The IP Office System is a modular system


supporting up to 384 sets on a single unit.
Used in a Small Community Network this
can expand to 1000 users over 32 nodes
With the advent of the IP Office Server
Edition this has expanded even further.
Server Edition uses a standard Server
running Linux to support the IP Office
Application as well as VoiceMail Pro and
One X Portal. In addition the Server Edition
can be used in a Virtualised environment.

In the modular system the base unit has 8


external module ports plus 4 option slots
which support Phone and Trunk cards
and/or a 4 port expansion card to add extra
external modules.

The system supports Analogue, Digital and


IP sets including generic SIP units. In
addition it can be connected via IP trunks
(H323 or SIP).

The IP Office Main Unit has four expansion


bays for Expansion Cards as well as eight
expansion ports to connect Expansion
Modules.

A four port expansion card may be added to


allow up to 12 Expansion Modules.

The main unit houses the System SD card


which has a secure partition on it containing
the System Serial No. This is used to control
the software licensing of the system.

NOTE:- Do not Format an IPO SD card in a


PC or this secure partition maybe lost.

The basic IPO Configuration has an onboard


(Embedded) Voicemail system which can
also supply simple Auto Attendants as well
as some announcements.

|Here you can see the connections to the


IPO 500v2 and the SD card slots.

Two SD card slots – One for the System SD


card and an Optional slot for a backup card
which adds storage and expansion for
Voicemail and options for Upgrading the
system.

Two RJ 45 ports for connection to WAN &


LAN ports (LAN1 & LAN2). The IPO can act
as a basic router between the two ports.

The serial port (RS 232 ) is an alternate


option to control the device but is limited in
its use. Possible remote dial in support.

Eight Expansion ports are available on the


chassis to allow connection of Expansion
Modules (Similar size to IPO v5 see next).

There are several different types of


Expansion Module which allow either 16 or
30 additional sets (Analogue or Digital ) or
16 analogue trunks to be added to the
system.

These Modules area similar size to the IPO


500v2 and can be rack mounted alongside
the central unit. Expansion Modules are not
remotely located.

Note there are specialised units to allow for


the connection of Nortel BCM/7000 Digital
phones.

The Expansion Cards only fit in the IPO 500


v2 chassis and add connections for Digital
Analogue sets as well as Trunks.

Combo Cards off a selection of connections


on one card

Base Cards offer support for sets plus Trunk


support using daughter cards.

The four port Expansion card adds 4


Expansion ports for systems when the
maximum number of Expansion Modules is
required. It is installed in slot 4.

VCM cards support DSP resource to allow


IP to TDM conversion.

Trunk cards such as the singleport Port PRI


. These cards are added to base cards and
utilise the 4 RJ45 connections on the far
right hand side of the card.

PRI, Analogue and BRI otions are available .

The Unified Communications Card is in


essence a Linux server on a Card. It allows
for the deployment of Voicemail Pro & One
X Portal on Linux instead of Windows and
also removes the requirement for a separate
server.

IP Office Server Edition allows significant


increases in capacity up to 2500 users. The
system is hosted on one or more Linux
servers with IPO 500 units connected to
support Analogue & Digital connections.

Additional servers increase capacity and


allow redundancy in the system.

Shown are the different License and


Hardware options with their relative
capacities.

IP Office 500v2 can also be networked


together to create a Small Community
Network (SCN) supporting 1000 users. Thus
it is possible to create many diverse
solutions to suit customer requirements.

The first job with the IP Office is to install the


Manager software on a suitable PC ready to
connect to the IP Office system.

The Manager is a large piece of software


and includes the Monitor and System Status
applications. (Make sure you select them
during the install).

The Binary files for the IP Office are


included in the Manager software and are
loaded onto the manager PC. Thus when it
is required to upgrade a system the files are
sent from the IP Office Manager PC to the
relevant system.

If it is required to keep multiple revisions of


software this can be done by selecting a
new folder to keep them in. When required
these alternate releases can be selected
using the PREFERENCES menu,
DIRECTORIES tab.

Note also that the configuration backups are


also saved to the IP Office programme
directory by default.

IP Office Manager is the configuration tool


for the IP Office system and can be used
edit an existing system configuration or to
open a saved configuration file.

It can also be used to create an offline


Configuration ready to load to an IP Office.

To access the configuration of an existing


system use either the OPEN
CONFIGURATION FROM SYSTEM link
from the welcome page. Alternatively use
the FILE menu or the network Icon
(Arrowed).

