1. INTRODUCTION
On September 2016, Google apps for work, which is a part of Google cloud, was changed its name
into G-suite by Google Cloud (Google G-suite ).
G-suite is a group of apps including Gmail, Calendar, Docs, Sheets, Slides, Drive, Hangout Meets,
Sites and Contacts:

 Gmail is where people can send mail as well as receiving it from others.
 Docs, Spreadsheets and Slides are not only for creating oneself document but also being shared
and edited by a group of people.
 Calendar is used to set up the user own schedule for marking any important activities.
Additionally, calendar also provides the work of booking an appointment online.
 The Hangout Meets app is where users can directly create video meeting.
 Google Sites could help business easily create website for their project or program.
 Google Drive is used as a files storage and can be shared from the user account.
 Contacts offers users a change to easily sum up a list of people they contact frequently and reach
all of them in once time.
It can be seen that G-suite is a hybrid tool since they help people to easier collaborate online and
working together. Google G-suite, as a result, has been significantly used worldwide by diverse
organizations. In 2016, G-suite reached 2 million businesses paying for its applications.
This paper aims to analysis the benefits of Google G-suite in term of
business for Cengroup, as a distinct example company (Cengroup, which
is a Vietnamese real estate business, has applied Google G-suite to
manage their organization in a better way ), compare them with Microsoft
Office applications and share the student experience in using Google G-
suite for education purpose.

However, because of the powerful of Google G-suite apps, focusing on their

all advantages is quite impossible. Thus, the report will mainly mention
about Gmail, Drive, Docs and Spreadsheets. CENGR
2. ANALYSIS OUP
2.1. Business benefits of Google G-suite on Cengroup
Since Cengroup is a leading firm in Vietnam for real estate which currently activates in many
different fields including marking services, invest and develop real estate, invest in golf and so on a
well-designed platform is a must regarding the company’s productivity and well-beings.

Doc:
Google doc is quite a powerful tool for any business not mentioning Cengroup. According to
trackvia,the pros of having google doc in the system are its accessibility, learnability, import/export
flexibility and the most important competitive factor is that it's completely free; coping with its free-of-
charge services comes along with its accessibility; Business' clients and employees are able to access it
anywhere as long as they have a connection to the internet. As mentioned, Cengroup specializes in many
different categories including marketing and real-estate; countless reports are exchanged within the
company everyday. It's undeniable that google doc has its weakness compare to its
competitors(functionality) but it's because google doc is easy to use and access. Not always employees
or clients are able make complex surveys, drawings. Furthermore, google Doc is designed for working
as a group, up to 50 persons can edit a single google doc file at a same time.

“Google Spreadsheets is a Web-based application that allows users to create, update and modify
spreadsheets and share the data live online”(WhatIs.com,2019).
According to Cengroup 2018 reports, the company’s interest is roughly 700 millions VND per day.
Revenue of the real-estate category alone reaches 1.115,5 billions vnd (84% increases compare to
previous year). Those numbers indicate Cengroup is a fast-pace growing company and in order to
expand the market and attract more investors, the company’s financial reports have to be as detailed as
possible. Google Spreadsheets is a perfect tool for everyday/short-term financial reports because it is:
free and can be edited lively. Furthermore, “Google Sheets does 95% of the tasks that common users of
Microsoft Excel expect at 0% of the cost.”(capterra.com).Overall, Mundane users only, google
spreadsheet is more than enough.

Drive:
Google drive is an extremely powerful tool of google G Suite because of several reasons. First of
all any businesses whether small or mega-size has got to have a database to support the business's
platform. Cengroup’s spearhead business lies in its real-estate and brokerage activities. In 2017 alone,
the company made 11.555 brokerage transactions (Cengroup.vn, 2018). It's fair enough to say that
Cengroup is one of the leading real-estate firm in Vietnam. Building a database to support its system

would take ages and that google drive could never be able to provide but in order for a car to run
smoothly, every partial of its engines have to also blandy cooperate. Google drive is a perfect tool for
single user(employee) to store essentials or day-by-day papers (30 gigabytes).

Gmail:
There are countless benefits of exchanging mails in modern world. Mail has changed the way we
communicate ever since the its birth. We are no longer writing messages or faxes. Mail in workplaces
play an irreplaceable role. Gmail is crucial in any company because of several reasons: it can hold up to
30GB of emails (which converts to 28 000 emails). It can be linked directly to google drive or google
doc/sheet for its user to manipulate or perform tasks on important documents. Gmail can also detect
whether the email is a spam or it’s from your colleague/superior . You can write drafts and or even
uploading pictures/videos. Gmail is the core of Google G suite ecosystem. Gmail is surprisingly fast so
that important business news won’t be delayed. Hence, it has low learnability; Company’s customers can
also be using it.

2.2. Three most popular apps of Google G-suite

Top three most commonly applications are Gmail, Drive and Spreadsheet.


It is clear that the popular level of Gmail come from its benefit. Firstly, Gmail offer a better
communication every year with faster speed and more flexible service such as “send messages with
confidential mode” or “Undo email” in recent years. Gmail also can be experienced on any device and
safety way with avoiding suspicious emails service. Finally, mails stay organized instantly in topics
such as social or promotion automatically.

