Activity 1

1. A team is a group of people who works together and coordinates members’


effort to commit to the goal. A group of people is not necessary considering as a
team if they do not have a common goal and purpose. A person who works in a
team will share and discuss their opinions with each other. As a team leader, you
need to manage the team and take all the responsibility as well as build a healthy
relationship, and you also need to determine team member’s role in each task.
Then your team members will assist team leader to achieve the goal.

2. It is very important to establish a clear team purpose, because team members


should understand the task and mission that they need to achieve the mission.
Firstly, you need to make sure that all actions and suggestions take your team
closer to achieving your goal. If your team member does not have a clear scope of
your task, it will be a waster of time for them to find information that is not
relevant. Secondly, it can help motivate team members by developing a clear
team purpose.

a. Task achievement: the task will not be fulfilled if team members are not clear
what to do. Also it cannot be achieved by helping each other.
b. Team cohesion: As a team, team members can contribute all their efforts to hit
the goal. You cannot achieve a goal without help.
c. Personal achievement: Each team member should have their own task in order
to perform their values of the goal, and discuss the proposals and give
suggestions to each other.

4. If I am the leader for a newly established team, firstly, I will organise a meeting
and discuss the topic of the task, then arrange task to each team member and
make sure they understand of their role. I think communication skills are also
essential for success in almost any role, you need to listen your member ideas
and feedback, it helps them detect problems early and build trust with them.

5. It is important that the team’s purpose and role be collaboratively developed


because collaborating can make members more responsible and also working in
a team enables team members to be quicker more efficient and effective. It also
develops member’s working skills at the same time, they can share ideas and
understand how other people think and operate, pick up good point and enhance
their strength. Members will feel good about what they do and they have strong
ties with the people they work with. They will feel more satisfied and confortable
with the environment. Meanwhile, it also can speeds up problem solving. A
problem may take month to get solved when handled by a single person.
However, it may take a few hours to solve if your team member has their role and
expertise it.

7. Team leader need to make a decision and allocate the task to each member.
This allocation is based on member’s previous working experience and their
strength. You can allocate the important role within the team to the people who
are willing to take it, or to people who would like to take a challenge role to gain
experience of performing the role.

Activity 2

1. Goal one: To increase turn over by 30% by introducing 20 new products


including a range of six health lollies that have add nutrients.
KPI: Team members need to promote company products to clients as well as put
in social media which also includes new products. Also team members need to
make customer happy and feel welcome, try to solve customer problems and
needs to make sure that customer has a positive point of this product. They may
introduce to their friend and family.
Time: 12 months with monthly review

Goal two: To build market loyalty by specifically targeting tweens as customer by


designing new packing specifically designed to have greater appeal to the 7-12
age group and introducing a club membership for tweens that gives them free
gifts for purchases over specific amounts.
KPI: Team members need to let customer know they can sign up a membership
card to get more benefits, and send membership card information to customers
who is in the company database. Meanwhile, company can display new packing
of products to show customers in different ways, you can give some free samples
to them.
Time: 12 months

Goal three: to increase efficiencies by increasing average customer sale from $4


per person per visit to $6 per person per visit and purchasing and installing a
new computerized till aimed at tracking sales by each salesperson.
KPI: all members will utilize the sales tracking system being introduced and
encourage them to purchase from new range

Action plan
Goal: Increase turnover
Actions: I will give separate task to all fifteen members to ensure team member
who works in the same day having different task. For example: sending flyers,
drafting advertisement to social media, promoting new products by introducing
the healthy range of products and social media.
Methods: set up a plan form, each member need to mark after they complete the
task.
Resource: social media, or television, or newspaper.
Risk: we put more effort on social media and television, it may result in wasting
money and time.

2. Encouraging participation in planning, decision-making and operational


aspects is very important for developing team cohesion. Members feel motivated
if they are involved in the organization decision-making process. Otherwise, they
will feel that their role is not important as others, management team just makes
decision without consulting them. Offering feedback can let member know that
company cares about their feeling and opinions, reduce unnecessary conflict and
build trust.

Activity 3

1.
Forming stage: involves teams are undeveloped and need to create their own
identity.
Storming stage: which is the most difficult and critical stage to pass through as
members come to know each other, create question and solve the problem.
Norming stage: this is when members start to resolve their problem and set into
new ways of working.
Performing stage: team is stable and mature in this stage, the structure and
progress are performing well.

