Yard Management
Purpose
SAP’s Yard Management (YM) extends warehouse management beyond the physical walls of the warehouse, enabling
management and control from the time that goods are planned to arrive at the warehouse.

Integration
Logistics Execution (LE)

YM is integrated with Logistics Execution through an interface (package LEINT).

Transportation(LE-TRA) and Shipping (LE-SHP)

YM integrates with the LES components for Transportation and Shipping . Shipments and deliveries are an integral part of YM ,
in uencing location scheduling and location determination. Shipments are updated upon completion of check-in, check-out,
loading and unloading activities, while deliveries are updated by check-in and scheduling activities. In addition, shipment data,
such as forwarding agent, determines the list of possible vehicles that can be assigned in YM to a speci c delivery or shipment.

Warehouse Management (LE-WM)

YM is integrated with Warehouse Management (WM) . Nevertheless, YM can work without a full WM implementation, as long as
certain WM entities, such as doors and staging areas, are de ned.

Cross-docking (LE-WM-CDK)

Planned cross-docking information is provided to YM , which in uences location scheduling and location determination. In
addition, location scheduling is accessible from Cross-Docking , with the availability of doors and staging areas determining the
viability of cross-docking decisions.

Features
YM provides the following features:

Management of Yard Processes

YM enables you to manage the following yard processes:

Check-in and check-out of vehicles

Scheduling of doors and staging areas for vehicles (manually or based on the system's automatic scheduling mechanism)

Creation and execution of movements in the yard (manually or based on the system's location determination mechanism)

Creation and execution of operations in the yard, such as weighing and sealing/un-sealing of vehicles

Registration of the start and nish of loading and unloading of vehicles (by delivery or for whole vehicle)

Provisionof Information to Forwarding Agents

YM provides Business Partners, such as freight forwarders, with information on their vehicles, including time in yard, current
location and processing status. This information may be provided either via the ERP system or via the Web.

This is custom documentation. For more information, please visit the SAP Help Portal 2
6/5/2019
For more information, see Provision of Yard Inventory Information .

Monitoringand Response Tools

YM enablesyou to monitor all aspects of yard operations and invoke methods to respond to constantly changing circumstances
in the yard.

For more information, see Yard Monitor .

Alert and Troubleshooting Tools

YM providesinformation on actual and arising problematic situations in the yard, and enables you to handle exceptions.

For more information, see Yard Alert Monitor .

Scheduling Chart

YM enables you to view, manually create and maintain scheduling activities via the yard scheduling chart, a graphical
representation of scheduling activities for the yard.

For more information, see Yard Scheduling Chart .

Mobile Presentation

YM allows you to customize the presentation of data to a resource on a variety of presentation devices.

For more information, see Presentation Management .

Vehicle
De nition
A vehicle is a means of transporting or carrying goods.

Use
A vehicle may be created as a means of transport or transport equipment by:

1. Yard managers via the yard monitor . The yard manager may create a vehicle in a number of ways:

a. a. Invoking the Create method, whereby a vehicle is created, without reference to a document. The vehicle may
subsequently be assigned to a document.

For more information, see Creating a Standalone Vehicle .

b. b. Invoking the Process document method, whereby a vehicle is created with reference to the document.

For more information, see Processing a Document .

c. c. Invoking the Create check-in activity for an inbound document, whereby a vehicle is created with reference to
the document and is immediately checked-in

For more information, see Creating a Check-In Activity .

2. The checkpoint operator via the checkpoint tool .

For more information, see Using the Checkpoint Tool .

After a vehicle has been created, yard activities can be created for it.

In addition, vehicles can be attached and detached from one another. For more information, see Attaching Transport Equipment
to Means of Transport .

Integration
Vehicles are represented by handling units in the system. For more information, see Handling Unit .

Transport Equipment
De nition
Transport equipment is a category of vehicle representing moveable equipment containing goods. It is towed by a means of
transport and can then be detached from it.

Use
Transport equipment is implemented in the system as a packaging material category for a handling unit (vehicle category).

Recommendation

This is custom documentation. For more information, please visit the SAP Help Portal 4
6/5/2019
We recommend that you create transport equipment for a vehicle that contains materials and detaches from a pulling
vehicle.

Where you want to also keep track of the pulling vehicle in the yard, you should also create a means of transport. For more
information on this scenario, see Attaching Transport Equipment to Means of Transport .

Handling Unit
De nition
A handling unit is a physical object representing a speci c vehicle for which activities are planned and executed in the yard.

Use
YM utilizes the handling unit (HU) to represent a vehicle in the yard. In addition, for each delivery assigned to a vehicle, the
system automatically creates a “logical” HU as a lower-level HU to the “vehicle” HU.