 Drive
Drive (30GB for basic users and unlimited for Business and Enterprise) reaches millions of users
every year and connects not only with G-suite apps but also apps from other companies such as
smartsheet (9,428,099 users ) or DocHub (3,347,996 users) that can be found on G-suite Marketplace
(Appendix 1)
Drive offer a huge space that users can save and share their files easily. Users, in some cases even
don’t need to have an account for downloading (Depending on owners).

2.3. Google G-suite and Microsoft Office comparison

In fact, there are many versions of Microsoft Office (include offline and online), and hard to
approach deeply all these versions. This part below is simply compare the G-suite apps and Microsoft
Office offline 365 pro plus and the online version.

3. REFLECTION
3.1. Student experience
Due to the development in teaching, a majority of universities has applied new teaching techniques
because of its convenience and flexibility. RMIT university is an example of using Google G-suite as a
tool to change the way of studying. Being a RMIT student, I was provided a Google account which
allows me to access learning from anywhere. Therefore, I rarely use text books as the lecturers have
already prepared lesson on slides and what I need is a notebook to summarize the main ideas of the
lesson. Moreover, absent students are able to keep up with the course as learning materials are always
available online. Besides, RMIT students can use their Google account to contact with their lecturers
whether they have any problems during the course.
By chance, we discovered that our Google accounts can be used with other platforms such as
Google Sheets, Google Docs, Google Drive and these are included in a tool named Google G-suite.
Currently in this course, I encountered with a problem that how I could create a document familiar with
Microsoft Words for collaborate researching Fortunately, I opened Google G-suite and came upon
Google Docs. It is an application which has nearly same features as Microsoft Words; however, Google
Docs makes itself comfortable as it does not limit the number of users in a document. Furthermore, a

platform which also benefits my study is Google Drive. Google Drive stores file and synchronizes the
folder which is installed by user and user can access many files by using their Google account
(Gallaway, 2013). In the last of semester, when a report assignment came up, in order to help students
with the structure of the assignment so they can prevent from misleading, lecturers shared a sample
assignment on Google Drive so that students can get access to it and download it to our own computers.
Eventually, the last but not least platform to be mentioned is Google Sheets. Google Sheets is a tool that
collects and analyze information provided by the users. Its appearance and performance are quite similar
with Microsoft Excel; however, there is one thing that Google Sheets leaves a deep impression on me. In
the last semester, I was required to do a survey for a research, after completing a survey with Google
Forms, I was able to migrate all of the questions including the responses to Google Sheets. Then, Google
Sheets revealed the results and classified information neatly; therefore, it is easier for users to view and
manage the surveys rather than viewing on Google Forms. In a nutshell, these are three amazing tools of
Google G-suite that I have found helpful with my university study. Google G-suite is not only famous
for its convenience but also safety. It guarantees your file cannot be invaded unless you invited someone
to get access to your file.

3.2. Recommendation
Eventhough Google G-suite are simplified and highly secured, it still need some improvement in
order to compete with Microsoft and help student deliberate their imaginations.
Firstly, in Google Docs, the chart section is very simple, it only has a single design for different
types of chart, and it is complicated to edit the information in the chart. Therefore, we highly
recommend that Google should add more design and theme of every types of chart so that they can
suitable for different types of document. In addition, they should include automatically alert grammar
error function by underlining the word with noticeable color and automatically fix the wrong spelling
words function so students do not have to spend a lot of time on checking their mistakes during work,
and they need to add a ‘search for help’ bar on top in case if users are having trouble in finding a way to
fix the problem. Furthermore, based on 10 Interface Design Heuristics by J. Nielsen, this application
needs visibility of system status, which means it needs to present the number of words while typing a
sheet of work in order for students to track their working progress so they do not have to count the
words again or passing the criteria.
Secondly, about Google sheets, Google should change its presentation. Instead of using words in
each category, they have to redesign Google Sheets’ tool bars for the users easily recognize what to do.
In other words, they should include signature icon that represent the function side by side with its name
so that users can identify that feature immediately because in the reality icons and pictures can quickly
capture users’ attention rather than words, this recommendation is based on “Help and documentation”
by J. Nielsen.
The last recommendation is for all applications in Google G-suite. In order to use any utilizations,
users need to connect to the internet to use or synchronize the document. Google need to develop an
offline G-suite that is capable to work in different systems of devices. The ability to work offline is

crucial because not everyone can afford data cellar to work everywhere, these applications will allow
users to work freely and not depend on Wi-Fi connection. Therefore, this recommendation is raising the
satisfaction of using Google G-suite.

4. CONCLUSION
In conclusion, Google G-suite is a group of powerful apps include Gmail, Calendar, Docs, Sheets,
Slides, Drive, Hangout Meets, Sites and Contacts that strong in connection and group working. Gmail,
Drive and Sheet is top three most popular apps with many benefits for a cooperation between google and
other companies like Cengroup, yet Google still need to carful improve for their higher performance,
compare to Microsoft office. Not only Business benefit, G-suite also offers many advantages for
students, for example students at RMIT. For these reason, while there is some disadvantage, the
successful of Google for launching Google G-suite is quite obvious.

5. APPENDICES

change the language, for example, they use in this online version.

may know it in the first times using G-doc.