All four stages are necessary in order to build a good team. Firstly, everyone will
participate in development plan, role clarification and information sharing of the
task. Members will get to know each other and build a trust in the forming stage.
Secondly, members learning to cooperate and begin to focus on team’s goal,
encourage team members to accept responsibility and adapt leadership so that
team can develop independent in storming stage. After that, there is a clear and
stable structure, and members are committed to the team’s goal. It also requires
fully utilize all team member’s skills, knowledge and experience. These three
stages are very important because they are fundamental factors to support team.
Lastly, members accept responsibility for their own task and review strengths
and weakness. They will make a decision and overcome problems.

If team is operating at the performing stage, they may need more people or less
people to completing task, it will take them back to norming stage.
Policy will change during the time you are processing the task.
Member has unpredictable factors such as health issue.

Staff training: they can improve their own performance in this training activity.
Regular meeting: member can discuss the issues during meeting and give ideas
or suggestions to members.
Healthy exercise: it may improve their health condition and they can work in a
healthy environment.
Award: leader can give the member who has performed well in their task to
motivate them.

Activity 4

1.
Self-managing teams take a different approach from a tradition team system.
Self-managing teams not only do the work but also take on the management of
that work. This allows managers to teach, coach, develop and facilitate rather
that simply direct and control. Each member decide sand plans their own duty.
These team members are natural work groups that work together to perform a
function or produce a product or service.

Team who are able to manage themselves in terms of productivity, quality and
innovation are desirable as this frees up time and resources of management.
Having self-managing lead to a quality improvement as management is not
burdened with operational matters. As team members take on the extra
responsibility and their skills, so it will improve on it over time until he exercises
self-leadership in that particular shift. Self-management is the process of
powering an individual with the minimum knowledge and skills in a certain place
until member can reuse it. Self-managing team also can handle problem by
themselves, however, they need more experience member to help them.

Firstly, it involves technical skills that relate to work performance. In the first two
stages of our team developing model, member seems to be on learning these
skills. Leaders may not find experienced and skilled staff.
Secondly, it is hard to meet all member’s needs at the same time. Some members
need more flexible space to finish the task, while others require higher salary.
Thirdly, background of each member is different as they may be from different
countries and speak different language.
Lastly, members may have problems with cooperating, they need discuss with
new members.

Firstly, break large tasks down into smaller and make sure everyone has a task.
They can discuss with each other and give opinions. But it is important that they
have focus their own job first before they help other members. Then I will also
remove the penalties for participating, they need to work in an environment
where they feel relax and comfortable. I will give them award if they have a good
performance on their task. Feedback is a good way to listen what is your member
thinking even if they are stress with any problems.

I do recommend mix of roles, but I think whether team members are clear of
their final objective of the project is very important. It can reduce the workload
for other members with the role mix, as well as move members to other teams to
enhance their skills and widen their experience. Everyone participating in all
areas also has a drawback, they will have no direction, no control and no
management. Teamwork and communication within the team is key fact to
achieve the task.

Activity 6

As a team, we know that feedback is the basic need. Because good feedback
always can give you some ideas about everyone’s work ability and attitude. A
work team is able to provide a strong sense of belonging if the feedback given to
a member is positive, encouraging and welcoming. For this case, I received good
feedback about Sue is very capable from one team, whereas, another team has
negative feedback about her. What I will do is that I will contact with all these
two team’s members, and have a short talk about them. They can tell me which
part Sue has done well and which part they really think Sue need to improve.
Everyone likes to hear nice comment about thing we have done or said. So did
Sue. I will let her know which area she is really good at, she can put all her effort
into her task. However, I will also need to mention about weakness or other areas
which she need to change. After I talked with her, I will organise a team meeting.
The purpose of this meeting is to share ideas and feedbacks with everyone. As a
leader, I think Sue has a weakness about talking to customer, I probably ask her
to stay in one of department which she feels happy and confident. This is why she
can enjoy her working environment and put her strength and effort into it. Once I
have given my feedback to them, I will also listen actively to what they say and
check that they understand what I have said.

problem easily. Meanwhile, team leaders should listen to feedbacks from
members. You can get useful information from good feedback as well as improve
yourself. Then you can award good performers to encourage them. While team
leaders should treat everyone equally so that they know they are part of this
project. Lastly, it is also important that clear goals and objectives should be set up
in the beginning of the project.

