Abstract:

An organized and systematic office solution is essential for all universities and organizations.
There are many departments of administration for the maintenance of college information and
student databases in any institution. All these departments provide various records regarding
students. Most of these track records need to maintain information about the students. This
information could be the general details like student name, address, performance, attendance etc or
specific information related to departments like collection of data. All the modules in college
administration are interdependent. They are maintained manually. So they need to be automated
and centralized as, Information from one module will be needed by other modules. For example
when a student needs his course completion certificate it needs to check many details about the
student like his name, Enrollment number, year of study, exams he attended and many other details.
So it needs to contact all the modules that are office, department and examination and result of
students.

With that in mind, we overhauled the existing Student TG DIARY and made necessary
improvement to streamline the processes. Administrators(TG’s) using the system will find that the
process of recording and retrieving students information and managing their classes, including
updating and keeping tracks of records, is now a breeze. In general, this project aims to enhance
efficiency and at the same time maintain information accurateness. Later in this report, features and
improvement that allow achievement to this goal will be demonstrated and highlighted.

Our work is useful for easy user interface. We are planning to uttilize the powerful database
management, data retrieval and data manipulation. We will provides more ease for managing the
data than manually maintaining in the documents. Our work is useful for saving valuable time,
reduces the huge paper work and manual effort.

Maintaining the records of students on online platform or a single centralized platform helps the TG in
many ways as to keeping the records to maintaining the records even updating it anywhere whenever the
administrator(TG) wants. Searching the details of a particular students now will be easy with this
platform and helps the various efforts and manual work it takes for maintaining and keeping the records.

IN Time to Come this platform or system will be linked to university and provide access to all the
students in a single platform which is accessible anywhere with the help of user id and administrator
access. With great potential it has to expand we made this project in a efficient way a keep the interface
easy to understand to all the students as well as the administrator which will be it’s College TG.

Chapter 1

Introduction

1.1 overview

TG Diary Management System deals with all kind of student details, academic
related reports, college details, course details, curriculum, batch details and
other resource related details too. It tracks all the details of a student from the
day one to the end of his course which can be used for all reporting purpose,
tracking of attendance, progress in the course, completed semesters years,
coming semester year curriculum details, exam details, project or any other
assignment details, final exam result etc.
Our design can facilitate us to explore all the activities happening in the
college, even we can get to know which faculty is assigned to which course,
the current status of a student, attendance percentage of a student and
upcoming requirements of a student. The TG Diary Management System is an
automated version of manual TG diary. It can handle all details about a
student. The details include college details, subject details, student personnel
details, academic details etc.
In case of manual system they need a lot of time, manpower etc. Here almost
all work is computerized. So the accuracy is maintained. Maintaining backup
is very easy. It can do with in a few minutes. Our system has two type of
accessing modes, administrator and user. Update abilities is managed by an
administrator. It is the job of the administrator to insert update and monitor the
whole process. When a user log in to the system. He/she would only view
details of the student. He/she can’t perform any changes. Our system has seven
modules, they are administrator, student, course, department, exam,
attendance, and section.

1.2 PROBLEM STATEMENT
The existing system is time consuming and even in this modern age done manually
which consumes lot of effort done by a particular person. There is no single platform to
view the details of any particular student at the same time for all the faculties in the
college. And the data there is public which increases privacy threat. To avoid this
problem, the proposed system is developed as TG Diary Management system enabled
website. That means, the user can access the website in that system only and fill in the
details as per the given sections which also avoid information leakage and consumes less
time and effort which eventually helps the TG to maintain the records for students in a
single platform.

1.3 OBJECTIVE OF PROJECT

 To provide a single platform for students records, personal details , academics related
achievements, results etc.

 To maintain all the records of a particular student from enrollment up to the end of the
study.

 To update the information that is essential to be maintained in records for further


purposes.

 To have a centralized control over the records of the students, and monitor the
changes in these records.

 To computerize all the records instead to be done manually which consumes lot more
effort and time.

 To view the details of student at any time anywhere wehenever it’s needed.

