1.0 PURPOSE
The purpose of this procedure is to ensure that all IKL and it’s subcontractor
will have an efficient and effective meeting to comply with IKL requirements

2.0 SCOPE
The procedure applies to all areas of work under the direct or indirect control
of the Istana Karang Laut

5.1. Toolbox Meetings
5.1.1 Toolbox meetings will be held weekly for all IKL employees
and all subcontractors. These meetings are intended to be
short informal meetings where health and safety can be
discussed. The meetings will be conducted by the relevant
supervisor or Subcontractor supervisor with their respective
employees. Toolbox meeting groups shall be contained to a
maximum of 30 employees per group.

The Project Safety officer, in consultation with the Project


Manager following their weekly review of accidents and
incidents, shall provide on going tool box topic material to
maintain focus on key issues which may affect the projects’
ability to achieve present goals and objectives.

Sub contractors will obtain a copy of the Toolbox issues from


the IKL Management office. Subcontractors are encouraged to
extend the agenda with issues that may be relevant to their
organizations needs.

5.1.2 The Project Manager shall ensure that brief details of these
meetings including the date, who attended and the issues
discussed are recorded (see appendix). Outstanding matters
shall be discussed between the foreman, site manager and
where required with the applicable sub contractor.

5.2 OH&S Committee Meeting


Meetings shall be held at least monthly or when stipulated by the
Committee. The Committee shall consist of the Project Manager
(Chairman), the HSE Officer and an elected staff member from each
subcontractor and IKL.

5.3 Notice Board


Matters relating to safety and health, such as current copies of
Toolbox Meeting minutes, policies, objectives and publicity material,
will be displayed on the site notice board.

5.4 OH&S Resources


5.4.1 The Project Manager shall ensure OH&S Resources i.e.
OH&S information, Plans, Bulletins etc. are housed in a central
location for personnel to access.

This facility shall, as a minimum, hold copies of the following


documents: -
 The IKL Project Occupational Health and Safety
Management Plan
 Safety Procedures generated for the workplace and any
relevant checklists.
 Copies of all Safety Committee Minutes and Toolbox
Meeting Minutes.
 Materials Safety Data Sheet Register.
