0 Introduction

1.1 Background of the study

The Del Pilar Academy was built in 1950 and located in General E Topacio St, Imus, 4103

Cavite. The Del Pilar Academy was named after the town’s patron saint, Nuestra Señora del

Pilar. The school is a commercial high school in Imus City and it is non-sectarian secondary

school. The original incorporators were Mrs. Belen T. Cruz, Mr. Jose N. Topacio, Sr., Dr.

Mabini S. Virata, Mr. Eliseo A. Ocampo Sr., Mrs. Ester T. Celestial, Dr. Josefa J. Ilano, and Ms.

Teotista B. Topacio. They envisioned to provide a secondary education to the thousands of

students in Imus who could not afford to enroll in the schools at Manila and suburbs or who

could not be accommodated at the only private secondary school in Imus. As the school was

built in 1950 the library was built beside the Cathedral Church in Imus. In the 1980s the library

was moved inside Del Pilar Academy and it is placed near in the Registrar’s office and using

wood as a structure for library. It is a close shelf system before because they are careful for their

books specially from theft and loss of books. In 2013 they changed policies regarding from the

library and change it to open shelf system for supporting the school’s curriculum by giving

quality information resources to the library users in their quest for academic excellence except

reference section because it is a close shelf system until it opened in 2017. The library is open

from 7:30 am to 4:30 pm and it is the particular time to borrow books or use books inside the

library. They were using library ID to borrow books so they can take home the book and

continue to read it. The library had 5 computer units that has no internet connection but can be

used for academic purposes, school activities and school works and there were books on the 2 nd

floor of the library which the other sections are mostly fictions. The library does not have air

conditioner instead they are using electric fan and the library is not that large enough to fit many

students. The library has 1760 volumes and title numbers of fiction books, 671 volumes and 255

title numbers of non-fiction books, 1934 title numbers and 3222 volumes of circulation books,

602 volumes and 343 title numbers of filipiniana books. Del Pilar Academy uses manual process

in organizing their library transactions.

1.2 Overview of the Current State of Technology

The library uses MyRDAPlus as their library system that holds data and information about their

books and users. This MyRDAPlus can do cataloguing, indexing, data entry, and it has Online

Public Access Catalog “OPAC” modules. They are using it in monitoring library reports like

collection of distribution of books, accession list, staff list, periodical title list, user’s

information, and many others. They are not using borrowers’ card instead they are using school

id to borrow books from the library. The library also added more computer units from 5 to 19

computer units with internet connection for academic purposes only. They combined all of the

books together at the first floor of the library and separate it section by section. They made the

2nd floor an extra space for reading area so they can also fit many students unlike before and it

also have an air conditioner to be more presentable and comfortable for everyone in the library.

The library have 44 Thesis reference, 1227 Filipiniana, 850 Circulation, 5 Filipiniana reference,

217 scholastic books, 69 The Pillar yearbook, 1589 Fiction books, 40 Filipiniana Fiction, 250

SHS Fiction, 45 SHS Circulation, 18 SHS Reference, 34 Photo Albums, 140 Periodical(Soft

Bound), 64 CD, 34 DVD, 5 Globes, 70 Maps, 20 International Flags, and 9 Local Flags. As of

now the library has no librarian but they have a library consultant named Mrs. Maria Hesusa

Laurio.

1.3 Statement of the Problem

1.3.1 General Problem

They are using an outdated system that can force them to do manual method. Using an

outdated system can cause problems in library transactions.

1.3.2 Specific Problem

 Bugs of MyRDAPlus Library System can produce unexpected results or causes the
system to behave unexpectedly that can cause problems for the library staffs.

 Lags of MyRDAPlus Library System can cause to delay the desired pace and works of
library staffs. This lag can give problems to the library staffs when using the system.

1.4 Objectives of the Study

1.4.1 General Objective

To create an updated computerized library system that will be user friendly and easy to

use.

1.4.2 Specific Objective

 To create a system that is more accurate and to lessen the error that they will
encounter whenever they start using our system.

 To create a system that is simple and lightweight set of codes for their computer
units that can help them to easily manage our system

1.5 Scopes and Limitations

Scope of the Study

Login- This is the part of the system where the students or the staffs of the library can enter

the system.

Student Information- This is the part where the information needed for library purposes.

Cataloguing System- This part is where you can get the information you need for the book

including accession number, author, and title.

 Library Details- At this part of the system is where you can see the information of the

school library.

Borrowing and Returning System- This part is where it records the book that was

borrowed by the students so they will know who the last one that borrowed it and who

returned it.

Reservation System- This is the part when the user reserve’s the book at the library and

he/she will be the next one to use it.

Limitations of the Study

Online System- The system that will be made cannot be connected online.

Book Barcode- The books that will be included in the system does not have a barcode but

have an accession number.

Printing of Catalogue Cards- The system that will be made cannot print the catalogue that

is shown.

 Planning

This phase is the data gathering. This is the part where we started the interview and

collect the information, we need in order to create the system. But first, we sent a written

proposal to the company and waited for their response.

 Analysis

The problem of the library is they are using an outdated system. They encounter some

malfunctions like lags and bugs that can cause them to use manual method. The system will

provide a system that will be helpful to the works of the library staffs.

 Design

Since we are using Visual Studio’s Windows form application, the designing of the

layout will not be hard. We could just drag and drop the buttons, textbox, and other properties we

need. The theme needs to be acquainted with the theme of the establishment.

 Coding

The programming language that we will use is C#. The Integrated Development

Environment that will be used in creating the system is Visual Studio’s Windows Form

Application will be used.

 Testing

The system that we made will be checked and tried by an expert in order to observe the

things that the system can do. They might also tell us how we may improve the system that we

made

1.7 Significance of the Study

 School Library

The study that we did will make the library assistant’s recording data easier and this will

avoid human errors that can cause further problems.

 Proponents

The study will give knowledge to the researchers on the topic Computerized Library

System. The knowledge gained by the researchers can be used for creating another

system that could help them to improve programming skills and might use it for

occupation.