1.4 APPLICATIONS OR SCOPE

Without a centralized Student Records management system, managing and maintaining


the details of a student is a tedious job for any college and it’s TG’S.
TG Diary management system will store all the details of the students including their
background information, educational qualifications, personal details and all the
information related to the student.

Login :

Login will help in authentication of user accounts, Users who have valid login Id and
password can only login into their respective accounts and view their details fill the
required information.

Search :

Search helps to search a particular student wherever in manual system it’s a very tedious
task though we know the name of student. This module will help the administrator(TG)
in searching the student easily.

Registration and Account Management:

This will help the student to get registered from anywhere if internet is present. It will
simplify the task rather than paper registration. Also after successful registeration user
can update information and change their password as when required.

User Management:

This will help the administrator(TG) in enabling/disabling a student’s account and


updating student information as required.

Purpose of project is to maintain details of the student such as storing information about
personal details, academics, achievements etc.

1.4.1 FUTURE SCOPE OF THE PROJECT

This project will enhance the students and the TG to serve more quickly and efficiently.
This software is developed in order to computerize the activities which take more time, if
done manually.

TG Diary Management System will enable the student and college staff to get details
faster and maintain records efficiently. And if we want information about any student, we
can access it quickly or update if needed.

Digitalization of this system further helps the college management in time to come rather
than keeping records manually, reduces manpower and saves lot of time and effort of
management faculties.

METHODOLOGY

3.1 OVERVEIW OF METHODOLOGY

 System Development Life Cycle (SDLC):

It’s the most common process adopted to develop a project and not surprisingly, this project
is following this model too. To be precise, waterfall model is being applied. Waterfall model
is a sequential model process where the input of a phase actually results from the previous
phase.

There are five phases in this model and the first phase is the planning stage. The planning
stage determines the objectives of the project and whether the project should be given the
green light to proceed. This is where the proposal submission comes into picture. After
obtaining the approval, the next phase is analysis. Gathering and analysing the system and
user requirements is essential for entry to the design step.
With the user requirements gathering completed, there is a need to prepare the resources for
the project. Be it software or hardware components, careful consideration and selection is to
be taken care at this stage. The decision on the appropriate resources to be used is further
elaborated under the subsections below. The next step is to design the system and database
structure.
Results from the analysis and preparation that were concluded from the previous stage are put
into action. With the user requirements in mind, the flow of the system is planned and the
user interface is designed to suit their easy navigation needs.
After completing the design, actual coding begins. Database is created and codes are written.

 Agile Process:

Agile methodology has iterations rather than phases. The output of each iteration will be
production release deliverable and could be evaluated and get early feedback. Agile was a
significant departure from software development methodologies—such as waterfall—in
general use at the time Agile refers more collaboration and interaction between different
department and deliver the successful product with individual contribution Agile
methodologies embrace iterations. Small teams work together with stakeholders to define
quick prototypes, proof of concepts, or other visual means to describe the problem to be
solved. The team defines the requirements for the iteration, develops the code, and defines
and runs integrated test scripts, and the users verify the results. Verification occurs much
earlier in the development process than it would with waterfall, allowing stakeholders to fine-
tune requirements.

3.2 PROJECT PLATFORMS USED IN PROJECT

3.2.1 Language Selection

 PYTHON & DJANGO

There are many scripting languages available in the market. VBScript, Perl, JSP, ASP and
PHP are some of those commonly used. Yet for this project, Python and Django is the
language that is utilized for the coding piece. Being a widely-used open source language, it
is free for everyone to use and is especially suited for web development.
Other than being a freeware, there are many free upgrade packages easily available. The
other benefit of choosing Python and Django is the ease in installation.
In conclusion, Python is the preferred selection due to the ease of usage and it can be
uploaded and run on another platform with minimal change required to be done to the script.
Beyond and above, the compiling time and speed for Python is faster and more efficient.

 HTML&CSS

HTML is the most widely used language to write Web Pages.