The Manager will broadcast to locate IP


Office systems. This can be limited by
changing the UNIT/BROADCAST
ADDRESS as shown.

After selecting the IP Office system (tick


box) you are presented with the login
dialogue as shown.

NOTE: - IP Office Server Edition follows the


same pattern for users and passwords but in
addition has logins for the underlying Linux
Server.

Using the HELP Button found on each page


of the IP Office Manager will display help
relevant to the specific page being viewed.
In addition topics can be searched for
specific information.

To erase an existing configuration select the


option from the FILE / ADVANCED menu.
This will prompt you to select the system to
reset and then request the Username and
Password before rebooting the system.

This process can take 5-6 minutes as the


system will be rebooted.

A new or defaulted system will generate a


new configuration based upon the modules
installed into it at boot up.

It will assign extensions in the 2XX range


depending upon the cards and modules
installed. It will also configure a default Hunt
Group MAIN on Extn 200.

If Trunks are present they will be given basic


configuration information and assigned to
the Inbound and Outbound line groups 0.

Note there will be a number of errors shown


in the error pane as here. This is because
the system will configure to the hardware
available without regards t the licenses
installed. Also some information will need to
be added such as the Emergency Short
Code.

It is likely that extension numbers will need


to be changed to suit an existing dial plan
and this is done using the Renumber Tool
as shown.

This is accessed from the Manager menu


TOOLS / EXTENSION RENUMBER.

The Extensions to be affected are defined


and the new start number.

Note this will also update the default user


names assigned to extensions but not the
default Hunt Group.

To adjust the Hunt Group to match the new


extn range select the HUNT GROUP icon in
the Navigation Pane and edit the extension
number.

At this point it is advisable to also adjust the


Name to something unique within the
network as then the hunt group can be used
across all systems when they are networked
together.

The IP addressing of the system is


accessed from the System link in the
Navigation Pane. In this document we are
only using the LAN 1 interface so will only
concern ourselves with that. Remember
there is a second LAN 2 interface (WAN)
which may also be used.

By default the IP Addresses will be


192.168.42.1 & 192.168.43.1 for LAN 1 and
LAN 2.

Set the IP Address and Subnet mask as


required and also set the DHCP mode. In
this instance DHCP is set as a Server i.e. It
will serve IP addresses to other devices.

Finally we can define an IP Route to enable


the IP Office to Route IP traffic, (Data or
Calls) to other Networks.

Here we are adding a Default route so the


system can connect to the internet via the
Router at 192.168.0.1 connected to LAN1.

In order to add the licenses to the system we


need to establish the Dongle Serial Number
which is shown on the System Page.

This is the serial number embedded into the


system SD card and is used to license the
system. All licenses will be locked to this
number.

We can also change the system name at the


top of this page to something more
recognisable.

The system Licenses are generated from an


Excel spreadsheet supplied with the system
SD card. As you can see the license takes
the form of a string of Alpha-Numeric
characters which can be manually added
one at a time to the system through the
Manager application.

In addition Licenses can be exported or


imported in bulk to populate the system.

WebLM is the centralised License Manager


used in Avaya Aura. Thus in a large
organisation the benefits of centralised
license management can be extended to the
IP Office equipment if requied.

Alternatively if the licenses are already in a


CSV file format they can be Imported to the
system in one action.

To do this select the IMPORT option from


the FILE / IMPORT/EXPORT menu.

Navigate to the correct folder containing the


file using the LOOK IN ( ... Button ) dialogue
and select the License option with the tick
box and import the licenses.

The configuration will need to be sent back


to the system for the licenses to become
active and the system will need to reboot.

To save the configuration back to the system


select either the option from the FILE menu
or the Floppy disk Icon in the toolbar.

The dialogue shown will appear which will


show if the changes can be Merged into the
running system or if it will need to be
rebooted for the changed to take effect.

If a reboot is required there are a couple of


options as to when this will take place.

The Configuration cal also be saved to the


disk of your PC for storage or offline
configuration.

If you are required to upgrade a system then


you will first need to check if a new license is
required ( Change of release ).

Assuming this has been done then you will


need to install the updated Manager
software which will include the new Binary
files for the IP office.

Once this is done select the UPGRADE


option from the FILE menu as shown here.

The system Password will be required and


the new files are downloaded to the IP
Office and it will then be rebooted to bring
the software into service.

If required the system SD card can be


upgraded from a PC loaded with the
updated Manager software.