Note
Since vehicles cannot contain deliveries (they can only contain other HUs or materials), the system creates logical HUs with
the relevant delivery number in each HU’s header, in order to keep track of the deliveries assigned to a vehicle.

HUs in YM are an extension of the existing HU concept in Handling Unit Management (LO-HU) . For more information on the
general de nition, structure and use of handling units, see Handling Unit .

You can view the detailed HU data for a vehicle, including hierarchical display of HUs and the deliveries contained in the logical
HUs, via the Display HU details monitor method. For more information, see Yard Monitor Methods .

Structure
In addition to the normal HU attributes, an HU in YM consists of the following attributes (in HU header):

Yard

This is custom documentation. For more information, please visit the SAP Help Portal 5
6/5/2019
Transport equipment stock status

Sealing number

Blocking indicator and reason code

Door and staging area

Urgency (for cross-docking purposes)

Planned times

Reference document information required for scheduling

Location and location class

Container ID

Forwarding agent, owner and transponder information

Handling units can comprise of lower level handling units.

Integration
HUM concepts are represented in YM as follows:

HUM Concept YM Concept

Handling unit Vehicle

Packaging material Vehicle type

Packaging material type Vehicle type group

Packaging material category Vehicle category

Example

HU 345 is a handling unit of packaging material category Means of Transport and packaging material type 20 Ton Truck
. It contains lower level handling unit 346 of packaging material category Transport Equipment and packaging material type
Container .

Yard Activities
De nition
Yard activities are planned or executed actions in the yard.

Use
YM enables the creation of the following types of yard activities for vehicles :

Check-in/check-out

Scheduling

Movements

Weighing

Loading/unloading

Sealing/un-sealing

Note
The blocking and un-blocking of vehicles are also implemented as yard activities.

A yard activity can be created in advance by yard managers and, to a more limited extent, desktop users. The activity can be
automatically con rmed, or subsequently con rmed by an RF device user, or the yard manager him/herself (via the Complete
con rmation monitor method).

An RF user can also create an activity during physical execution.

 Example
A movement activity can be created and immediately con rmed at the time when a spotter takes transport equipment and
moves it to a parking space proposed by the system.

Yard Activity Life Cycle

Yard activities can have any of the following statuses:

1 Planned – activity is created and available for execution

2 Started – activity execution has commenced

4 Completed – activity execution has been completed

5 Cancelled – activity has been manually cancelled (via Cancel

monitor method, or via scheduling chart in the case of scheduling activities)

6 Vehicle departed – the vehicle has left the yard

After a vehicle has been checked-out and has left the yard, the statuses of all its related
activities are changed to
6 Vehicle departed . The vehicle, and its activities, are displayed under the Departed Vehicles
object class in the yard monitor. These activities are later archived .
If the vehicle is permanent, it is also displayed under the Vehicle s object class.

Check-In
De nition
Check-in is a yard activity performed when a vehicle arrives at the checkpoint.

Use
Check-in is primarily performed by checkpoint operators using the checkpoint tool .

This is custom documentation. For more information, please visit the SAP Help Portal 10
6/5/2019
This provides the most comprehensive check-in functionality, and enables checkpoint operators to create a range of follow-up
activities, such as scheduling in the background and movements. For more information, see Using the Checkpoint Tool .

In addition, check-in can be performed by the following users:

Yard managers via the yard monitor . For more information, see Creating a Check-In Activity .

Users via RF devices. For more information, see Executing a Check-In Activity .

When a vehicle is checked-in to the yard:

A check-in activity is created with status 4 Completed .

The vehicle’s location is updated to that of the checkpoint.

The Delivery has Status 'In Plant' indicator is set in any delivery to which the vehicle is assigned

The shipment to which the vehicle is assigned is updated as follows:

The status of the Check-in eld is set to Completed .

The actual date and time of check-in are lled in the relevant elds

Scheduling
De nition
Scheduling is a yard activity that involves the scheduling of a yard location for a vehicle .

Use
Scheduling activities can be created, using any of the following tools:

Yard monitor (yard manager)

For more information, see Creating a Scheduling Activity .

Yard alert monitor (yard manager)

For more information, see Alert Monitor Troubleshooting Tools .

Yard scheduling chart (yard manager and any other users)

For more information, see Creating a Scheduling Activity .

Checkpoint tool (checkpoint operators)

For more information, see Using the Checkpoint Tool .

Loading/unloading point tool

For more information, see Using the Loading/Unloading Point Tool .

When creating a scheduling activity using the monitor, alert monitor, checkpoint tool or loading/unloading point tool, the
scheduling is performed based on the system’s scheduling mechanism . When creating a scheduling activity using the scheduling
chart, you manually determine the scheduling times and location.

