Manual for Workshop Providers

1. Purpose and users


This document applies to all classroom-type workshops that are part of blended Lead Implementer
and Lead Auditor courses delivered in cooperation with Advisera (further in text: “Workshops”).

The purpose of this document is to explain the rules that the workshop organizer/provider needs to
comply with in order to be able to organize these Workshops.

The users of this document are persons who are organizing the Workshops.

2. Confidentiality & intellectual property


This document and other materials mentioned in this Manual are confidential and are intellectual
property of Advisera Expert Solutions Ltd.

This Manual is intended solely for the Workshop organizer, and materials listed in the next section
are intended solely for the persons listed below – please do not make these materials available to
anyone else. If you need to share any of these materials, please ask for prior written permission from
Advisera Training Manager.

4. Roles and responsibilities


The following roles and responsibilities are important for delivering the Workshops:

• Advisera Training Manager – this is the person who is, on behalf of Advisera, in charge of
handling all issues related to Workshops and Workshop providers
• Workshop provider – the organization that is providing the Workshop under the license of
Advisera
• Workshop organizer – a person who is in charge of organizing the Workshop on behalf of
Workshop provider; this may be the same person as the Workshop trainer
• Workshop trainer – the person who is delivering the Workshop on behalf of Workshop
provider
• Advisera experts – persons who have expert knowledge on ISO 27001, ISO 9001, ISO 14001,
and other ISO standards.

5. Working with Advisera


5.1. Access to Advisera Knowledgebase

After the Workshop provider signs the Agreement for Delivering Workshops with Advisera, the
Workshop organizer will receive an access to Advisera Knowledgebase.

The purpose of Advisera Knowledgebase is the following:

• To download all relevant materials (see section 3 of this Manual)


• To read frequently asked questions regarding the organization of Workshops
• To ask questions related to organization of Workshops – those questions will be answered by
Advisera Training Manager
• To ask questions related to expert matters – those questions will be answered by relevant
Advisera expert

In the case when Advisera Knowledgebase is not available, the Advisera Training Manager will send
all the materials as well answer all the questions via email.

5.2. Communicating with Advisera

After signing the agreement with Advisera, your main point of contact will be the Advisera Training
Manager.

You can communicate with Advisera Training Manager directly via email
training.manager@advisera.com, however it is recommended that you ask questions related to
organization of the Workshop, as well as send your comments, complaints and recommendations for
improvement through the Advisera Knowledgebase. If your question does not contain confidential
information, even if you send it to Advisera Training Manager directly, he will post the answer via
Advisera Knowledgebase.

The operational information – e.g. dates, prices, students, etc. – should be sent directly via email.

5.3. Information to be sent to Advisera before and after the Workshop

Before the Workshop, please send the following to the Advisera Training Manager directly via email:

• (once you decide on the Workshop date and price, but at least 45 days before the Workshop
date) The date, price, venue and the Workshop trainer for the Workshop
• (5 days before the Workshop) Form “Registered students for the workshop” – here you must
list all the registered students, no matter through which channel they have registered (i.e.
you need to also list the students who have registered via the Advisera.com website)

Once the Workshop is completed, but no more than one day after the Workshop, please send the
following to the Advisera Training Manager directly via email:

• Scanned “Attendance list” where all the signatures of the students + the trainer will be visible
• Group photo of all the students
• Photo of the venue as it looked like during the Workshop
• (if Advisera has collected the fee from some students at the Workshop) The invoice for
Advisera

5.4. How Advisera will measure your success

Advisera will use the following criteria to measure how successful you are:

• Number of students
• Student satisfaction with the Workshop (measured through the questionnaire Advisera sends
to students via email)

6. Preparations for the Workshop


6.1. Minimum and maximum number of students

Maximum allowed number of students per one Workshop is 10. There is no minimum number – this
is solely your decision.

Please note that you can cancel the Workshop only if there are less than 3 registered students and if
you cancel the Workshop at least 7 days before the Workshop date. If you cancel the Workshop, you
need to refund the course fee to the student within 5 business days.

6.2. Relationship of the online course and the Workshop

One Workshop serves several different courses:

• Lead Auditor Workshops covers ISO 27001 Lead Auditor Course, ISO 9001 Lead Auditor
Course and ISO 14001 Lead Auditor Course
• Lead Implementer Workshop covers ISO 27001 Lead Implementer Course, ISO 9001 Lead
Implementer Course and ISO 14001 Lead Implementer Course

In practice, this means that, on one Lead Auditor workshop, you might have some students that
focus on ISO 9001, and others on ISO 14001 and ISO 27001.

