EVENT MANAGEMENT

TERM PAPER

Event Description-

Event name- The event is all about personality and skills development in our department i.e.
Lovely School Of Business (LSB) and the name of the event is “GET ENHANCED”.

Event type- the event is minor event because it is at the university level and in a particular
department. It is an educational event.

Location- the location of this event to be organized will be in LSB Block and some games will
also be organized in room number 201, 202 and 203 of LSB Block so that students don’t get
bored.

Date- the date of event will be 10th November’ 10 and 11th November’ 10.

Duration and Timing- the duration of this event is two days i.e. 10th and 11th November’ 2010.
And the timings of this event will be from 10’o clock in morning to 5’o clock in evening.

Event Overview And Purpose- , it means it is a knowledge gaining event based getting your
skills high and you can match up how with this competitive world.
The purpose of the event is to impart knowledge and decision making in students by practically
using the concepts and by taking part in this event. Motive is to enhance the mind of the students
through this event

Objective of the event- the objective of the event is to impart as much as knowledge in the
students and making them learning, and how they enhance their personality while playing and
enjoying, to sharpen their mind and to know about these.

The theme of the event is mind relaxing with studies with the colorful and enjoyment scheme of
knowledge gaining and decorum is maintained with the charts and subject quotations.

Event Management-

Management Responsibility-the responsibility of the whole event is of the event organizing team
which consists of basically 5 to 7 members including teachers and students who will organize the
whole event in the department and responsible for it. The event is organized with the permission
of the higher authorities of the university keeping in view the interests of students in it. and the
staff of LSB will help in organizing this event.

Physical Requirements-

Venue- the venue of this event will be an unusual venue as it is organized under the tents
infront of LSB Block and in three rooms of LSB.

Event layout- then after that event layout is to be prepared in which all the things are to be
described that what all activities and games are to be oraganized and at what timing, staging,
security, decors and all the things necessary for the event.

Event Audience- the audience of the event would be the students of LPU who are
participating and those also who are not participating and everybody will get duty leave for that.
Outsiders i.e. the students from other colleges can also come after purchasing of the ticket.

The impact of the event is also analyzed to see that it will not hamper or hurt the sentiments and
feelings.

Competition- we have to see this also that at the same time there should not be any other
event going in LPU and the students are also free from their exams and workload so that they can
take interests.

Technical Requirements- the technical requirements and equipments should be check


in advance like in our festival mike, sound system, lightning, video screens, power supply,
microphones, computers etc should be set in advance of this event.
Entertainment- this Markfinn festival will be start with the releasing of balloons in the sky
which shows eco friendly and it will be full on enjoy with music, colorful poster making,
creative tasks, etc.

Approvals and Consultation-

For the event of personality and skill development in the department of LSB in LPU, I need to
take the permission and approval from the vice chancellor and the dean and HOD of my own
department of LSB. It is first consulted with the students and the higher authorities to organize
this event and to tell the whole layout of event layout in front of them and after getting the
approval I’ll start working on my event by making the committee. The approval for the security
of the event will also be taken from the authorities.

Marketing of the Event-

The marketing of this ‘get enhanced’ festival will be done in such a manner so that as many as
people can join this event. The process of this festival will be like this-

First of all I have to tell the features of this event to all the people concerned with this event, in
this I will tell that this event consists of quiz, the games based on personality and skills concepts,
marketing and finance videos are going to be shown to the students, role plays and case studies,
and various competitions will also be organized in this festival.

Secondly I have to identify the audience of my event and the audience will be mainly the
students of LSB and management department, faculty members and also the outsiders can also
come after the purchase of ticket.

Thirdly I have to do something to persuade the students to come and attend this event, it is done
by providing the certificates to participants and they were motivated to attend this event by
telling them that it will help them in their career prospects.
Fourth, then I have to analyse the decision making of the students by analyzing that at that time
when our event will going take place, there should not be any other event takes place in the LPU
and students should also be free from their assignments burden.

Fifth, then the ticket programs will be developed for the event and establishing the price of the
event by analyzing the purchasing power of the students and it will be set as Rs. 150 per student.

Sixth, then I have to promote this event by the use of various promotional tools which will be
described later to highlight this event.

Lastly the marketing efforts will be evaluating and feedback of the event will be taken to know
the success of the event and marketing plan.

Differentiation of the event can be done by telling them that it is like learning while playing, it is
full of fun, colorful and entertainment festival.

Sponsorship of the event will be done by the local company of Punjab i.e. Hero Cycles and
Khanna Paper Mills and by the help of our university. They will help us in funding and promote
themselves also by providing caps, pamphlets and diaries and pads.

The event will also be advertised or promote through the pamphlets and posters which will be
stick on the walls of the LSB department and also on the walls of washroom so that the attention
can be grab immediately. And it is also advertised through UMS by placing information on them.

Distribution of tickets can be done through the placing of ticket counters near LSB Block and
also on the outside of the campus.

The logo I will go to design for this event will be a colorful notebook having mike on it.