This will necessitate shutting down the IP


Office to remove the SD card .

For this operation the ADVANCED /


RECREATE IP OFFICE SD CARD menu
option is used.

Every extension has a User assigned to it


plus there is a NoUser which is used for
logged out extensions.

For extensions linked to physical cards i.e.


Digital & Analogue sets the users are
automatically generated . For SIP & IP Sets
this can also be an automatic or a manual
process.

settings shown are configured, which allow
sets to register correctly.

Here an Avaya h.323 set is being added to


the system.

The BASE EXTENSION number is assigned


at this point. The Extension ID is
automatically assigned by the system and is
an internal address.

On the VoIP tab make sure the “ALLOW


DIRECT MEDIA PATH” option is selected to
allow the Voice stream to be sent directly
from set to set which is the most efficient
option.

By default all Codecs are selected but this


can be altered if required.

With the set added you can then create a


User to assign to the extension. You will
also need to assign a PROFILE as this
defines what the extension User can do .
The POWER USER option allows for most
access and is the highest level of user.

add a Supervisor Login Code which is used
to log the set into the system.

MCIPADD= is the H.323 Gatekeeper


(Callserver) address. Normally, this is the
IP Office Unit's LAN1 address.

MCPORT= is the RAS port address for


initiating phone registration.

TFTPSRVR= is the TFTP Server IP


Address. Normally, this is the IP address
of the PC running Manager.

TFTPDIR= is the TFTP Server directory


where the IP phone files are located. This
entry is not required if those files are in the
TFTP server's default directory.

HTTPSRVR= is the HTTP Server IP


Address. Normally, this is the IP address of
the PC running Manager.

HTTPDIR= is the HTTP Server directory


where the IP phone files are located. This
entry is not required if those files are in the
HTTP server's default directory.

VLANTEST= is the number of minutes


phones should attempt to register on a
specific VLAN before defaulting back to
VLAN 0. This field is optional. A setting
of 0 disables the fallback to registering on
VLAN 0.

Adding a SIP set is much the same as the


H323 set but again ensure the
PROVISIONING option is selected.

Add a User to the extension and you should


then be able to log the set in.

NOTE :- Remember you have to save the


configuration back to the IP Office before the
changes will show up.

Here is the SIP Soft phone used on the IP


Office versions prior to 9.1. Be careful
logging this set in as it uses different
information to the H323 sets.

On Release 9.1 the SIP softphone changes


to Avaya Communicator which also has
options for Presence & Messaging.

Here you can see the Communicator


installed and started for the first time. Use
the menu icon (3 horizontal lines) to select
the SETTINGS option.

Here you need to input the IP Office


SERVER ADDRESS and if you are using it
the PRESENCE SERVER address. We also
need to input the DOMAIN (Here we have
used the server address but this could be a
specific domain) and select the
TRANSPORT TYPE.

In this instance we have selected TLS for


the Transport Type which gives us secure
communications. However when you then
try to login you will get the message
displayed that the Security Certificate is
missing. The Certificate is needed to allow
TLS to function so we will need to install it to
the PC so we can logon.

If we select TCP instead we should be able


to logon successfully but the messages from
the server to the client will be unencrypted.

To export the Certificate from the IP Office


so we can install it to the relevant PC’s we
first go to the security setup by selecting
from the Manager application FILE /
ADVANCED / SECURITY SETTINGS. This
is the programme used to setup users and
administrators of the IP Office.

By selecting the SYSTEM entry and then the


CERTIFICATE tab option as shown you can
see the installed certificates on the system.
By clicking the VIEW button as shown this
will open the IP Office certificate as shown
far right. We select the DETAILS tab on the
certificate window and here you will see a
button COPY TO FILE. This will allow us to
create a small certificate file which can then
be installed on the relevant PC’s as
required.

After clicking on the COPY TO FILE button


you will be taken to the EXPORT WIZARD
to create the .cer file.

First we select the format we want the


certificate in (X.509 in this case) and then
we select where we want to save the file.

When completed you will have a small .cer


file which you can now use to install the
certificate to any PC’s that require it.

To install the Certificate merely double click


on the .cer file you created and it should
open as shown.

Then using the INSTALL button you need to


select where you want to store the
certificate, just for the current user or for the
local machine and very importantly the
folder in which its to be kept. It must be
stored in the TRUSTED ROOT
CERTIFICATION AUTHORITIES folder so
the application can find it and use it to
establish secure communications.