All workshop materials are created in such way that they are compatible with any of these standards.

6.3. Selection and approval of the Workshop venue

The venue for delivering the Workshop must be approved by Advisera Training Manager, prior to
starting the promotion of the Workshop.

The venue must have the following characteristics:

• It must be big enough to be comfortable for 10 students and a Workshop trainer


• No other persons are allowed to be in the same room during the Workshop
• The venue must have enough sound insulation to prevent excessive noise from outside the
venue
• The venue should have electric plugs for each student
• The venue should have adequate toilets
• The venue must have:
o Flipcharts – one per group (each group consists of 2 or 3 students) and one for the
trainer
o Flipchart pens – for each group and for the trainer
o Blue/white tack or tape to attach flipcharts to the wall
o Projector
o 3 tables to be set out in cabaret set-up (3 separate tables positioned facing the
trainer), with clear views of the projection screen. If this is not possible, a U-shaped
layout, with groups sat together would be the second option, particularly for groups
of 3 students
o (if located in a hot area) Air-conditioning unit

The proposal for the Workshop venue must be sent via email directly to the Advisera Training
Manager – please provide the following information:

• Full address of the venue


• Photo(s) of the venue
• All other information listed above

6.4. Organizing coffee and lunch breaks

You should prepare two coffee breaks (one in the morning and one in the afternoon) with coffee and
snacks.

For the lunch break it is recommended that you organize light lunch for the students – this is a great
occasion for further learning and networking.

6.5. Selection and approval of the Workshop trainer

The Workshop trainer must be approved by Advisera Training Manager, prior to starting the
promotion of the Workshop.

The Workshop trainer must have the following competencies:

• For Lead Auditor Workshops:


o Adult teaching qualification or experience
o Lead Auditor certificate for ISO 9001, ISO 14001 or ISO 27001
o At least 30 man-days of participation in certification audits, with at least 10 man-days
as audit team leader and at least 10 man/days in the last 2 years
o Has attended at least one Advisera’s Lead Auditor online course, and has passed the
exam (Advisera may provide free access to the exam but in such case will not issue
the certificate)
• For Lead Implementer Workshops:
o Adult teaching qualification or experience
o Lead Auditor or Lead Implementer certificate for ISO 9001, ISO 14001 or ISO 27001
o Participated in at least 10 successful implementations of management systems
according to any ISO management standard, with at least 5 as a project leader and at
least 3 in the last 2 years
o Has attended at least one of Advisera’s Lead Implementer online courses, and has
passed the exam (Advisera may provide free access to the exam but in such case will
not issue the certificate)

The application for the Workshop trainer must be sent via email directly to the Advisera Training
Manager – please provide the following information:

• CV of the candidate
• Send the filled form “Workshop trainer application”

After the Workshop trainer is approved, Advisera Training Manager will allow him/her the access to
Advisera Knowledgebase.

6.6. Materials for the Workshop trainer

After the workshop trainer is approved, make sure that the trainer downloads the following
materials from the Advisera Knowledgebase:

• Manual for workshop trainers – it explains how the Workshop trainer must deliver the
Workshop, and how to use all the required documents
• Session Plan for the Workshop

• Workbook which contains presentation slides and exercise materials


• Workshop PowerPoint presentation
• Scripts for online courses

7. Setting the price and fees, and promoting the workshop


7.1. Setting the price for the workshop and charging the students

Both Workshop provider and Advisera can promote the Workshop and charge the fees to the
students that have registered for any workshop.

7.1.1. Workshop provider charges the Workshop fee directly to the student

This section describes the rules when you charge the fee directly to the student:

• You are allowed to set your own price for the Workshop, however you need to take into
account that this price also includes the fee you need to pay to Advisera for online
examination.
• You are allowed to provide discounts to students according to your own discretion, but you
are not allowed to display those discounts publicly. In such cases, Advisera will charge you a
standard fee for the examination, unless the discount is provided as part of a jointly agreed
marketing campaign.
• You are allowed to charge the students before or after the Workshop, however you need to
take into account that you have to pay the invoice to Advisera 20 days from the delivery date
of the Workshop.

7.1.2. Advisera charges the Workshop fee directly to the student

This section describes the rules when Advisera charges the fee via its website:

• Advisera will promote the Workshop with the price you have set and is allowed to provide
discounts where necessary. In such cases, Advisera will pay you a standard fee for delivering
the Workshop unless the discount is provided as part of a jointly agreed marketing campaign.
• Advisera will charge the fee to the students immediately during the registration process.
• Advisera will send the information about each student registration on its website to the
Training organizer within 24 hours of the registration.