This is custom documentation. For more information, please visit the SAP Help Portal 11
6/5/2019
Normally, a scheduling activity is created at a door. However, if you have de ned scheduling pro les for doors and staging areas,
a scheduling activity will be created also at a staging area. A scheduling activity will be created at the door’s related staging
area if you have done one of the following:

1. a.De ned door-staging area group relationships in Customizing for Logistics Execution Yard Management Location
Determination and Scheduling De ne Location Group Relationships

2. b.Assigned doors to staging areas and vice versa in Customizing for Logistics Execution Yard Management Yard
Map De ne Doors/Staging Areas

In the case of inbound vehicles, the start time of the scheduling activity at the staging area will be the same as the start time of
the scheduling activity at the door. In the case of outbound vehicles, the end time of the scheduling activity at the staging area
will be the same as the end time of the scheduling activity at the door. The duration of the scheduling activity at the staging
area is determined from the scheduling pro le.

When a scheduling activity is created, the following occurs:

The scheduling activity is given the status of 1 Planned . Its status changes as follows:

To 2 Started when the subsequent movement activity to the door is con rmed

To 4 Completed when the subsequent movement activity from the door is con rmed

To 6 Vehicle departed when the vehicle is checked-out of the yard

The relevant delivery is updated with the scheduled door/staging area.

System Scheduling
Use
When you attempt to create a scheduling activity for a vehicle , the system’s scheduling mechanism determines the optimal
time and location, and creates a scheduling activity accordingly.

Activities
You try to create scheduling activity for a vehicle assigned to an inbound or outbound document.

You can also create a scheduling activity for a vehicle assigned to a non-SAP document (behaves like a vehicle assigned to an
inbound document) or an empty vehicle (behaves like a vehicle assigned to an outbound document).

The system determines thepossiblelocations to be scheduled for the vehicle. The possible locations are those which meet the
following criteria:

a. The locations are within location classes entered in the scheduling pro le de ned for the yard and applying to the particular
document type.

This is custom documentation. For more information, please visit the SAP Help Portal 12
6/5/2019
You de ne scheduling pro les for your yards in Customizing for Logistics Execution → Yard Management → Location
Determination and Scheduling → De ne Scheduling Pro les

b. The locations’ physical location types are suitable for the vehicle type group to which the speci c vehicle belongs. This will be
the case if:

i. No physical location types have been attached to the location; or

ii. A physical location type has been attached to the location, as well as a relationship between this location type and the vehicle
type group to which the speci c vehicle belongs.

You de ne physical location types and their relationships with vehicle type groups in Customizing for Logistics Execution → Yard
Management → Location Determination and Scheduling → De ne Location Type – Vehicle Type Group Relationships.

c. The locations function as an inbound location (in the case of a vehicle assigned to an inbound document) or an outbound
location (in the case of a vehicle assigned to an outbound document).

The functionality of a location is determined from one of the following:

i. The location’s de nition in Customizing for Logistics Execution → Yard Management → Yard Map → De ne Doors/Staging
Areas/Yard Locations , if the functionality is not speci cally de ned for the relevant time period per ii below. For more
information on the relevant time period, see 2a. below.

ii. Location-time dependent properties in Customizing for Logistics Execution → Yard Management Location Determination and
Scheduling De ne Location Group – Time Dependent Properties

When creating a scheduling activity via the monitor, you can further reduce the pool of possible locations by entering a speci c
location class or location class and location in the Create Scheduling Activity dialog box. For more information, see Creating a
Scheduling Activity .

The system determines thetimes during which each possible location can possibly be scheduled for the vehicle

a. For each possible location, the system analyzes the period of time starting from the From time and ending at the To time.
These times are either manually entered in the Create Scheduling Activity dialog box (which appears when you invoke the
Create Scheduling Activity monitor method), or are determined by the system.

If, for an outbound vehicle, you enter a To time that is greater than the shipping time (in outbound document), a warning
message appears. If you elect to continue, the system uses the shipping time as the To time.

In case the times are not manually entered, the system determines the times as follows:

i. Inbound vehicles: From time is the latter of the current time and the arrival time (taken from the document); To time is the
From time plus the scheduling horizon, as de ned in Customizing for Logistics Execution → Yard Management → General

This is custom documentation. For more information, please visit the SAP Help Portal 13
6/5/2019
Settings → De ne Yard

ii. Outbound vehicles: From time is the current time; To time is the shipping time (taken from the document).

In both the case of manually and non-manually entered times, if the shipping time has already passed, the To time is the From
time plus the scheduling horizon.