Activity 9

Team leaders can play an important role in resolving performance issues and
solving problems by providing feedback on performance, giving individual an
opportunity to put their point of view and assisting them to get a solution. If a
performance issue is detected, it is important to determine whether it is a whole
team issue or whether it only affects particular members of the team. Team
members should understand their job and task requirement and be given clear
key performance indicators. Therefore, they can receive constant feedback which
lets them know how well they are performing and whether they are meeting
expectations. Let team members know that you are concerned with their work
performance. Establish the problems in context by explaining the detailed terms.
Also you need to explain the outcomes that you want from the task.
It is also important that team leader has working experience skills to show
members as expected, trusted and independent when facilitating resolutions to
problems and conflict within a team. Positive communication, negotiation and
problem-solving techniques are useful tools for leaders to solve conflicts.
Once the action plan has been agreed, team member’s performance should be
monitored. A follow-up meeting should be schedules to discuss about their
performance to let them improve. You also need to deal with team conflict. Most
members have strong feelings and emotions as well as different opinions about
their jobs. Therefore, you need to balance their feelings and put their effort into
jobs rather than personal feelings. These are the ways to improve members
performance.

Get to know your stakeholders: find out what they care about and understand
their business.
Engage as early as possible: do not leave your engagement for when contracts
may come up for renewal.
Communication: Communication is the key to happy stakeholders. Keep them
information and see if there is anything else that we can do for them.

other team members see what the leader does the norm. it is important as it
plays a role in creating the culture of the team and the way they proceed.

Activity 11

If there is no clear goal and object at the beginning of this project, team members
are feeling depression about the direction they think that management will be
take all credit. As a result, members are not putting all effort into report and their
productivity has suffered. Members do not understand each other just because
one of members thought others heard the message, it did not ensure that the
message was right or wrong. While, they also need to talk and share information,
present you opinions to other member. As a leader, you should speak to
individual’s concern and determine whether they need to change or swap their
task. You need to allocate the task based on their capacity and ability.

Firstly, communication is for both sides. You can blame the organization with
information, but if that information is not understood, or is not understood in the
way you meant it, you should think about whether it is your own problem. Any
good communicators have to empathize with members and try to anticipate what
they will think and how they will feel about a message they have seen. Secondly,
communications also include body language, you can express your ideas by using
you body sign. As a leader, you should tell whether you member is happy or not
by looking at their face.

Activity 12

Head office has informed me that our team has won $200 gift card due to last
month performance. After I have received this email. I have told everyone in my
team group chat. We can go for team dinner for this reward. And let them choose
what kind of food to eat. This is a good opportunity about communication with
team members.

I think it is difficult to communicate good news in reality. Communicating good
news is harder that it seems, because if you explain wrongly, it will end up with
bad news.

Sometimes team leaders are called upon to delivery unsavory news from head
office or management team. This can include aspects such as redundancies,
budgets, cuts, dissatisfaction with the team’s performance and changes in
strategic direction that go against the beliefs of the team. You also need to follow
three key steps for conveying bad news which are preparation, taking the issue
and active listening.

Activity 13
I will prepare meetings and assigned to prepare a debate on the role of the
individual. At the same time, I will find a mentor to oversee the new team. They
will tell me whether members need to adjust their jobs. Team members always
cannot see their problems clearly, leaders need observe and gather facts relating
to the nature of the problems. Team members also need to seek advice, support
and expertise of external professional people. They can give some ideas which
can solve the issue. Coaching a high performance team is like trying to teach a
child, you need to be patient and nice to them. They will be gaining experience,
skill and confidence. In most times, the coach should be on the side which they
think it is right, they cannot make a decision with any bias. Team building
exercise and trust building exercise can be used as reset as team behavior.
Therefore, team performance will obviously improve. Senior managers are
usually busy people. They want to hear exactly what the problem is, and give
their opinions based on their previous working experience. This team has to
work their old job and take new responsibility in each role. Meanwhile, a teams’
schedule need to be built. Each team member should know exactly what job they
have to do, instead of helping other people, they need to finish their task first.
Head office always focuses on result, as a leader, you need to explain each
member’s performance to them. This is why members may think leader has
taken all credit from their task, as they are not normally talking to head office.
Leader has the middle position between management department and members.
So this is why leader need to deliver accurate information to both side.

Activity 14

If we left unsolved or partially resolved issues, it can bubble to the surface again.
They will keep continue to cause problem and members need to resolve it.

Following up unsolved issues means that there are past issues that continue to
fester in an organization causing problems and creating divisions. This may occur
in the form of office politics and results in team members not working together
effectively. In order to ensure this happen, we need to work collaboratively and
discuss openly with all individual to avoid this happen again.

Sometimes it may be necessary to bring in someone external to the team as they
do not have the same background that everyone else would have in the team,
therefore, they do not have any prejudice into this team, it will bring a positive
resolution in terms of maintaining and improving working.