7.2. Payment of the fees

In cases where you charged the fees directly to the students, you must pay the fee to Advisera for
providing the online exams. Advisera will send you the invoice within 7 days after you deliver the
Workshop. You are obliged to pay this invoice within 20 days from the delivery date of the
Workshop.

In case Advisera has charged the fees directly to students, you should send the invoice to Advisera
after you deliver the Workshop. This invoice will be paid within 20 days from the receipt of your
invoice.

7.3. Promotion of the Workshop

Once you decide on the date and price of the Workshop, Advisera will promote it via the
Advisera.com website and potentially via email.

You are encouraged to promote the Workshop yourself directly to potential students via email, your
website, and through other channels. When doing so, please follow these rules:

• Potential students must be informed:


o that they can attend the Workshop only if they attended the whole Lead Auditor or
Lead Implementer online course
o that in order to get the Lead Auditor or Lead Implementer certificate they must take
the online exam after the Workshop
o for the Lead Auditor Workshop: that the price includes the Workshop and all
workshop materials + access to online exam + access to the course script
o for the Lead Implementer Workshop: that the price includes the Workshop and all
workshop materials + access to video tutorials for filling out the documents + access
to online exam + access to the course script
• If you provide discounts, you are not allowed to display discounts publicly. When you provide
a discount, Advisera will charge you a standard fee for the examination, unless the discount
is provided as part of a jointly agreed marketing campaign
• You can send the Brochure for Lead Auditor & Lead Implementer courses and workshops to
potential students via email and/or publish it on your website; you can insert your company
name and your logo in the designated place in the Brochure
• Use of Advisera logo:
o You can place the Advisera logo on your website, in your emails, in the Brochure, and
in other promotional materials under the following circumstances:
▪ Advisera logo must be displayed in at least equal size to the logo of
Workshop provider
▪ Advisera logos you use for the website and for emails must link to
https://advisera.com website
▪ Next to the Advisera logo you must use the following text: “This workshop is
provided under the license of Advisera.com”
▪ You must send the web page and other materials where you intend to
publish the Advisera logo to Advisera Training Manager for prior approval
o You can download the Advisera logos from the Advisera Knowledgebase
o For more detailed rules, see the document Guidelines for the use of Advisera’s logos

8. Communicating with students, delivering the Workshop; Workshop trainer

8.1. Communication with the students before and after the Workshop

Immediately after the students have successfully registered for the Workshop, you must send them
the following information via email:

• Conformation of their successful registration for the Workshop


• Precise information about the date, time and location of the Workshop
• Explanation they should read “Important notes for students” immediately when they receive
your email
• Attach the following files related to the workshop:
o Important notes for students
o Workshop Session Plan
o Workbook that contains presentation slides, case study and exercise materials

After the successful completion of the Workshop, you must send the following information to the
students:

• A thank you note with an explanation that Advisera will send them an email with further
instructions on how to proceed to the exam
• Advisera will send the survey to all students, please do not send any survey yourself – the
Advisera Training Manager will share the survey results with you
• You are allowed to provide certificates of attendance to the students, but such document: (1)
must not display any relationship with Advisera, (2) must not display any relationship with
online courses, and (3) must not indicate that a student is competent in implementing or
auditing management systems; such certificate may only state that “the student has
attended a workshop” on the topic of auditing or implementing management systems.

Once Advisera sends you the survey results regarding the student satisfaction with the workshop,
you are encouraged to share those with the Workshop Trainer.

8.2. Which students are allowed to take the Workshop

Only the students who have attended the whole Lead Auditor or Lead Implementer online course are
allowed to take the Workshop, i.e. those who have watched all the videos.

Once you submit the form “Registered students for the workshop”, we will check whether each
student has attended the whole online course and will send you the Attendee list where the students
who are allowed to take the Workshop will be listed.

8.3. Materials for the Workshop

You must provide the following materials for the Workshop Trainer (printed on paper):

• Attendee list with the full names of students who are allowed to take the Workshop

You must provide the following materials for the students (printed on paper for each student):

• Name tag

• Workbook which contains presentation slides, case study and exercise materials
• Pen

9. Document owner and period of review


The owner of this document is Advisera Training Manager, who must check and, if necessary, update
the document at least once a year.