Make sure you close and reopen the


Communicator application so it can access
the newly installed certificate and you should
be able to logon successfully.

In addition to the Communicator for PC there


are also versions for Android and IoS.

This allows SmartPhone users to register a


set on the IP Office and use that via a
suitable WiFi connection.

Here we can see the Android version setup


which is much the same as the PC version
however, please note that we are using Port
5060 and have not ticked the box for
SECURE CONNECTION. This means we
will be using TCP instead and messages will
be un-encrypted. To use this option we
would need to import the Certificate to the
device as we did on the PC. The method of
installing the certificate can be different of
different devices.

Time Profiles are a way of automating call


routing / auto attendants etc by time of day.

The Time profiles can contain time of day


information or specific dates for example
you might want to create Time profiles for
Office hours, Night hours, Weekends as well
as Bank holidays.

Time profiles can be used to route calls or


change announcements etc.

Hunt Groups are used to manage calls and


can be setup in a variety of ways.
Different call schemes are available and
extensions can be added or removed as
required.
Collective All available phones in the User
List ring simultaneously.
Collective Call Waiting This is a Collective
hunt group as above but with hunt group call
waiting also enabled When an additional call
to the hunt group call is waiting to be
answered, users in the group who are
already on a call will receive call waiting
indication. On phones with call appearance
buttons, the call waiting indication takes the
form of an alert on the next available call
appearance button. On other phones, call
waiting indication is given by a tone in the
speech path (the tone is locale specific).
The user's own Call Waiting On setting is
overridden when they are using a phone
with call appearances. Otherwise the user's
Call Waiting On setting is used in
conjunction with the hunt group setting.
Sequential Each extension is rung in
order, one after the other, starting from the
first extension in the list each time.
Rotary Each extension is rung in order,
one after the other. However, the last
extension used is remembered. The next
call received rings the next extension in the
list.
Longest Waiting The extension that has
been unused for the longest period rings Notes
first, then the extension that has been idle ______________________________________________________________
second longest rings, etc. For extensions
with equal idle time, 'sequential' mode is ______________________________________________________________

can be added to the Hunt Group scheme to
enhance the callers experience.

Note the option to record the


announcements to be played during
queuing.

The different modules for lines such as PRI


and Analogue will be used to generate a
basic configuration on the system which can
then be setup more specifically.

Lines are defaulted to the Incoming and


Outgoing Group ID 0 which is used by the
default ARS entry.

It is important to split the lines into specific


Group ID’s to manage the system correctly.
Here we are using the ID 5 for both Inbound
and Outbound.

The lower screen shows the information and


options specific to the Analogue circuits
provided. A PRI Line would have a similar
page used to define the setup of the PRI
channels.

PRI lines are used to connect to the Public


network or to another system. Lines are
programmed using the screen shown and
the correct Line type must be used as well

Calls need to be routed correctly when they


enter the system and we use the Incoming
Call Routes for this.

These are associated with the Line Group ID


as discussed earlier so that different lines
can have different treatments applied.

Here the Line Group 5 is setup to accept any


Voice call as we are not checking for CLI
etc. On the Destinations tab we are routing
the call according to the Time Profiles set to
either the MAIN hunt group or Voicemail.

The default Destination is defined by “.” and


this means use the incoming digits to route
the call e.g. DDI

The ARS is used to create multiple options


for outbound call completion.

In the default configuration the ARS 50:Main


is created to route outbound calls to Line
Group 0.

As you can see in the example the ARS


51:xxx is accessed from the Short code 9xxx
(lower screen shot)

Within 51:xxx options are set for out of


Service Routes as well as Time Profile
routes. Finally the lower dialogue shows the
numbers to be routed and via which Line
Group. In this example 112 is sent as an
Emergency number Via Line group 5 whilst
anything else ( ? ) is sent as an ordinary
dial again to Line Group 5.

The System Status application is accessed


either from your PC where it is installed or
via the File Menu in the Manager application
or by Web browsing to the IP Office itself.

Once logged into the application you can


check the status of the system, Alarms etc
as well as watching call progress. This
makes it a useful tool in troubleshooting
issues.

In addition it has an option to look at the IP


networking of the system and test
connectivity which can be very helpful in
resolving IP Set and IP Trunk problems.

System Monitor is installed along with the IP


Office Manager and is a lower level tool than
the System Status application.

Once connected to the Monitor the most


important thing to do is to set the FILTERS
correctly to ensure only the data you want is
displayed.