The publicity of this Markfinn festival will be done through the mouth of word by the students
and faculty members. The campaigning of the event will be done through the car which run from
one department to another having posters on it.

Financial Screening of the event-

This event is to make little profits and to enhancing the skills of the students to know more about
their subjects. The overall budget of the event costs Rs. 35000/- from which Rs. 20000/- will be
funded by the sponsor companies and rest will be from event committee and students
contribution. The sources of revenue will be from the sale of tickets of the event. At least 150
tickets must be sold for the break even point. Cash management will be under the event
committee and cash assistant manager of the event. The cost of the event will be allocated as
follows:-

The cost incurred on the advertising and promotion of the event includes Rs. 3000/-
The cost incurred on the refreshment will be around Rs. 10000/-

The cost incurred on the logistics like technical equipments, staging, chairs and tables costs Rs.
10000/-

The fees of the management and event committee costs Rs. 8000/-

The rest of the Rs. 4000 will be set aside for the contingency and any other activities during the
event.

Risk Management-
Risk is the factor which includes almost in every event so I have to take care of the risk in my get
enhanced event that there should be adequate security at the time of fest going on and the
security will be provided by LPU to us. The risk of fire is also there so we have to be careful
regarding the fire brigade and fire extinguishers should be there for the protection and security of
the audience. Poor publicity of the or bad climate like the chances of rain is also the risk for the
event so for that we have to make arrangements in advance and we will choose auditorium in
case of bad climate. Unforeseen costs in the event and the mistake or mismanagement in the
committee can lead to the risk of this event and every thing should be done keeping in view the
norms of the university and anything against the norms will lead to the great risk for the event.

Event Staging-

The event site will be in front Of LSB department, parking facility will already be given by the
university. The theme of the event is educational with entertainment and colorful environment.
The décor will be done by the students and committee members with the use of lighting, flowers,
charts, etc. the layout of the event is set in it which includes the availability of chairs and tables,
arrangement of refreshments and meals and welcoming of the chief guests which will be here are
our chancellor i.e. Rashmi Mittal and the owners of our sponsors.

There should be essential services like essential like power and water will be there, water
machines will be placed at every corner.

Staffing of the event-

The staffing of this event includes all those members who are engazed in the organizing of this
event i.e. the event committee which are as follows-
The event committee is headed by the event manager under which there are 5 different managers
i.e. the faculty members. Under the faculty members there are students who will be responsible
and help the faculty members in arranging the activities.

The event manager holds all the cash and with the plans, he will guide the faculty members and
assigns the tasks to them.

As faculty member1, he is responsible for all the promotional and advertising activities of the
Markfinn Festival.

Faculty member 2, he or she will be responsible for the catering services and refreshments and
for the pricing ceremony of the event.

Faculty member 3, will be responsible for the selling of tickets and staging and décor of the
event.

Faculty member 4, will be held responsible for the contingency, cleanliness and security services

Faculty member 5, will be held responsible for the communication to the students, planning
different games, quizzes, movies for the students.

The students under them will help the faculty members in doing these tasks.

Safety and Security

The safety and security of this event i.e. fest includes the safety of students and audience for
which we will take the help of security agency hired by our university, fire brigade, fire
extinguishers, ambulance and first aid in case somebody got ill will be required. Safety and
security of chief guest and chancellor mam is also a big issue which will be considered by us.
Safety on the part of technicals will be done in advance. The meetings will be organized in
advanced to know all about the event and their practices so that it will be safety for us during the
event.
Operational Screening for the event-

The operations of the get enhanced event will be done like I have to decide all the policies and
procedures for the event as the responsibilities and tasks with authorities will be assigned to the
members organizing the event. The timing of the activities for finance and marketing will be
done through gantt charts and checklists so that coordination will be maintained in the event.
Contingency plans should be set as it should be properly ensure that power supply should be
there and adequate water facility, for any kind of accident the first-aid and medical facilities
should be there. Logistics should be considered as set up of the event all the activities relating to
the starting of the event like the starting of the event by giving the doing a small prayer and
lightning of the candles and details regarding the even should be provided all the staging should
be organized in such a manner that it should create interests in the students and motivate them.
All the technical equipments should be set and catering will be organized, games for the students
be organized. Then the tear down for the event like the prizes or awards should be arranged to
distribute to the winners and the certificates. Then the speech will be given in the last by the
chancellor mam and dean of LSB. Then atlast the duties will be given to the members to
organize some students to undertake the work of follow up of the event as monitoring over all
the equipments and materials after all the students and audience leave the place and then they
were responsible for the returning of the things and cash manager of the event will make
payments to the parties than at last the profit from the event will be analyzed and will be
distributed among the students and for the development of the finance club of the university.
Evaluation –

Then at last the evaluation of the event will be done i.e. the post event activity which means the
results of the event in which we will see that our event will be successful in leaving the impact
over the student, or the students really find this worth full or not. the profits from the event and
the crowd in the event will be adequate or not.
