eQPR web site – Quality Problem Reports
Quality Improvement Requests
Welcome to eQPR training. eQPR is a 2-way web based application for Toyota and
it’s suppliers. This training covers the Toyota non-conforming product
documentation used in mass production called Quality Problem Reports (QPRs) &
Quality Improvement Requests (QIRs) and how eQPR will be used to manage
them. This training is confidential and should only be used by supplier to Toyota.

eQPR, a list of common definitions, obtaining access to eQPR, user roles and how
they are assigned, an eQPR system overview, and email notifications.

BACKGROUND
In the past, QPRs and QIRs were faxed or emailed to the supply base. The
methods were inconsistent from site to site and documents were sometimes difficult
to read.

eQPR was created to improve both Toyota’s, & the supplier’s, ability to manage the
QPR and QIR process by minimizing the effort and time required to issue, respond,
disposition and track QPR’s & QIR’s. eQPR will also manage a common business
process for all Toyota North American Manufacturing Companies and their supply
base.

Again, eQPR will manage mass production Quality Problem Reports (QPRs) &

suppliers to both forms.

eQPR will be phased into production across all North American manufacturing
companies. The schedule here details the target dates for start of production at
each site, NAMCs will not be able to field questions until after their SOP date.

Definitions
We will now take a look at some definitions commonly used in this training.

eQPR Definitions
• Audit Trail – A detailed history of the actions surrounding a QPR or QIR
• BES – Toyota Manufacturing plant Back End System, used to populate eQPR data
• Cancel – QPR or QIR removed from database, does not apply any longer
• CCI – Centralized Contact Information database is used by suppliers to populate detailed contact
information
• Dashboard – Visual management tool used to indicate document status
• eQPR – Web application to communicate mass production QPRs & QIRs as well as receive
countermeasure communication from the supply base
• ICF – Inspection Control Function (QE)
• Initial QPR or QIR – Nonconformance document sent to suppliers immediately when a non-
conformance is found, for quick communication and containment.
• IOF – Inspection Operation Function (Receiving Inspection)
• LT/CM – Long Term Countermeasure
• NAMC Administrator – Person at NAMC responsible for NAMC administration of eQPR
• NCD – Non-Conforming Documents
• Official QPR or QIR – Nonconformance document sent to suppliers after ICF review and approval
• Personalized NCD List – List of documents on home page based on saved search criteria
• QPR – Quality Problem Report
• QIR – Quality Improvement Request
• Reject – Document is returned to previous user (supplier or internal) for updates/corrections
• Roles – Determined by access, allows users to have different capabilities during the lifetime of a QPR or
QIR.
• SQAM – Supplier Quality Assurance Manual
• ST/CM – Short Term Countermeasure
• Supplier Administrator – Person at supplier responsible for TS.com, eQPR and CCI access and upkeep
• Task List – List of documents that require an action be taken by the logged in user

use of eQPR.

This section of training gives detailed instructions for gaining Access to eQPR

SUPPLIER ACCESS
Three Step Process
1. Obtain ToyotaSupplier.com access*
2. Obtain eQPR application access
3. Have a role assigned in CCI

eQPR Access
Step one is to obtain ToyotaSupplier.com access, if the supplier already has a user
name and password on ToyotaSupplier.com they would skip step 1. The supplier’s
company administrator for ToyotaSupplier.com can grant access to the website.
Step 1 must be completed before step 2 because eQPR is an application within
ToyotaSupplier.com. Again, the supplier’s internal administrator is the contact for
new access to ToyotaSupplier.com not Toyota. If suppliers do not know whom at
their location is the assigned administrator they can look in CCI, located on
ToyotaSupplier.com or contact a Toyota North American Manufacturing Company
and request an individual look in CCI.

Now the supplier has Read Only access to the eQPR website.
Step 2 may be completed at the same time as Step 1. The supplier’s administrator
to TS.com can grant access to eQPR. Completing step 2 gives Read only access
to eQPR. Note: The data that is entered into eQPR is populated from all Toyota
Manufacturing sites in North America.

Step 3a – Locate CCI Application
Go to ToyotaSupplier.com and find CCI once you have signed in.
The images here show ToyotaSupplier.com and the location of CCI within
ToyotaSupplier.com. All suppliers with ToyotaSupplier.com access can go to CCI
and update their individual contact information. Contact information should be
current and accurately reflect a supplier’s position within their company.

eQPR was developed based on “roles’ rather than individual titles.
The Centralized Customer Information database located on
ToyotaSupplier.com allows suppliers to sign up for different roles in eQPR.

