maintained in the campus.
 Basic facilities should be availed.

CONCLUSION

According to the report that conclusion are extracted-

1- Students and faculties and employees are satisfied with the facilities
offered by the institution.

2- The management selects proper educated faculties and post in proper


place where they can work as per qualification & experience. The
institution also provides training time to time as according to their
need.

3- An excellent performance appraisal system is carried on, in order to


know the requirements as well as to judge the performance of the
employees.