Monitor is ideal for resolving SIP & H323


connection issues and in addition Monitor
has several preset Status screens to check
the status of SIP sets etc.

Voicemail Pro is an external Voicemail


system which adds functionality to the
overall system.

Here we see an installation on a Windows


system . The prompts are much the same as
other software but one thing to note is that
the system needs an Administrator level
account to run the service.

The software is a client server system but it


is usual to install the both the server and
Client on the host system. The client is then
installed on any other system as required.

The IP Office itself has to be setup to point


to the VoiceMail Pro server rather than the
embedded server and this is done from the
System page within the Manager software.

Select the Voicemail type as Voicemail


Lite/Pro and add the IP address of the of the
server as shown here.

Note also the option here to allocate


channels to the different types of service
supported by the voicemail server. This can
ensure that Announcements and Auto-
Attendants are always available.

start up you can connect to it with the VM
Pro client.

If you connect from the server itself you

Some changes to the configuration require


the server to be restarted. In order to do this

Voicemail pro can support complex call


flows using Menu’s to collect information as
well as utilising Database access, multiple
Variables and Conditions to test inputs or
values retrieved.

The example here is a simple Auto


Attendant with 3 options for call transfer and
an option to restart the process by dialling 0.

The Voice prompt is recorded via telephone


and is linked to the MENU action itself (See
Next Page), whilst the START is always
required and the TRANSFER actions are
used to Blind transfer the call to a
destination e.g. an extension or Hunt group.

One X Portal can be installed on a Windows


system or can be hosted on the Linux
Applications server.

Here we see an installation on a Windows


system. There are few inputs but NOTE:-

One X Portal uses special ports to deliver


the web pages and it is usual to have to
create special rules on the Windows firewall
to allow these Port Numbers to be accepted
from other systems. Without this access
being granted you will only be able to
access the web pages from the server itself.

IP Office systems are linked together using


the concept of a Small Community Network
which shares information automatically.

H323 Trunks are created to link to the other


systems in the network. These should have
their own Group ID numbers and can be
arranged in a Mesh or Star configuration.
(Ideally Mesh)

These form the transport mechanism


between systems and in addition they allow
for information about sets and Hunt groups
from other nodes to be passed around. Thus
as soon as the trunks are in place all
extensions should be available on all
systems.

NOTE:- all names and extension numbers


need to be unique across the network to
allow this automation to run correctly.

IP Office Server Edition expands the


capacity of the system up to 2000
extensions.

In this section we will create a Server edition


system using the DEMO software included
on the installer. The example is done using
a Vmware “virtualised” environment but
much of the process would be the same if
installing on a physical server.

First we are open the VMware Player and


select Create a New Virtual Machine. The
Operating System will be Linux and we will
defer the install of the O/S as you see far
right. This would be like booting a CD
installer in a Physical environment.

One of the first things it will ask is if you want


to check the Media before installation.
Generally you can skip this step especially if
you have used the file/CD/DVD previously.

Say yes to discard all data on the drive you


are installing on ( the Virtual Machine Hard

Keyboard etc and asked to confirm the
license and installation.

On the screen requesting the Name enter a

As we will be using the IPO Demo system


which already has IP Addresses embedded
in it we will have to change IP addresses
later. But the example shows changing it
from the default setting to 192.168.0.220
and adding a DNS setting.

When you continue with the install you will


also be prompted for a “root” password for
the system. For this example we will use
“Avaya_123” which will meet complexity
rules etc.

The installation will start once all this is done


but it will ask for one further confirmation so
make sure you have acknowledged that

We need to add a SIP Line and then


configure the Credentials and URI as you
can see here. The Password would be used
connecting to a SIP provider or a secure
system but we will not need it as we are not
ticking the box for Registration Required.

Add the Incoming and Outgoing Groups in


the SIP URI and select the Display
Names/Contact etc.

Select the Transport tab and here we enter


the IP Address of the system we wish to
connect to. Leave the Protocol as UDP .

Switch to the SIP Line tab and ensure that


the In Service and Check OOS options are
selected. Add a domain name .

To access the SIP trunk we can create a


Short Code 7N which is setup to Dial the
SIP trunk by the IP Address as shown.

For the Incoming Route we have set the


Incoming Number to xxxx i.e. any 4 digits
and then on the Destinations tab we can set
the Destination to #. This means that the call
will route to whatever 4 digits are sent, thus
we should be able to call any extension on
the system direct.