Supplier Roles will be based on how the user is identified in Toyota’s Centralized
Contact Information database, located on ToyotaSupplier.com. This table shows
supplier’s CCI roles with their access capabilities. Suppliers have been requested to
ensure their users are signed up with their correct role within CCI. The supplier
administrator to TS.com can set up users with roles in CCI.

We will now take a short look at the Business Process in a system overview for
QPRs and QIRs.

eQPR System Overview
All Business Processes are in accordance with SQAM guidelines – SQAM should be
used to answer all business process questions.
All questions with a QPR or QIR should be addressed directly to the Toyota
Manufacturing Plant.
The business process eQPR follows is in accordance with Toyota’s Supplier Quality
Assurance Manual or “SQAM” – SQAM should be used to answer all questions on
the business process. SQAM can be found electronically on ToyotaSupplier.com or
on Toyota’s intranet. Suppliers have been directed to submit all questions pertaining
to a QPR or QIR directly to the Toyota Manufacturing Plant.

Future revisions of SQAM section 3.1 will capture any impact eQPR will have to the QPR
or QIR business process.

Every user will be presented with this homepage when logging into eQPR. The
Task List is individualized to the person logging in and shows documents that
require their action. The dashboard reflects the documents in the user’s
Personalized NCD List which is reflective of saved searches that user has
established.

A. Task List
The Task List is the individual users action items – these are a list of QPRs &
QIRs that the user has been assigned to or needs to take action on.
The task list in eQPR is the individual users action items. It will list QPRs and QIRs
that the user has been assigned to and needs to take action on. The specific action
that the user is required to take is dependant on where in the process the document
is located.

B. Dashboard
External View - QPR
Use On-Time, At-Risk, Late to
help manage QPRs & QIRs
QPR can be in two different events
i.e. Awaiting STCM & Awaiting LTCM
The External Dashboard will visually track document status for suppliers. It will let
them know when documents are approaching a due date or if they are late on a due
date based on where that document is in the business process.

2. Search Screen Can pull up previously saved searches
and view/modify criteria
The Search screen allows users to set up individualized searches for documents.
Users can download results or save results which allows each users to customize
the data shown on their own dashboard and personalized NCD List.

3. STCM Section
Suppliers will have the opportunity to add a short term countermeasure when a
QPR is assigned to their 5-digit code. Click Edit STCM and populate as required.
Once all required fields are completed select the appropriate action and finally click
submit.

3. Long Term
Countermeasure section
Suppliers will click on “add an activity”
to add a 2nd,3rd, etc activity to LTCM or Ship Information fields are
plan required fields to be filled in prior
to closing a QPR or QIR
Click Edit LT/CM or Edit LT/CM Plan and then fill in the required fields to populate
the document. Once all the fields are populated select the appropriate action and
click submit.
LTCM Plan should be used if the Long term Countermeasure is unknown but a plan
has been created to determine the LT/CM.

Update Data
All fields on a Short Term or Long Term Countermeasure can be updated prior to
releasing it to the Toyota NAMC.
Only certain fields can be updated by suppliers in eQPR after releasing a Long
Term Countermeasure for a QPR or a QIR.
Only certain fields can be updated by a supplier after a long term countermeasure
has been released. The screen shot shows the fields that can be updated, these
fields must be filled in prior to closing a QPR.

Print documents in PDF with
these links
To print documents use the Print feature in the eQPR toolbar when looking at a
nonconforming document. Each document will be downloaded into Acrobat Reader
and printed in a format similar to the document as seen in SQAM.

4. Audit Trail Screen
Audit trail will be used to track actions to a QPR or QIR, all modified fields,
notifications, views, etc will be tracked.

There are different times when an automatic notification will be sent to the supplier
– this table lists all the different circumstances and the roles in CCI who will receive
an automatic notification.

B. Manual Notifications
eQPR contains an email notification feature which can be used by the NAMC or the
supplier. Manual notifications should only be sent about the QPR or QIR it is being
sent from. Sending a manual notification does not defer the time being tracked to
submit countermeasures or stop the clock on the problem solving process. It
should be used only as a tool to help efficient problem solving. All verbiage sent via
the manual notification feature in eQPR will be documented in the Audit Trail.