In the case of scheduling a cross-docking decision, the times are determined as follows:

i. Outbound documents: From time is the release time; To time is the outbound document reference time

ii. Inbound documents: From time is the expected arrival time; To time is the actual planned start time for which the outbound
document item has been scheduled

For more information on scheduling for a cross-docking decision, see Creating a Cross-Docking Plan in the SAP Library for
Cross-Docking

b. The system breaks this time period down further according to the start and end times of the scheduling time window for each
day, or the working times and calendar, as de ned in Customizing for Logistics Execution → Yard Management → Location
Determination and Scheduling → De ne Scheduling Pro les.

c. Over this time period, the system checks all of the existing scheduling activities, and their durations, at the possible locations.
For the duration of each scheduling activity, a location will be unavailable for the vehicle, unless the location still has capacity for
the vehicle, given the physical location type – vehicle type group relationship.

This is custom documentation. For more information, please visit the SAP Help Portal 14
6/5/2019

d. For a location, the system disregards those times during which the location does not function as inbound/outbound,
depending on the document type to which the vehicle is assigned.

The result is a determination of the possible times during which each possible location is available for the vehicle, taking into
account the duration of the scheduling activity.

The duration of the scheduling activity is determined from one of the following:

Manually in the Create Scheduling Activity dialog box

The rough workload estimate

The default duration

For more information, see the IMG for Logistics Execution → Yard Management → Location Determination and Scheduling →
De ne Scheduling Pro les.

The systemschedules a particular location and time periodas follows:

This is custom documentation. For more information, please visit the SAP Help Portal 15
6/5/2019
a. If a relationship has been de ned between the location group containing the vehicle’s “dominant” storage type, and a door
location group, the system selects theearliest availabledoor from the door group. For more information, see the IMG for
Logistics Execution → Yard Management → Location Determination and Scheduling → De ne Location Group Relationships.

b. In the case of scheduling for an inbound document of a cross-docking decision, if the door scheduled for the outbound
document is part of a door group also containing “inbound” doors, the system will select the earliest available inbound door
from this group.

You de ne door groups in Customizing for Logistics Execution → Yard Management Location Determination and Scheduling
De ne Yard Location Groups

c. In all other cases, the system chooses the earliest available location.

The system determines the earliest available location for inbound vehicles by checking from the From time onwards.

The system determines the earliest available location for outbound vehicles by checking from the To time backwards.

If the To time is after the shipping time, the system checks from the shipping time backwards. If the system nds no available
time, it checks from the shipping time onwards.

If the From time is later than the shipping time, the system checks from the From time onwards.

The system also schedules for this time period one of the following:

a. One of the staging areas assigned to the scheduled door in Customizing for Logistics Execution → Yard Management → Yard
Map → De ne Doors

b. One of the staging areasin the location group related to the door’s location group, if staging areas are not speci cally
assigned to the door

c. Any staging area, if no staging areas are assigned to, or related to, the door

In the case of an outbound vehicle, if the staging area is already assigned to the outbound delivery, the staging area will be
scheduled rst, and then the door.

When scheduling locations for more than one vehicle, the system schedules locations for the higher priority vehicles before
scheduling for the lower priority vehicles.

When the system performs scheduling for a cross-docking decision and no vehicle exists for any of the documents, Yard
Management creates a “dummy” vehicle, based on the default vehicle type, and assigns it to the document.

Movement
This is custom documentation. For more information, please visit the SAP Help Portal 16
6/5/2019

De nition
A movement activity is a yard activity created in the system to track a vehicle’s movements in the yard.

When a vehicle is checked-out from the yard:

A check-out activity is created with status 6 Vehicle departed.

All of the activities associated with the vehicle are given the status of 6 Vehicle departed .

The shipment to which the vehicle is assigned is updated as follows:

The status of the Shipment end eld is set to Completed .

The actual date and time for end of shipment are lled in the relevant elds.

If the vehicle has been de ned as permanent, the vehicle remains in the database. If it travels to another yard, it is visible
in the new yard. If it travels to an external location, its location is either empty or updated to the external location via
Business Add-In LXYRD_ACTIVITY_PROC.

If the vehicle has not been de ned as permanent, it is removed from the database.

Examples of Yard Activities in Different

Scenarios
This section provides examples of the types of yard activities involved in the following scenarios:

A vehicle known in advance delivers goods to the yard

A vehicle not known in advance delivers goods to the yard

A vehicle that previously delivered goods to the yard is re-used to deliver goods from the yard

A forwarding agent picks up from the yard transport equipment lled with goods

Known Inbound Vehicle Delivering Goods

1. A warehouse worker creates an inbound document in system.

2. A warehouse worker contacts the forwarding agent.

3. The yard manager processes the document .

4. The forwarding agent picks up the goods from the vendor and arrives at the yard.

5. The vehicle is checked-in to the yard.

6. A location is scheduled for the vehicle.

7. The vehicle is weighed .

8. Two movements are created for the vehicle:
