Chapter 1
INTRODUCTION AND BACKGROUND OF THE STUDY
Based on the 8th Edition (2010) of System analysis and Design b Shelly Cashman about
business Information System, every organization has transactions consisting input and output
process which contained valuable information that must undergo proper data management
for the smooth flow of the firms deal beneficial for both client and the company. Daily business
operations bring massive data significant for each entity that sometimes can lead to system
failure if processing with weak technical tools. The advancement of technology made
everything useful and less effort like business matters if paired with the new trend of system,
machines and equipment. In this case, related cycles are happening more accurate and
efficient.
Online Business are some example of form that having the Input-Output-Process (IOP)
of data. Wherein, inbound and outbound transactions are coming simultaneously. In this kind
of business there customer are commonly use manual process. One of the most important
part of a business are the consumer. In this matter, having an Online Ordering will help the
customer check products through online and this will help the business to satisfy their
customer because of the fast service.

Company Background
The Vgilante Bar started April 21, 2016, with a group of friends who believe
there is a better alternative to smoking analog cigarettes. As we all know, smoking analog
cigarettes is very harmful not only for the smoker but also to other people around them.
Quitting is not easy. The proponents have all tried to quit and at some point failed after a
few tries, until one by one, They discovered the art of vaping provides the same sensation
as smoking an analog cigarettes without all the harmful carcinogens of the burning
tobacco. After discovering the enjoyment in vaping, they decided to share their passion
and help their friends try and kick the habit of smoking cigarettes. They started to small
bar in South Signal, Taguig City. As time goes many people use vape, and it is one of the
trend today especially in millennials so they expand their business as of today they already
have five branches in different places in Taguig.

The Vision and Mission of Vgilante Vape Bar
Vision
We at Vgilante Vape Bar envision ourselves to create a smoke free country through our
products, and to be the preferred trademark and supplier of quality fruit juice and related
products in the Philippines.
Mission
Our mission is to provide our customer the same smoking without the risk on health and
also to help others smokers to quit smoking gradually.

 Branch Manager Responsible for monitoring and managing the branch assign.

manager is absent

REQUIREMENT ANALYSIS
Problem Definition
Technology has reached its highest peak of development, especially in making life
easier for people. The implemented technology is faster than human in processing
calculation and is more accurate. Technology has become an important concept in our life.
It assists in connecting communities together. Obviously, people have started to use
technology in every field of life including education, health, the military, and most
importantly in business. This Online Ordering system is an automated system where
consumer can order through online since online business is one of the trend today. The
proponents developed this Online Ordering System that will manage the collection of data
and facts vital to the information and products of Vgilante Vape Bar which will put into a
particular database for smooth safe, accurate access and storage of the store This system
is important especially to those customer who are not be able to go to the bar because of
their busy schedule.

Objectives
General Objectives
The main objectives of this project is to develop an Online Ordering System for
Vgilante Vape Bar that help customer to access, order and provide accurate information
through online.
Specific Objectives
 To develop a system that will secured all the data and information of the customer.
 The develop Online Ordering System will be Efficient and user-friendly.
 To develop a system that maintain the Portability and Functionality.
 To design a system and implement it.

Scope and Limitations
Scope
 Admin is fully responsible for monitoring and maintaining the site, since they have
the access on some modules which are hidden on guest or even members such
as Product management, and ordering management.
 Administrator who has the authority to add more admin by filling up form which is
available such as full name contact number, username, and password. In case of
suspicious acts of the newly added admin, the main admin has right to deactivate
them.
 Members the system will provide an area wherein they can view and manage their
orders.
 Unlike members , the guest can only browse the but no transactions can held
unless they would register
 A cart can be view in the right column of the home and store page or in a separate
page where in the consumer must input the quantity of the product. The quantity
default is one.
Limitations
 The system does not allow non-members to proceed to the payment transaction in
order to avoid repetition of information in case they would purchase another item.
 For members, the procedure of payment will be through pay as you get the product.
 The function of forgot password is not working.

 Delivery is not available, for pick up only
User and Beneficiaries
The Vgilante Vape bar is our main beneficiaries. The proponents develop the
system to help them to serve to their consumer with the fastest way of ordering without
time consuming and accurate information, for them to achieve the satisfaction of their
customer.
Second, customer of Vgilante Vape bar, the proponents develop this system to
give them the easier and efficient way of ordering.
Nature and System Investigation
To develop the system, first conduct an interview to one of the owner. Then
proponents offer a system that will improve their manual transaction. In gathering the
information of the store, researcher ask how they communicate to their customer. They
give us requirements or what output they want. The proponents, continuously do research
to provide demands and requirements.
The existing system is walk-in, the customer will go to the bar and buy products
since, the business is already expanded they want to expand also their communication to
their customer through online.