Web pages (HTML documents) are linked together. Thus, the link available on a webpage is called
Hypertext.As its name suggests, HTML is a Markup Language which means you use HTML to simply
"mark-up" a text document with tags that tell a Web browser how to structure it to display.
Cascading Style Sheets (CSS) is a stylesheet language used to describe the presentation of a document
written in HTML or XML. CSS describes how elements should be rendered on screen, on paper, in
speech, or on other media.

3.2.2 Database selection

 MySQL

There are a variety of databases that we can select from the market. The widely used
databases are Microsoft Access, Microsoft SQL, Oracle and MySQL. Microsoft Access
does not encourage concurrent usage and it may be inefficient, as the database needs to be
saved into one file. It is also unable to process high speed and large size database as
compared to MySQL.
In terms of costs, Oracle database requires a licensing fee but MySQL database is a
freeware. In addition, MySQL database is easy to install, user friendly, reliable and is able
to run on different platforms. Moreover Python&Django can access MySQL database
directly.
To conclude, Python script is able to run faster with MySQL database and the processing
time will definitely be shorter. The pre-school does not require complex and costly software
for its database management system hence MySQL is the ideal database for this project

3.3 PROPOSED METHODOLOGY

The basic idea behind iterative enhancement is to develop a software system incrementally, allowing the
developer to take advantage of what was being learned during the development of earlier, incremental,
deliverable versions of the system. Learning comes from both the development and use of the system,

where possible. Key steps in the process were to start with a simple implementation of a subset of the
software requirements and iteratively enhance the evolving sequence of versions until the full system is
implemented.
At each iteration, the procedure itself consists of the Initialization step, the Iteration step, and the Project
Control List. The initialization step creates a base version of the system. The goal for this initial
implementation is to create a product to which the user can react. It should offer a sampling of the key
aspects of the problem and provide a solution that is simple enough to understand and implement easily.
The iteration involves the redesign and implementation of a task from project. The analysis of an
iteration is based upon user feedback, and the program analysis facilities available. It involves analysis
of the structure, modularity, usability, reliability, efficiency, and achievement of goals.

 Once we examine that the project is feasible, we undertake project planning. The table below describes how
we planned our project.

3.4 PROJECT MODULES

The Student Management System has been modularized into following modules.

LOGIN MODULE :

The purpose of this module is to provide entry to the system . Based on the type of login, the user
is provided with various facilities and functionalities. The main function of this module is to allow
the user to use the platform. This module provides two types of login —Admin login and Student
login.

ADMINISTRATOR(TG) MODULE :

In this module when the TG will enter his/her user name and password, then he/she will enter in to
the administrator page and this page consists of following sub modules.
Student Addition/ Updation / Deletion: In this section each Student is added, updated or deleted
according to its branch.
Notice: Notice section updated by TG.
Student Detail : Student details are managed.

STUDENT MODULE :
In this module when a user enters his student id and password, then he can visit all the following
pages.
Profile View:
When the student clicks on this link he/she will get his/her information like student id, student
name, password, father name, date of birth, nationality, city, address, country, phone number,
mobile number, email. If he/she wants then he/she can change the profile.
Notice View:
When the student clicks on this link, he can see latest notices released by the TG.
Internal Results View:
When the student clicks on this, he/she will get the internals result in all subjects. How much
grade point he/she secured he/she can know.
The Student Helpdesk: This helpdesk is staffed by faculty who are there to help you.

5.1 CONCLUSION

Simplicity is never simple. As we have seen in this project, the process of creating a user
friendly and straightforward platform that facilitates the TG’s job is one filled with
complexity. From understanding student requirements to system design and finally system
prototype and finalization, every step requires in-depth understanding and commitment
towards achieving the objectives of the project.

The student diary management is fully integrated to the system and used on real time, the
system prototype demonstrates easy navigation and data are stored in a systematic way.
Overall, efficiency has improved and work processes simplified. Although all the objectives
have been met, the system still has room for improvement. The system is robust and flexible
enough for future upgrade using advanced technology and devices.

To sum up, developing a computer based information for any college was a matter of essence. It
will be the medium for the college management for the proper management of the student’s
information in an organised way. It is now essence for the organisation to transmit the student’s
records on the system, without crawling any departments.