Understanding the System
The Vgilante Vape bar is our main beneficiaries. They selling products like vape, Vape
juice, mod, battery, atomizer and other accessories. Walk in process is the traditional
process in buying an item, the customer will go to the shop choose an item, go to cahsier
and pay. The proponents want to develop a system that can enhance this kind of process
by accessing through online. The walk in process is still available, the online ordering is
for customer who will visit to the bar.

The manual process is start with the production, the Vgilante Vape Bar has its own
production of juice but the pod, battery and other products they have their own supplier.
After the production it will go to the main store and the main store is the one who distribute
to their branches. There will be inventory after they receive products then it will display to
the store.
The existing process is the customer will go to the store choose product and fill-up some
forms for personal information and receipt and get the product.
Data Dictionary
Owner The person who has the full access in the Vape shop.
Cashier The one who is in charge in gathering the data of the customers.
Data Consist of all the information of the client that gathered by the help
of the staff.
Transaction Process where the client receive their orders and give their
payment to the seller.

Process Description
The proposed system is designed and developed to solve the problem statement
which are stated from one of the chapter. First of all, the developed system provides a
feature that is able to solve the difficulties in product ordering. All the transaction will be
online, by that the customer will the go to shop and just order through online. The system
will have three users the Admin, which is the one who responsible for updating and monitor
the website. The Guest, the system does not allow non-members to proceed to the
payment transaction in order to avoid repetition of information in case they would purchase
another item. For members, the procedure of payment will be through pay as you get the
product. All the data will save to the Vgilante Vape Bar database.
Data Dictionary

Chapter 7
IMPLEMENTATION
The proposed system of the developers for the Vgilante Vape Bar is done and
ready for implementation. Before the proper implementation the proponents already inform
the administrator of the store about the installation of the system. The user of the system
will be the customer, guest and admin. The user can access the system through online but
there is limitation in every user.
The system the proponents first upload it online using free hosting. The admin
of the system is responsible for maintaining and monitor the system therefore the
developers taught the admin how to manage the database and how to access all the data
in the system.
The administrator also test about the functionality and accuracy of the proposed system.
Admin test if the system can update automatically upon adding or updating the product.
They found out that the system is very useful for them especially when updating products
and product details. It is also to communication to their customer.
Customer also test the system first the proponents guider him to create an
account to access the website of the Vgilante Vape Bar. He through online. To test all the
function the developers helped the customer how he can access and manage his orders
through online.
Chapter 8
SUMMARY
Summary of the study
The advancement of technology made everything useful and less effort
like business matters if paired with the new trend of system, machines and equipment. In
this case, related cycles are happening more accurate and efficient. The purposed of this
study is to develop an Online Ordering System for Vgilante Vape Bar. The system will help
the client to communicate with their customer easily and to earned more profit. There are
three users of the system the guest, registered customer, and the admin. Admin is fully
responsible for monitoring and maintaining the site, since they have the access on some
modules which are hidden on guest or even members such as Product management, sales
inventory, and ordering management. Members the system will provide an area wherein
they can view and manage their orders. Unlike members, the guest can only browse the
system but no transactions can held unless they would register.
As the developers objective is to develop an Online Ordering System for
Vgilante Vape Bar that help customer to access, order and provide accurate information
through online.
Conclusion
As the proponent developed and implement the Online Ordering System for Vgilante,
it is our duty to share and present to our beneficiaries our study. The system will help
Vgilante Vape bar to satisfy their customer because of fast and easy transactions. The
main purpose of this system is to help customer order online and expand the
communication between our client and their customers by providing an online system
where they can access and order at the Vape bar anytime.
Based on our finding we conclude that our proposed system must be implemented.
For them identify the strengths, weaknesses and opportunities of the developed system.
Recommendation
The proponents recommends the following software enhancement for the future
developer.
 To enhance the system add more function for the guest, for
example provide an fill up form for the guest so that can order even
if they not a member.
 Put some hover name in each button.
 Change the customer logs, Admin logs, and Records order
arrangement to descending order.
 Make the tracking number in the receipt form bold.
 If the Admin is log in it will direct to Admin Control panel.
